What’s actually slowing this PC down?

AI cash-flow tools need enough information to estimate when money will actually enter and leave your business: a current cash position, dated expected receipts and payments, and—depending on the tool—financial history, payroll, taxes, budgets, or job costs. For contractors, invoice status is not the same as cash in the bank: progress billing, retainage, pay-when-paid terms, deposits, and change orders can shift the timing. Before connecting a tool, check exactly what it can read, what its AI feature receives, how long data is kept, and how to revoke access.
What data does cash-flow forecasting software need?
The basic job of a forecast is to project cash over time. That means a snapshot of available cash plus dated inflows and outflows. More detailed forecasts can draw on historical transactions and accounting records to estimate amounts and timing. The exact minimum depends on the product and the forecasting method; the inputs documented for one platform are not a universal requirement.

Core cash position and expected transactions
- Current cash: bank balances or other liquidity-account balances.
- Expected receipts: open invoices and other known incoming payments, with amounts and due dates.
- Expected payments: unpaid bills and other committed expenses, with amounts and due dates.
- Recurring and one-off items: payroll dates, recurring costs, taxes, deposits, and known unusual receipts or expenses.
For example, Spark Cashflow describes a 13-week model using the current bank balance, open invoices, unpaid bills, payroll schedule, and known one-off cash items. It says its workflow uses CSV exports rather than asking for accounting credentials; that is one vendor’s stated approach, not a guarantee about other tools. Spark Cashflow

Historical and accounting data
Some predictive features use past records as well as current open items. Microsoft says Dynamics 365 Business Central’s predictive cash-flow service uses historical receivables, payables, and taxes; its documented invoice and credit-memo inputs include due dates and amounts. Dynamics 365 Finance illustrates a broader configurable forecast: its documentation describes identifying liquidity accounts and configuring forecast sources such as sales and purchase orders, open customer and vendor transactions, future ledger transactions, budgets, inventory forecasts, project forecasts, external data, and predicted sales-tax payments. These are examples for that product, not a checklist every cash-flow tool needs. Microsoft’s Dynamics 365 Finance documentation
Why contractor cash timing needs more than invoice totals
Contractor cash flow depends on when funds are likely to clear, not only on when work is billed. A submitted invoice should not automatically be treated as cash available on its due date. A useful forecast makes payment assumptions visible and distinguishes money that is committed or likely from money that is uncertain.

- Progress billing: record expected billing milestones and the likely timing of payment.
- Retainage: keep withheld amounts separate from spendable cash until release is expected.
- Pay-when-paid terms and payment history: account for customer or general-contractor payment patterns where records support an estimate.
- Payroll and material deposits: include the dates cash must go out, even if the related customer payment is later.
- Job costs and billings: connect expenses to projects where possible so a forecast can compare costs with expected receipts.
- Change orders: show the costs and uncertainty of unapproved work; do not count unsigned revenue as assured cash.
Arclite’s contractor page describes a service that reads a QuickBooks Online ledger for open invoices and draws, bills, balances, historical general-contractor payment behavior, payroll, material deposits, and job-level costs. It also identifies progress billing, retainage, pay-when-paid timing, and change orders as construction cash-timing factors. Those are the vendor’s descriptions of its service, not independent evidence of forecast accuracy. Arclite’s contractor page
The Society of Chartered Surveyors Ireland’s 2020 Cash Flow Forecasting Guide says forecasting can help assess progress on site and compare actual expenditure with forecast expenditure; it notes that much of its guidance applies to contractor, subcontractor, or supplier arrangements. It is professional guidance published in 2020, not current law or a technical standard. SCSI Cash Flow Forecasting Guide

- Protection against brute force password attacks - Data is automatically erased after 6 unsuccessful access attempts. The data of the USB flash drive type c encryption with dual connectors is destroyed and the cryptographic drive is reset.
- Durable dual-layer waterproof design* — Protects the crypto reader from bumps, drops, run-in and immersion in water. The electronics are protected by a hardened internal case. Rubberized silicone outer case provides a final layer of protection.
- Auto-Lock —The cryptographic key automatically encrypts all data and locks when removed from a PC/Mac or when screen protection or "computer lock" is enabled.
- Secure Entry —Data on these flash drives cannot be accessed without the correct alphanumeric password of 8 to 16 characters. A password indication option is available for this flash drive. The hint cannot match the password.
How to assess a tool’s data access and AI handling
“Connected” or “AI-powered” does not tell you which records are accessed or where they go. Review the terms and privacy notice for the specific product and feature you intend to enable, then get clear answers to these questions before authorizing it:
- What records and date ranges are requested? Ask whether the tool reads balances, transactions, customers, vendors, invoices, bills, payroll, journal entries, or job details, and how far back its access extends.
- What can the connection do? Confirm whether it is read-only or can edit accounting records, initiate payments, or send messages. Check how to disconnect it and revoke tokens.
- Who handles sign-in and credentials? Determine whether authentication occurs with the bank or accounting provider or inside the tool, and which parties store credentials or access tokens.
- What reaches the AI provider? Ask whether prompts include financial records, transaction descriptions, customer or vendor details, or only derived values. Identify the AI processor and check its retention and data-use terms.
- How are records managed afterward? Confirm how to export data, request deletion, and manage staff access.
Tools can use different arrangements. Spark Cashflow describes CSV intake, while Contractor Codex says it offers optional bank connectivity through Plaid or Stripe Financial Connections with read-only access to account details, balances, and transaction history. Contractor Codex also says it does not store full account and routing numbers or online banking credentials, and that some feature prompts and context—including financial records—may be routed to an AI provider. These are statements about that vendor’s practices, not industry-wide guarantees. Contractor Codex privacy notice

Compare tools on the inputs they need, whether they handle contractor timing, the permissions they request, the records sent to AI processors, retention and deletion options, and whether assumptions and uncertain receipts are visible in the forecast. The available product descriptions do not establish independent head-to-head forecast accuracy, so avoid treating a vendor’s performance claims as verified results.

1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesHow contractors can protect business financial data
Secure the accounts that can expose financial records
- Require multifactor authentication (MFA) for email, banking, accounting, file storage, and remote access—especially for administrators and staff who handle sensitive information.
- Choose the strongest supported MFA method. CISA identifies physical security keys as its strongest listed option on its small-business guidance page; number-matching authenticator prompts and authenticator codes are alternatives when a key is unavailable. A key works only where the service supports the relevant standard, and it does not replace other security measures. CISA MFA guidance
- Use unique passwords and a password manager, train staff to recognize phishing, and keep business software updated. CISA lists these among its small-business security topics. CISA small-business resource hub
Limit exposure and prepare for recovery
- Give access only to staff who need it; avoid shared logins.
- Avoid sending complete bank exports through informal channels.
- Back up important business data to a secure external drive or a properly vetted cloud service. Confirm that backups can be restored, rather than assuming an untested copy will be useful.
- When encrypting a device, back up first and safeguard the recovery key and password, as CISA advises. CISA backup and encryption guidance
These are practical protections, not a contractor-specific compliance standard. The vendor’s terms and your own policies determine the applicable access, retention, and deletion requirements.
