A small business does not need eight separate paid products to improve cybersecurity. It needs a workable set of defenses for its accounts, devices, data, and staff—and a plan for recovering when something goes wrong. Start with phishing awareness, unique passwords, multifactor authentication (MFA), timely updates, and tested backups; then add logging and security checks that fit the business’s IT capacity.
AI may change how attackers work, but the guidance below focuses on controls CISA recommends for small and midsize businesses. CISA’s overview also points to free resources, including Cyber Hygiene Services and SCuBA. CISA’s small-business resources

1. Phishing awareness and a simple way to report suspicious messages
Give employees a clear rule: do not click a link, open an unexpected attachment, or approve a sign-in request just because a message looks familiar or urgent. Teach staff to verify unusual payment, password-reset, and file-sharing requests through a separate, known channel.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesMake reporting easy—such as a dedicated email address or a built-in report button—and tell employees what to do if they clicked or entered credentials. Fast reporting gives the business a chance to reset exposed passwords, revoke sessions, and alert affected accounts before an incident spreads. CISA includes phishing avoidance among its small-business security resources.

2. A business password manager and unique passwords
Use a password manager intended for business use so staff can create and store a distinct, strong password for each account without relying on memory, spreadsheets, or reused passwords. Set up individual accounts rather than sharing one vault login, and limit access to credentials according to job responsibilities.
A password manager helps prevent password reuse, but it does not replace MFA. CISA puts it plainly: “Strong passwords help, but they are no longer enough to keep accounts and systems safe when used alone.” CISA’s MFA guidance
3. MFA across business accounts
Require MFA for business systems, starting with administrator accounts and staff who handle sensitive information. Expand it to other accounts wherever the service supports it. MFA makes a stolen password less useful to an attacker because signing in also requires another factor.

CISA’s preference is phishing-resistant MFA. Its listed methods, from stronger to weaker, are physical security keys, number-matching authenticator apps, one-time-code authenticator apps, and then text or email codes. Text and email codes are better than password-only access, but they are the weakest methods on that list. The available method depends on what each business service supports. CISA’s MFA guidance
4. Physical FIDO security keys for supported accounts
A FIDO security key is a physical device used to verify sign-ins. CISA lists security keys first in its MFA hierarchy, making them a strong choice for administrator and other high-impact accounts when the account and devices support them. Check compatibility with the service, operating systems, and devices before issuing keys.
Plan recovery before making a key mandatory: decide how a user can regain access if a key is lost, keep recovery methods protected, and consider issuing a spare key under controlled storage. CISA names YubiKey as an example of a security key; that example is not an endorsement. CISA’s MFA guidance
5. Timely software and operating-system updates
Turn on automatic updates where practical for operating systems, browsers, business applications, and network equipment. For systems that cannot update automatically, assign someone to monitor updates and apply them promptly, especially when a vendor fixes a security flaw.

CISA lists software updates among the core steps in its small-business guidance.
6. Automatic backups, an isolated copy, and restore practice
Back up critical business data and configurations automatically and continuously where feasible. A backup connected to the same network or accessible through the same compromised account may be vulnerable in a ransomware incident, so maintain an air-gapped or otherwise isolated copy that is still readily retrievable.
Rank #4
Choose retention periods that let the business recover files from before an incident, and assign a person to run restore tests. A backup is useful only if the business can retrieve it and restore systems within a timeframe it can tolerate. CISA recommends automatic, continuous backups and an air-gapped, readily retrievable copy in its guidance for managed service providers and small and midsize businesses. 7. Logging and threat detection suited to your capacity
Enable useful security logs for important accounts, devices, and services, then decide who will review alerts and respond. Logging without someone responsible for noticing and acting on suspicious activity is of limited value. A small business without in-house security staff can begin with the logs and alerting built into the services it already uses, then consider outside IT support as its needs grow.
CISA lists Logging Made Easy as a no-cost resource. It is one option to explore when building basic logging capability; it does not remove the need to define who handles alerts. CISA’s small-business resources

8. SaaS configuration checks or vulnerability scanning
Cloud services can be secure in principle and still be exposed by weak settings, excessive access, or overlooked accounts. For organizations using supported cloud services, CISA’s SCuBA resources can help assess secure configurations. For internet-facing systems, CISA Cyber Hygiene Services offers vulnerability scanning resources listed for small businesses. Choose checks that match the systems you actually operate and make sure someone can act on the findings.
These are different approaches: configuration checks focus on settings in supported cloud services, while vulnerability scanning looks for exposed weaknesses in systems. CISA lists both among its small-business resources; neither is a substitute for patching or access controls.
How to prioritize the eight defenses
Do not treat this as a shopping list or assume every business needs eight new products. Map the controls to the accounts, devices, data, and support the business has, and put the highest-impact protections first.
