What Can You Do in Xero? Daily Tasks, Setup and Plan Limits

Xero covers common bookkeeping tasks on desktop and mobile, but setup, plan limits, and your accounting experience determine how easy it feels.

For many small-business owners, Xero’s everyday bookkeeping tasks appear designed to be approachable, but “easy” depends on your accounting experience, the work you need to do, and which plan you use. Xero says 88% of surveyed US small businesses using the product agreed it was easy to use. That vendor-conducted survey is a useful signal, not a promise that every new user will find setup or bookkeeping simple.

What can you do in Xero day to day?

Xero is cloud accounting software for tasks such as invoicing, managing bills, reconciling bank transactions, handling expenses, and viewing reports. These are familiar bookkeeping jobs, though the software does not remove the need to understand what the entries mean or check that they are correct. Xero describes these workflows on its invoicing page and features page.

Invoicing and bills

You can create and send invoices, set reminders, and capture bill details using a phone. Xero also describes adding customers, branding invoices, and converting quotes into invoices. These capabilities can make routine admin more convenient, but whether the workflow fits depends partly on your invoice and bill volume and the limits of your plan.

Bank reconciliation

Xero says it can use transaction history to suggest matches for recurring payments, including invoices and bills. You still need to review suggested matches; this is a way to reduce repetitive work, not a guarantee that every transaction will be matched or recorded correctly. See Xero’s explanation of bank reconciliation.

Reports and oversight

Financial reports can help you see how the business is doing, but interpreting them requires some familiarity with bookkeeping concepts. If you are unsure how to classify a transaction or read a report, a bookkeeper or accountant can provide support.

Is Xero easy for beginners to set up?

Xero’s cloud-based workflows cover common accounting tasks, but the available product information does not establish that every beginner can set up an account without help. Initial work may involve entering business and customer details, connecting or organizing financial information, and choosing how invoices and bills should be handled. The right choices depend on your business and records, not just the interface.

If you want guidance, Xero describes accountants and bookkeepers working with customers using shared data. You can consider asking a qualified accounting professional to help with setup or ongoing bookkeeping; the need for that help will vary with your experience and business requirements. Xero discusses this collaboration on its small-business accounting software page.

Can you use Xero on your phone?

Yes. Xero’s mobile app supports practical tasks including sending invoices, capturing bills, checking cash flow, and reconciling transactions. Xero also describes using the app to add customers, brand invoices, and convert quotes into invoices. The app can be useful for handling work away from a desk, though it does not mean every accounting task is equally convenient on a smaller screen. See the Xero Accounting app page and Xero’s guide to mobile accounting apps.

What does the 88% ease-of-use figure mean?

Xero reports that 88% of customers agreed it was easy to use, based on a survey of 271 small businesses in the US already using Xero, conducted in May–June 2024. Because the survey was conducted by the vendor and included current users, it describes those respondents’ views; it does not independently prove that new users will find Xero easy. The figure appears on Xero’s US mobile-app page.

Could plan limits affect how easy Xero feels?

Yes. The US plan information surfaced for Xero shows that the Early tier has limits on invoices and bills, while higher tiers add features such as more automation or reporting. If your routine exceeds an entry plan’s limits, you may need to change your workflow or choose another tier; that can affect both convenience and cost. Check the current terms for your region and business needs on Xero’s US pricing plans page and features page. Plan details and promotions can change, so don’t rely on an old advertised offer.

How to judge whether Xero will be easy for your business

  • List your regular tasks: Note how often you invoice, manage bills, reconcile transactions, and review reports.
  • Check plan fit: Compare your expected invoice and bill volume with the current limits and features for your region.
  • Consider how you work: The mobile app covers several useful tasks, while more involved accounting work may be easier at a computer.
  • Be honest about your bookkeeping experience: A clear workflow can still require decisions about how transactions are recorded and reports are interpreted.
  • Decide whether you want professional help: An accountant or bookkeeper can support setup and ongoing work if you do not want to manage every accounting decision yourself.

If you compare Xero with another accounting package, focus on your own workflow: volume limits, bank-feed and reconciliation behavior, mobile tasks, reporting and automation by plan, integrations, accountant collaboration, and the current total price in your region. The available product information supports these comparison points, but does not establish that one product is the easiest for everyone.
