The most common migration failures happen at the boundaries: an unsupported phone, a mismatch in signaling or media settings, a firewall that blocks traffic, a rejected number port, a changed call route, or an emergency address that no longer matches the caller’s location. A SIP label alone does not guarantee that a device or service will work with the replacement platform.
Why a SIP phone system does not transfer as one interchangeable package
SIP is a signaling protocol, not a guarantee that every phone, carrier, and calling platform uses the same configuration or supports the same features. A move can change the provider’s requirements for authentication, SIP methods and headers, phone-number formatting, codecs, transport, network traversal, and call flows.

For example, 8×8’s interface specification describes requirements for its own SIP trunk interface, including supported methods, headers, codecs, transport, authentication, and sample inbound and outbound call flows. Those requirements are an example of what to check with a destination provider; they are not universal SIP rules. Ask for the replacement service’s current specifications and confirm that your existing setup meets them.

Desk phones and other endpoints
A phone can support SIP and still be unsupported by the new service. Compatibility may depend on the exact model, firmware, provisioning method, licensing, and supported features. Microsoft’s Teams SIP Gateway documentation, for example, lists compatible models and firmware requirements; some enterprise firmware must be converted to multiplatform firmware. Check the destination platform’s list for your exact model and firmware rather than relying on the phone’s SIP capability alone.
Inventory analog-connected equipment separately. Fax machines, door phones, paging systems, alarm panels, elevator phones, modems, and point-of-sale lines may rely on particular line behavior or signaling. A replacement service offering voice does not by itself establish that these devices will work or meet any safety or regulatory obligations. Confirm each device with both the new provider and equipment vendor.

Call setup, audio, and DTMF
A device may register successfully even though calls fail, have one-way audio, or lose a feature. Registration, signaling, media, and application behavior are separate checks. Differences in authentication, SIP headers, number formatting, codecs, transport, or network address translation (NAT) can affect call setup or audio. DTMF—the tones used for menus and other phone functions—also needs an end-to-end test.

The replacement service may require different signaling and media network access from the old system. Microsoft documents IPv4-only support for Teams SIP Gateway, as well as firewall requirements and emergency-call location attributes for compatible devices. That is specific to Teams SIP Gateway, not a general rule for other services. Check the destination provider’s current network requirements and test from every office and remote-access path where phones will be used.

Call routing and familiar features
Keeping a telephone number does not automatically preserve the behavior attached to it. Auto attendants, call queues, business-hours schedules, voicemail, forwarding, hunt groups, transfers, caller ID, conference services, and shared-line behavior may need to be recreated. Document what callers and staff currently experience, then test each important route in the new system.
Number ports and account records
A number port is a carrier process with eligibility, records, and authorization dependencies—not simply a cutover switch. For Microsoft Teams Calling Plans in the United States, Microsoft’s phone-number management documentation estimates 5 to 12 business days for a port. That is Microsoft’s estimate for that service and market, not a general timeline; another provider, country, or number type may follow a different process.

- Supports 4 SIP accounts and 4 multi-purpose line keys
- Swappable faceplate to allow for easy logo customization
- GRP2612W includes built-in dual-band Wi-Fi support. Ethernet cord must be disconnected to enable Wi-Fi capability
- HD audio supporting all major codecs, including wideband codecs G.722 and Opus Up to 16 digital BLF Keys
- Enterprise-level protection including secure boot, dual firmware images, and encrypted data storage
Port requests can be delayed or rejected when submitted details do not match the losing carrier’s records, required authorization is missing, or a number has a freeze. Microsoft’s guidance identifies mismatched account PINs and service addresses among common issues, and recommends checking the customer service record (CSR) and a recent invoice. Confirm the billing telephone number and whether the request is a full or partial port: a partial port can leave other numbers and service with the former provider.

Emergency calling and location
Do not assume the emergency address or location behavior from the old service carries over. IETF RFC 6881, Best Current Practice for Communications Services in Support of Emergency Calling (March 2013), says: “If a device or application expects to be able to place a call for help, the service provider that supports it MUST facilitate emergency calling.” The practical configuration and testing process depends on the provider and jurisdiction.
Best Value
- Mid-level phone, ideal for professionals and managers with moderate call load
- Ergonomic design with adjustable display
- Built-in Bluetooth, Wi-Fi
Microsoft’s Teams SIP Gateway documentation describes dynamic emergency calling for compatible devices that share network location attributes, with registered-address fallback in some situations. Those details apply to that platform. With any destination, validate the emergency-calling setup for each office and relevant floor, plus remote or mobile use cases, using the provider’s approved procedure.

- Inventory what exists. Record every telephone number and its purpose; each phone’s model and firmware; analog devices; important call routes; and the features employees or callers depend on.
- Gather porting records. Confirm the current carrier account name, billing telephone number, service address, PIN, CSR, authorization requirements, and whether each port is full or partial. Ask the destination provider about eligibility, schedule, and deadlines for changes or cancellations.
- Get destination-specific requirements. Ask the provider for its supported-device and firmware list, SIP interoperability specifications, firewall and media requirements, emergency-calling process, and support for the call flows and analog equipment you use.
- Recreate the call behavior. Configure routing, schedules, queues, voicemail, forwarding, caller ID, and other required features in the new platform. Do not treat number continuity as proof that these settings were transferred.
- Keep the old service available during verification. Retain authorized access until the port and routing are confirmed. Coordinate timing with both providers so an unresolved order or route does not leave callers without a working path.
- Test the actual deployment. From each relevant office and remote path, place inbound and outbound calls and check caller ID, two-way audio, DTMF, transfers, forwarding, voicemail, queues, and after-hours behavior. Test critical analog endpoints individually and follow the new provider’s emergency-calling test procedure.
- Escalate port problems with exact records. If an order is rejected, use the carrier’s rejection reason to identify the discrepancy and correct the submitted record or authorization with the provider or carrier.
What to compare when choosing a destination
Evaluate candidate services against the requirements of your actual deployment, rather than assuming that all SIP-capable services will behave alike.
