A micro-event is a deliberately small gathering organized around one shared purpose, topic, or activity. There is no universal attendee limit: choose a capacity that lets you run the activity well, then state that number clearly in your invitation. For a small online event, define the goal, choose a format that gives people a way to participate, send complete joining details, rehearse the technology, and follow up afterward.
What is a micro-event?
A micro-event is a deliberately small gathering built around one clear reason to get together. It may be online, in person, or hybrid. The term has no fixed, universal headcount; the appropriate size depends on the activity, venue or materials, and the host’s ability to welcome and involve participants.

Cvent describes micro-events as typically hosting 10–50 people. That is one publisher’s typical range, not an official definition or a measured industry standard. A focused session with fewer people may still be a micro-event, and the word itself does not tell invitees how many seats are available.

How many people should a micro-event have?
Set the limit by asking how many people can take part meaningfully in the activity you have planned. A facilitated discussion may need a smaller group than a presenter-led session; a workshop may be limited by the time available for individual feedback or by the materials participants need. State the actual capacity in the invitation rather than relying on “micro-event” to imply it.

If you are unsure, choose a number that leaves room for each attendee to participate in the way your event promises. You can adjust the capacity after learning what worked in the first session.
How to host a small online event
- Write the purpose in one sentence. Decide what participants should learn, discuss, make, or contribute. A specific outcome helps you choose whom to invite and which format will serve them.
- Set the capacity. Choose a participant limit that suits the activity and your ability to facilitate it. Include the limit in the invitation.
- Choose a short format and a participation prompt. Possibilities include a guided discussion, workshop, language exchange, or small-group Q&A. For a discussion, prepare one clear prompt and simple ground rules, such as how people should signal that they want to speak.
- Pick a platform for the actual needs. Consider whether you need registration or invitations, attendee limits, chat or Q&A, breakout interaction, recording, accessibility support, or post-event reporting. A small discussion may not need the workflow of a webinar. Microsoft describes Teams event tools for event pages, invitations, reminders, attendee tracking, and engagement reporting. Its event information says an organizer needs a Teams Enterprise license to create and host a Teams event, while attendees do not need a Teams license; licensing and features can change, so check Microsoft’s current terms before relying on that arrangement.
- Send a complete invitation. Include the purpose, intended audience, date and time with time zone, platform, how the joining link will be provided, capacity or price if applicable, accessibility details, and anything participants should prepare. For an online discussion, share its prompt in advance so people know what they are joining.
- Assign the event roles. Decide who will welcome guests, facilitate, monitor chat or questions, manage slides or screen sharing, and handle any recording. One person can cover more than one role, but make ownership clear before the event.
- Rehearse the setup. Run through introductions, transitions, slides, camera, microphone, and relevant platform settings with everyone who has an active role. Zoom recommends a dry run and suggests presenters use the equipment they will use live. A standalone microphone or good headset may improve audio; a microphone or headset, ethernet cable, ring light, and webcam are possible speaker-kit items, not a mandatory shopping list. Start with what you have and add equipment only if rehearsal reveals a real problem.
- Host to the stated goal. Start on time, restate the purpose and participation format, use the planned prompt, and leave time for the discussion or questions participants were promised.
- Follow up and refine. Send any next steps or a thank-you, ask for brief feedback, and note which prompts worked and what ran long. Use those observations to improve the next gathering rather than assuming the first format is final.
What platform and equipment do you need?
There is no single platform or equipment setup that every small online event requires. Match the tools to the interaction: registration and reminders matter when attendees need a managed invitation process; chat, Q&A, or breakout interaction matter when the format uses them; recording matters only if you intend to make a recording and have planned how it will be handled. Check accessibility needs with participants rather than assuming the platform or format will suit everyone.

For the presenter, reliable audio and a rehearsal are more useful starting points than buying a full kit. Zoom lists a microphone or headset, ethernet cable, ring light, and webcam as possible speaker equipment, and recommends testing the actual setup in advance. If your built-in microphone and camera work well in a test, extra gear may not solve a problem you have.
