An on-premises replacement for Microsoft 365 needs more than servers and software: your organization must operate security updates, protect data and configuration, provide recovery infrastructure, and prove that restoration works. Start by inventorying the workloads to replace and getting business owners to approve recovery time and data-loss limits. Those targets—not a hardware shortlist—should drive the design.
What does an on-premises Microsoft 365 replacement need for security?
Moving a workload out of Microsoft’s cloud moves operational responsibility to your organization. The precise design depends on which services you are replacing: the available Microsoft guidance is especially detailed for Exchange Server and SharePoint Server, and does not establish a complete architecture for every Microsoft 365 workload. Inventory services and dependencies first, including identity, networking, email routing, and any collaboration or telephony functions in scope.

Keep every exposed component supported and patchable
Maintain supported server and operating-system versions, and assign an owner and schedule for cumulative updates and security updates. Microsoft’s Exchange Server update FAQ distinguishes cumulative updates, security updates, and hotfixes, and stresses keeping Exchange servers current. It also says on-premises environments should be ready to take an emergency security update, including Exchange and Windows. That readiness is an operational requirement: plan how updates will be assessed, tested, approved, and deployed promptly, rather than treating patching as an occasional maintenance task.

Use product security features as controls, not guarantees
Microsoft documents Exchange Server Subscription Edition features that can contribute to hardening: support for Windows Server Core, TLS 1.2 and 1.3 enabled by default in supported configurations, and Windows Extended Protection enabled by default. These features do not secure every deployment by themselves. Validate platform prerequisites, supported configurations, access controls, and current support matrices as part of design and implementation.

Check lifecycle and servicing at procurement and upgrade time
Microsoft Lifecycle lists Exchange Server Subscription Edition as in support under the Modern Lifecycle Policy, with a start date of July 1, 2025. SharePoint Server Subscription Edition is also listed as in support, with a start date of November 2, 2021. Microsoft’s SharePoint servicing policy requires supported builds to be maintained and says public update builds released from January 10, 2023 onward are supported for one year from release. These dates and servicing rules are time-sensitive; recheck Microsoft’s lifecycle and servicing information when procuring or planning a major upgrade.
What are RTO and RPO, and how should I choose them?
Recovery time objective (RTO) is the maximum acceptable time to restore a service after an outage. Recovery point objective (RPO) is the maximum acceptable amount of data loss, expressed as the point in time to which data must be recoverable. Business owners should approve both for each workload or service tier before administrators choose backup frequency, replication, or standby capacity.

Set the targets by examining the impact of an outage and of losing recent work: which users or processes are blocked, what obligations apply, and what manual workaround is possible? A target is not a promise that a particular system can meet it. Validate the chosen design with representative restore or failover exercises and measure the results against the approved objectives.

How do I back up Exchange and SharePoint on premises?
Design for recovery, not merely successful backup jobs. Identify the data and configuration that must be protected, where copies will be stored, how they will be restored or rebuilt, and what alternate infrastructure will be available. Microsoft’s SharePoint disaster-recovery guidance describes shipping backups regularly to local and regional off-site storage for a cold-standby pattern; it does not prescribe a universal backup interval or a specific backup product.

Build a recovery plan around the workload and its dependencies
- Protected content and configuration: document the data, settings, customizations, and supporting components required to return the service to operation.
- Copy locations and isolation: define which copies are local and off-site, how they are protected from production-side failures, and who can access them.
- Retention and restore points: choose retention and restore granularity to meet the approved RPO and applicable business or regulatory needs.
- Restore order: record the sequence for bringing back identity, network services, databases, applications, and user access, including dependencies such as directory and SMTP services where relevant.
- Decision-making and communications: assign authority to declare a disaster, choose a recovery site, and communicate status to affected users and stakeholders.
- Recovery exercises: schedule restores and record elapsed time, recovered data point, issues, and corrective actions.
An external hard drive can be one example of a storage medium, but an individual drive is not a complete enterprise backup strategy. Assess capacity, encryption, durability, isolation, retention, off-site separation, and whether data can be restored within the required RTO. Do not treat data as recoverable until a restoration has been demonstrated.
Do I need a hot, warm, or cold standby site?
Microsoft’s SharePoint Server disaster-recovery guidance describes these standby patterns by indicative availability windows. The ranges are planning descriptions, not performance guarantees for a particular environment. The source does not specify an RPO for each pattern; define that separately and validate it through testing.

| Standby approach | Microsoft’s described availability window | Planning implications |
|---|---|---|
| Cold | Hours or days | Microsoft describes regularly shipping backups to local and regional off-site storage and arranging emergency server capacity in another region. Recovery depends on how quickly that capacity and its dependencies can be made operational. |
| Warm | Minutes or hours | Microsoft provides this as a planning category; the cited guidance does not specify a universal architecture, cost, or RPO for it. Define what is already running and what must be restored or configured during failover. |
| Hot | Seconds or minutes | Microsoft’s SharePoint guidance says the failover farm needs its own configuration and Central Administration content databases, deployed customizations, and matching operating-system, SQL Server, and SharePoint updates. |
Choose among them by comparing the business-approved RTO and RPO with infrastructure and operating costs, recovery complexity, and the time and data point demonstrated in exercises. A faster target generally calls for more ready capacity and more consistency work, but no pattern meets a target automatically.
Keep a SharePoint failover farm consistent
A standby farm is not simply a second set of servers. Microsoft’s guidance calls for aligning its software, updates, configuration, and customizations with the primary farm, and maintaining its own required configuration and Central Administration content databases. Size the failover environment for the traffic it must handle during an outage. Include supporting services—such as power, cooling, network, directory, and SMTP—in the recovery design; a ready application farm cannot serve users if those dependencies are unavailable.

How do I know that my disaster-recovery plan will work?
A written plan and successful backup reports are not proof of recovery. Demonstrate restoration or failover under realistic conditions, capture the time required and the recovered data point, and compare both with the approved RTO and RPO.
- Approve service targets: have business owners confirm acceptable downtime and data loss for each workload or tier.
- Document the recovery path: identify protected content and configuration, recovery locations, dependencies, restore order, decision authority, and communications.
- Exercise a restore or failover: use the actual recovery media and alternate infrastructure, rather than assuming a successful backup job proves they work together.
- Measure and correct: record elapsed recovery time, the latest data point recovered, and any failures or manual steps. Fix gaps and repeat the exercise.
Revisit the runbook when workloads, configurations, software updates, dependencies, or business targets change. A recovery result only demonstrates the tested scope and conditions; it does not establish that every service or failure scenario is covered.
What changes when replacing Microsoft 365 cloud services?
Microsoft describes SharePoint and OneDrive cloud resilience in terms that include redundant data storage, automated failover, and recovery features. Microsoft 365 Backup separately covers Exchange Online, SharePoint, and OneDrive, with restore-point behavior that varies by workload and time window. These descriptions provide a comparison for cloud services; they do not guarantee equivalent controls in a locally hosted replacement.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsFor each responsibility previously provided by a cloud service, identify a local owner, the technical control that will cover it, and the recovery test that will demonstrate it. Do this workload by workload: the available guidance does not establish one end-to-end on-premises architecture for every Microsoft 365 service. Confirm workload fit, licensing, supported configurations, regulatory constraints, data volume, and geographic requirements before settling on an implementation.
