A document library is an organized online collection that helps people find, browse, filter and download files. Choose software by the job: publishing a searchable library on your website, sharing files with a team, managing controlled business records, or preserving an archive. Those needs overlap, but they are not the same.
What is a document library?
A document library presents files with useful titles or metadata and ways to search or browse them. It may be public-facing, so visitors can locate and download documents, or private, so employees can find shared material. Its purpose is to make files usable and discoverable, not merely to store them.

A folder shared from a cloud drive can work for a small group, but a public audience often needs a more deliberate experience: clear descriptions, filters, and a straightforward path to the right download. A repository, by contrast, tends to emphasize long-term preservation and metadata; a library is generally oriented toward helping people find and use documents now.

How a document library differs from storage and document management
| Category | Main purpose | Typical capabilities |
|---|---|---|
| Cloud storage and file sharing | Sync files and share them with selected people | Folders, sharing links or account permissions, and collaboration. A shared folder may be enough for limited team sharing. |
| Document library software | Help an audience discover and download a collection | Search, filters, metadata, and a browsable presentation; often used for a public library on a website. |
| Document management system (DMS) | Control documents through an internal lifecycle | Versioning, approvals, permissions, retention, and governance. |
These categories can overlap. The useful distinction is the primary problem each is designed to solve: file sharing, discovery, or controlled record management.

Which kind of software fits your job?
Publishing documents to the public
Look for a branded presentation, useful search and filters, descriptive metadata, a clear download experience, appropriate access rules, and compatibility with your website platform. A public library should help visitors find a document without requiring them to understand your internal folder structure.
Sharing files with a small team
Start by checking whether a shared cloud folder already meets the need. Compare account and link permissions, syncing, and collaboration features. A separate library product may be unnecessary if the audience is small and the collection does not need public-facing discovery.

- Convert over 50 document file formats.
- Preview your files from Doxillion before converting them.
- Use batch conversion to convert thousands of files at once.
- Enjoy an easy-to-use, intuitive interface with a Drag and Drop file option.
- Burn your converted or original files directly to disc.
Managing controlled internal records
Prioritize version history, approval and retention workflows, granular permissions, auditability, governance, and deployment constraints. A tool that presents public downloads well is not automatically a suitable system for controlled records.

Nine document-library and document-management options
The following nine options are the set listed in a comparison by Barn2. Its descriptions are a starting point for categorizing products, not the result of independent testing in this article. The comparison presents both library tools and products designed primarily for storage, document management, or repository use.
| Option | Category or fit described by Barn2 | What to consider |
|---|---|---|
| Document Library Pro | Public-facing searchable library software | Assess whether its website-platform fit, presentation, search, filters, and access controls match your publication needs. |
| Google Drive / Workspace | Cloud storage | Consider it for file storage, syncing, and sharing; determine whether its sharing experience provides enough discovery for your audience. |
| Dropbox | Cloud storage | Consider it for file storage and sharing; check whether a shared-folder approach is sufficient or whether visitors need a dedicated library interface. |
| SharePoint | Intranet or document-management option for Microsoft 365 teams | Useful to evaluate when collaboration, permissions, metadata, views, and document lifecycle controls matter. |
| M-Files | Enterprise document management system | Evaluate against internal records, governance, and workflow requirements. |
| OpenKM | Open-source document management system | Check whether its document-management approach and deployment requirements suit your organization. |
| Mayan EDMS | Open-source document management system | Assess fit for controlled internal documents and the operational requirements of your deployment. |
| DSpace | Academic repository | Consider it where research or institutional repository needs and long-term stewardship are central. |
| FileBird Document Library | Public-facing library software | Assess its fit for your site platform and the search, filtering, presentation, and access controls your audience needs. |
Barn2’s comparison table also reports starting prices, but its pricing claims were not independently verified across all nine products. Prices and feature tiers can change, and a starting price is not meaningful without checking the same user count, edition, hosting model, and required features. Confirm current details on the relevant vendor’s official site before deciding.

What SharePoint libraries can do
Microsoft describes a SharePoint document library as a place to list files and folders alongside information such as who created or last modified an item. Its documented functions include adding, editing, deleting, downloading, sharing, tracking activity, and controlling access at the library, folder, or file level. Users can also use custom views and collaborate on documents. See Microsoft’s overview of document libraries.

Microsoft’s guidance also covers version history and restoration, coauthoring or checkout, and policies for managing records and retention periods. These features make a library useful for more than public downloads: it can be part of an internal document-control process. See Microsoft’s introduction to libraries.

In Microsoft 365, shared team libraries in SharePoint are distinct from users’ individual OneDrive libraries. Teams channel files use the SharePoint site associated with the Microsoft 365 group; in Microsoft’s described configuration, private and shared channels have separate sites. See Microsoft Learn’s guidance on Teams-connected SharePoint sites.
Is there free document library software?
Possibly, depending on what you mean by “free.” Cloud services may let you share files through a folder, while open-source DMS options can be evaluated for self-managed deployments. Those are not automatically equivalent to a ready-made, public-facing searchable library: hosting, setup, administration, and the features you need all affect the real cost. The options named in the comparison include OpenKM and Mayan EDMS as open-source DMS products, but the cited material does not establish their current licensing, hosting costs, or complete feature sets.
For a public collection, compare the full cost of the website integration and the discovery experience, not just whether the software has a free tier. For internal records, account for ongoing administration and governance as well as licensing.

A practical checklist before choosing
- Define the audience: public visitors, a small team, employees handling controlled records, or researchers and archive users.
- Specify the task: publish and download, sync and share, manage document lifecycles, or preserve a collection.
- Test discovery: identify the metadata, search terms, filters, views, and browsing paths people will actually use.
- Set access requirements: decide whether documents are public, invitation-only, role-restricted, or controlled at file level.
- Check lifecycle needs: determine whether version restoration, approvals, retention, audit trails, or governance are required.
- Confirm deployment and cost: verify current platform compatibility, hosting, user limits, feature tier, and total operating requirements with the vendor.
