In a voice-note async standup, each teammate records a short update when it suits their workday, posts it in a shared team space, and flags anything that needs help. A useful update covers three things: what moved forward, what comes next, and what is blocked. The format is a lightweight check-in—not a substitute for every live conversation or focused problem-solving session.
What to say in a voice-note standup
Use the same three prompts each time so teammates can listen for progress and requests without guessing what to include:

- What moved forward? Name the result or meaningful progress since the last check-in.
- What is next? State the next priority, rather than reciting a full task list.
- What is blocked or needs help? Describe the obstacle and say who or what could unblock it.
This structure follows the standup prompts in Loom’s guidance for weekly updates. For a blocker, make the request actionable: name the person or role you need, or specify the decision or information missing. Put the discussion in a thread or take it directly to the people who can act; a standup update is for surfacing the issue, not resolving a complicated one in a long recording.
How long should the recording be?
Aim for a brief update that a teammate can review quickly. Loom describes one design team’s weekly recorded updates as 1–3 minutes, while Loom Senior Product Designer Judson Collier says he aims for 1–2 minutes for his own update. These are examples from a vendor team, not a proven ideal length for every team or a requirement for voice messages. The practical rule is to say enough to make progress and requests clear, then stop.

If people routinely need to listen to long recordings to find the update, narrow the prompts or move detailed explanation into a follow-up conversation. A voice note preserves spoken nuance, but it takes longer to review than text that can be skimmed.
Choose a cadence that matches the work
Set a predictable rhythm, then adjust it to how often teammates need to coordinate. In a Loom design-team example, updates were weekly and posted on Monday. Range’s guide to distributed async standups describes daily, every-other-day, or several-times-a-week check-ins. Neither example establishes a universally best cadence.

For teams spread across time zones, do not make everyone record at one shared meeting hour just to preserve the standup ritual. Choose a posting window or reminder that fits the team’s work. Range describes both common-time and local-time reminder options. Whatever cadence you select, tell contributors when an update is due and when teammates should expect to review it.

- Pick one team space. Use a channel or other shared location where updates are easy to find, review, and respond to. Avoid scattering recordings across private messages and unrelated threads.
- Post the prompts and the deadline. Keep the three questions visible, along with the cadence and the expected length.
- Ask contributors to flag blockers clearly. Each request should identify the needed help, owner, or decision. Teammates can then follow up in the thread or a focused conversation.
- Close the loop. The person who can help should respond where the team can see the answer, or tell the requester where the follow-up is happening. Loom’s guidance recommends following up on action items during the week or at the next standup.
If your team already uses Slack, Atlassian Support says a Loom recording can be initiated from Slack desktop or web after installing a Loom recorder, and that a shared recording link can expand in a Slack channel or direct-message thread. The documented Slack flow does not support starting a Loom recording from Slack mobile. These are Loom-specific sharing details, not requirements for a voice-note standup; integration behavior can change, so check Atlassian’s current Slack integration instructions before relying on a particular flow.

Voice notes, video, or structured text?
Choose the format around the work and the people who need to take part. The following are practical trade-offs, not measured findings that one format produces better team outcomes.

Offer text as an equivalent way to participate for teammates who cannot conveniently record or listen, and consider transcripts or captions if your chosen tools make them available. The sources cited here do not establish which accessibility features are available for a particular voice-note setup. Range’s guide is an example of structured check-ins using work plans, progress, blockers, reminders, and team summaries; it is vendor material, not a neutral comparison proving that check-ins outperform recordings.

Review whether the ritual is helping
Check whether people actually review the updates, whether blockers reach someone who can help, and whether the cadence is producing useful information rather than repetitive reporting. If updates are ignored, shorten them, change the prompts, adjust the timing, or offer a different format. Keep live conversations for issues that need quick back-and-forth, shared decisions, or detailed problem-solving.

It reported that daily standups can be challenging and negatively experienced by some participants.
