Virtual Landline for Small Business: Compare 5 Services

Compare Grasshopper, Ooma Office, RingCentral RingEX, Google Voice, and Quo for business numbers, team calling, published pricing, and fit.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a small business that needs a professional number without installing a traditional wired line, these five hosted phone services are worth comparing: Grasshopper, Ooma Office, RingCentral RingEX, Google Voice for Google Workspace, and Quo. They are not all the same kind of service: some primarily put a business number on devices you already use, while others offer a fuller, multi-user phone system.

There is no universal winner. The right fit depends on how many people need to answer, whether each person needs a direct number, what call routing and messaging features matter, and the full cost at your user count. The comparison below reflects published product information, not hands-on testing; prices and terms can change.

What “virtual landline” means for a small business

“Virtual landline” is commonly used to describe a hosted business number or phone service that works over internet-connected devices rather than requiring a conventional wired line. Depending on the provider and plan, it may simply forward calls to existing phones or provide features such as extensions, a virtual receptionist, team routing, and desktop or mobile apps. Check the specific plan before assuming it includes a feature your workflow needs.

Start by deciding whether you need one shared business number, a separate direct number for each employee, or both. Then compare the total recurring cost for your actual number of users and billing term, including applicable taxes and fees. The listed prices below are those stated on the linked provider pages and should be confirmed before purchase.

How to choose a service for your business

Work out the real cost for your team

Compare each provider at the number of users you will actually have, using the same billing period where possible. Include per-user charges, extra numbers, one-time fees, taxes, and mandatory fees. A low starting price can be misleading if your setup needs several users or add-ons.

Match numbers and call routing to the way you work

Decide whether callers should reach one shared number, individual employees, or both. Check for the specific routing tools you need, such as forwarding, extensions, ring groups, business hours, receptionist or IVR, voicemail, and call queues. Do not assume every plan includes all of these.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check messaging, devices, and integrations

If customers text your business, verify whether business SMS or MMS is supported and how messages are shared or separated among team members. Confirm whether staff can use mobile and desktop apps, whether desk phones are supported if you need them, and whether the service integrates with the tools your business relies on. Also check any requirements for analytics, fax, international calling, or emergency calling.

Plan number selection and porting

Check what local, toll-free, or vanity numbers are available in your area, whether a number can be ported from your current provider, and whether porting or vanity-number setup has conditions or fees. If keeping an existing number is essential, get confirmation for that number and your location before switching.

Which option fits which business?

  • Solo owner using existing devices: Grasshopper’s stated focus on a separate business number, apps, and no additional phone hardware makes it a relevant starting point. Check that its current call features match your needs.
  • Small office that needs team calling tools: Ooma Office publishes tiered per-user plans and features such as a virtual receptionist and ring groups. Verify plan inclusion and calculate the cost for everyone who needs access.
  • Team considering direct numbers for employees: RingCentral states that each user gets a dedicated business number on Core and lists add-on local and toll-free numbers. Compare the annual-billing starting price and additional costs with your number requirements.
  • Business already evaluating Google Workspace: Google Voice is a business product to assess, but confirm current plan, pricing, and feature details directly rather than assuming they match your Workspace setup.
  • Team interested in shared calling and messaging: Quo is worth checking, but confirm current branding, plans, prices, and capabilities on its own site before comparing it with better-documented options.

Questions to settle before switching

  • What is the complete monthly and annual cost for my exact user count and number configuration?
  • Can I keep my existing business number, and what is the provider’s porting process?
  • Which call-routing, voicemail, business-hours, and messaging features are included in the plan I would buy?
  • Can staff use the service on their existing phones and computers, and do we need desk-phone support?
  • Does the service meet our integration, international calling, fax, analytics, and emergency-calling requirements?
