Virtual Desktop Services Explained: How VDI and DaaS Work

Virtual desktop services deliver desktops or apps hosted on centralized infrastructure. Understand VDI, DaaS, session models, and management responsibilities.

Virtual desktop services let people use desktops or applications hosted on centralized infrastructure through a network connection. The device in front of the user displays the remote environment; the hosted system runs its operating system, apps, and computing resources. AWS defines virtual desktop infrastructure (VDI) in these terms.

What is virtual desktop infrastructure (VDI)?

VDI is the infrastructure and software used to create and manage virtual desktops centrally. Each desktop is a software-based computing environment hosted on a server or cloud infrastructure and accessed remotely from a physical device.

For example, an employee could open a client app or browser on a laptop, connect to a company-hosted Windows desktop, and work in the applications running in that remote session. The laptop provides the interface and connection; the hosted environment does the desktop computing.

How is VDI different from DaaS?

VDI describes the technology and management approach. Desktop as a service (DaaS) describes a provider-delivered service model for hosted desktops. The terms are related, but DaaS does not automatically mean the provider manages every part of the desktop environment.

Depending on the offering, the provider may operate the underlying infrastructure or core platform while the customer remains responsible for tasks such as desktop images, applications, deployment, monitoring, user profiles, or support. Check the division of responsibility for each service rather than relying on the DaaS label. AWS’s VDI overview and Microsoft’s Azure Virtual Desktop overview describe different service and management arrangements.

How does a virtual desktop service work?

A user connects through a native client or browser. Service-side components authenticate and broker the connection, route it through a gateway, and connect the user to a session host. That host runs the desktop or applications. In Azure Virtual Desktop, Microsoft provides core VDI components as a service, but some environment components and operational tasks remain with the customer or a partner. Central hosting can make it easier to manage desktops and applications in one place and give users access from different kinds of endpoint devices. It does not inherently guarantee lower costs, stronger security, better performance, or simpler administration; those results depend on the workload, setup, licenses, connectivity, and management responsibilities.

What can a virtual desktop service deliver?

Whole desktops or individual applications

A service can provide a complete desktop or publish individual applications without exposing a full desktop. Azure Virtual Desktop supports full desktop access and RemoteApp-style app publishing. Microsoft documents both options.

Personal or pooled sessions

A personal desktop is assigned to an individual user. A pooled design lets multiple users share a group of session resources, potentially using multi-session hosts. These models are not interchangeable: user needs, application behavior, persistence requirements, and capacity planning affect which is suitable. Azure Virtual Desktop supports single-session and multi-session configurations. Its overview describes those configurations.

As a contrasting model, Microsoft’s Windows 365 architecture guidance describes a Cloud PC assigned to an individual user as a dedicated Windows device.

Common virtual desktop service models

  • Customer-managed VDI: The organization operates much of the desktop environment and its lifecycle on infrastructure it controls or rents.
  • Provider-managed VDI: A cloud provider supplies part of the platform or infrastructure, while customer administrators retain selected deployment and desktop-management duties. AWS describes fully managed cloud VDI as a distinct model.
  • DaaS: A provider delivers hosted desktops and may take on more ongoing administration. The exact boundary still depends on the service.

These categories describe responsibility patterns, not fixed industry-wide contracts. Confirm which party handles each component before choosing a model.

What to compare when choosing a service

  1. Management boundary: Identify who manages infrastructure, connection brokering and gateways, desktop images, operating systems, applications, profiles, monitoring, and user support.
  2. Desktop and session model: Determine whether users need dedicated persistent desktops or pooled sessions, and whether the workload can share a multi-session environment.
  3. Workload fit: Check supported operating systems and applications, graphics or compute requirements, and storage needs.
  4. Access and connectivity: Confirm supported endpoint devices and client methods, then assess the network performance and reliability the workload requires.
  5. Capacity and cost structure: Understand how capacity scales and which infrastructure, licensing, and administration costs remain with the customer. Compare current provider terms; there is no universal cost or savings figure that applies to every deployment.
