Use iCloud or Gmail to Send Replies While Your Mac Is Off

Set an out-of-office reply for iCloud Mail or Gmail on your Mac. Provider-side settings keep replies running without relying on the Mail app being open.

To send an automatic reply while your Mac or Mail app is off, set it up with your email provider—not as a Mac Mail rule. For iCloud Mail, use iCloud.com; for Gmail, use Gmail’s Vacation responder. Apple Mail rules can reply only while Mail is open.

Choose the right setup for your email account

Method Where to configure it Works when Mail is closed? Scheduling and reply behavior
iCloud Mail Auto-Reply iCloud Mail on the web Yes; it is configured through iCloud Mail rather than a Mac Mail rule. Optional date range; one reply per sender in each 24-hour period. Apple’s iCloud Mail instructions
Gmail Vacation responder Gmail in a desktop browser Yes; configure it in Gmail. Start and end dates, subject and message; Google describes when replies repeat. Google’s Gmail instructions
Apple Mail rule Mail > Settings > Rules No. Apple says automatic replies through Mail rules are available when Mail is open. Rules use conditions and actions; check with your provider for replies when Mail is not open. Apple’s Mail rules guide

If your account uses another provider, look for its own out-of-office or automatic-reply setting. The exact Outlook for Mac procedure is not established here, so use Microsoft’s current guidance for your account rather than assuming a Mac Mail rule will run in your absence.

Set an automatic reply for iCloud Mail

  1. Go to icloud.com/mail and sign in with the Apple Account that owns the iCloud Mail address.
  2. Open Settings from the top of the mailbox list, then select Auto-Reply in the sidebar.
  3. Turn on “Automatically reply to messages when they are received” and enter your reply.
  4. Optionally set a date range. Apple says the reply is active from the first date through the last date in that range.
  5. If you did not set a date range, return to Auto-Reply when you are back and clear the checkbox to turn it off.

The setting works for iCloud Mail even if you forward messages to another account. A sender who emails multiple times receives at most one automatic reply in a 24-hour period. Before leaving, check your iCloud storage: Apple warns that a full account will not receive new mail. See Apple’s Auto-Reply and storage guidance.

Set Gmail’s Vacation responder

  1. On a computer, open Gmail, select Settings, then See all settings.
  2. In the General tab, scroll to Vacation responder and switch it on.
  3. Enter the start and end dates, subject and message. You can optionally limit replies to people in your contacts.
  4. Select Save Changes. Gmail displays a banner at the top of the inbox while the responder is active; use it to end the reply early if needed.

Google says the responder starts at 12:00 a.m. on the start date and ends at 11:59 p.m. on the end date, unless you stop it sooner. In most cases, a sender receives the reply the first time they message during the active period. They may receive another if they write again after four days while it is still active, or if you edit the reply. Gmail does not send the response to messages marked as spam or to mailing lists you subscribe to. Details are in Google’s Vacation responder instructions.

Why a Mac Mail rule may not work for time away

Mail rules are configured in Mail > Settings > Rules. You can set conditions and actions, including an automatic reply, but Apple says those replies are available when Mail is open. If the Mac is off or Mail is not running, a rule is not a dependable way to send a vacation response. Apple’s guidance is to check with your email provider for replies when Mail is not open; Google likewise warns that a client-side response can fail when the computer goes offline.

Use a provider-side setting—such as iCloud Mail Auto-Reply or Gmail Vacation responder—when the reply needs to continue without relying on your Mac. Apple explains the distinction in its Mail rules guide and its guide to reading and responding to email on Mac.
