USB Flash Drives Aren’t Obsolete: Here’s the Best Replacement for Large File Transfers

Portable SSDs are a practical replacement for large offline file transfers, while cloud storage and built-in phone tools are easier for some jobs. USB sticks still have uses.

For moving a large folder or keeping files available offline, a portable external SSD is the clearest replacement for a USB flash drive. For sharing files across devices, cloud storage or a built-in phone transfer tool may be easier. USB sticks still have a place for small offline transfers, boot media, and firmware tasks, so the right choice depends on what you need to move and whether you need a backup or just a one-time transfer.

What can I use instead of a USB flash drive?

Choose based on the job, not on whether flash drives are supposedly obsolete. A portable SSD suits large transfers and offline storage; cloud storage is convenient for reaching files on multiple devices; and a cable or wireless transfer can move files between a phone and computer without separate storage media. An SD or microSD card with a reader can work if your devices already use cards.

Option Best fit Main limitations
Portable external SSD Large transfers, offline work, local storage, and backups Bulkier than a thumb drive; price, capacity, connector, and host compatibility vary. No specific model has been tested here. PCWorld’s comparison discusses the category.
Cloud storage Sharing or syncing files across devices Cloud access and backup require internet; free storage may be limited, and paid plans may charge recurring fees. Microsoft’s Windows backup guidance explains when cloud and local storage fit.
Built-in cable or wireless transfer Moving files between a phone and computer without extra storage media Steps depend on the devices and operating systems. Google’s Quick Share instructions are for Windows, and not every USB cable transfers data. Google’s Android instructions cover the supported routes.
SD or microSD card with reader People who already use cards in a camera or compatible device Not universal: a PC may need a card reader, and small cards are easy to lose. PCWorld’s overview includes cards as an alternative.
USB flash drive Small offline transfers, boot media, or firmware tasks Capacity and connector compatibility can constrain it. It remains useful when a compact removable drive is the simplest fit. PCWorld’s overview discusses these uses.

Is an external SSD better than a flash drive?

For a large folder, repeated transfers, or offline storage, often yes: portable SSDs generally offer more capacity and stronger transfer performance than many small thumb drives. That is category-level guidance, not a benchmark of a particular SSD or flash drive. An SSD is also larger and can cost more, so compare capacity, connector, compatibility with both devices, portability, and budget before buying. Microsoft likewise points Windows users toward external drives when files are large or internet is unavailable in its backup guidance.

When a thumb drive still makes sense

Keep using a flash drive for a small offline handoff, boot media, or firmware work if its connector and capacity suit the devices involved. Replacing it with an SSD is not automatically an improvement when the transfer is small and convenience matters more than capacity.

What is the easiest way to transfer files between devices?

If both devices are online and you want the files accessible from more than one place, cloud storage is often convenient. If internet is unreliable or files are large, use an external drive. For a phone-to-computer transfer, check the platform’s built-in options before buying storage hardware.

Windows PCs

Microsoft recommends considering cloud-based backup for access across devices, while identifying external or network drives as suitable when there is no internet or files are large. Its guidance applies to Windows 10 and 11; Microsoft says Windows 10 support ended on October 14, 2025. For moving to a new Windows 11 PC, Microsoft’s migration guide says Windows Backup works best when both PCs use the same Microsoft account and the files fit within available OneDrive storage. It also lists direct network transfer, external drives, cloud storage, and manual copying. The guide is written for the US market, and features may vary by region.

Android phones

Google documents transfer through a Google Account, a USB cable, or Quick Share for Windows. Some steps require Android 14 or later, and a cable that charges a phone may not transfer files: Google notes that not all USB cables can transfer files. Follow the instructions for the Android version and computer you have.

iPhone

Apple documents moving files to external storage, a server, or the cloud. Connecting a storage device may require a compatible adapter, and cloud service fees might apply. On supported USB-C iPhone models, the Files app can format external storage as APFS, ExFAT, or MS-DOS (FAT). See Apple’s iPhone file-transfer guide for device-specific steps.

How do I move files without a USB stick?

  1. For cloud access: Upload or sync the files with a cloud service, then sign in on the receiving device. This requires internet for cloud access, and available storage and fees depend on the provider and plan.
  2. For Android to Windows: Use Google’s USB cable or Quick Share for Windows instructions. Check that the cable supports data transfer and that your Android version supports the chosen steps.
  3. For iPhone: Use Apple’s Files workflow to connect compatible external storage, a server, or a cloud service. An adapter may be necessary for external storage.
  4. For a large offline transfer: Copy the files to a portable external SSD, then connect it to the receiving device. Confirm both devices support the drive’s connector and storage format.
  5. For a new Windows PC: Consider Windows Backup if both PCs use the same Microsoft account and the files fit the available OneDrive storage; otherwise, Microsoft also lists network transfer, external drives, cloud storage, and manual copying.

Transfer or backup: choose the right goal

A one-time transfer moves files from one place to another; a backup is a separate copy intended to help recover files if the originals are lost or damaged. A synced cloud folder alone may not meet every backup need, and a drive kept beside a computer can share its risks. The UK National Cyber Security Centre’s guidance is aimed at small and medium UK organisations: it recommends keeping external backup media secure and disconnected when not in use, and considering both online and device copies for resilience. See its backing-up guidance.

How to choose the right replacement

  • Internet: Reliable internet makes cloud access practical; without it, choose local storage or a direct device transfer.
  • Transfer size and frequency: Large or repeated transfers favor an external SSD; occasional small files may be easier over a cable, wirelessly, or on a flash drive.
  • Compatibility: Check connectors, supported storage formats, operating-system steps, and whether a phone needs an adapter or a data-capable cable.
  • Portability and cost: Compare the SSD’s capacity and purchase cost with the convenience of a small thumb drive or any recurring cloud fee.
  • Access and collaboration: Cloud storage can make files available across devices, subject to internet access and the provider’s storage limits.
  • Recovery: If the aim is to restore lost files, make a backup rather than relying on a one-time copy; keep external backup media disconnected when it is not in use.
