USB Drive Mistakes to Avoid: Eject, Format, and Copy Files Safely

Eject USB drives safely in Windows, understand FAT32’s 4 GB file limit, check device compatibility before choosing exFAT or NTFS, and back up before formatting.

Three common USB-drive mistakes are easy to prevent: unplugging before Windows confirms safe removal, choosing a file system that cannot store your largest file or work with your devices, and formatting before saving a copy of the drive’s contents. Use the guidance below to avoid them.

How to unplug a USB drive safely on Windows

Microsoft advises safely removing a USB flash drive before disconnecting it to reduce the risk of data loss. Use Windows’ Safely Remove Hardware and Eject Media control, select the drive, and wait for the safe-to-remove confirmation before unplugging it. Microsoft’s instructions apply to Windows 10 and Windows 11.

Microsoft’s safe-removal instructions cover the Windows procedure. If Windows does not show confirmation, leave the drive connected and check the message or any open file-transfer activity before trying again.

Why a file larger than 4 GB may not copy

FAT32 has a per-file limit of 4 GB—more precisely, one byte less than 4 GB, according to Kingston. That is a limit on an individual file, not a statement about how much free space the drive has. A drive can have enough room overall and still reject a single file that exceeds FAT32’s limit.

For a Kingston DataTraveler, Kingston says files of 4 GB or larger require NTFS or exFAT. Microsoft’s exFAT specification describes a 64-bit file-size field that enables applications to work with very large files. These are filesystem capabilities, not a guarantee that every USB drive or receiving device supports every format.

FAT32, exFAT, or NTFS: what should you choose?

File system What matters When it may fit
FAT32 Has a per-file limit of 4 GB (Microsoft, 2023; Kingston states one byte less than 4 GB). Microsoft uses FAT32 in the described Windows installation-media workflow. When a target device or workflow specifically requires it, such as the cited boot-media scenario. It cannot hold one file of 4 GB or larger.
exFAT Uses a 64-bit file-size field for very large files. Kingston notes older operating systems may need updates to support it. Consider it for large-file transfers when every device that needs to read or write the drive supports exFAT.
NTFS Kingston says NTFS or exFAT is required for its DataTraveler to transfer files of 4 GB or larger. The cited guidance does not establish NTFS as a universal cross-device choice. Consider it only after checking the requirements of the intended devices and workflow.

There is no single choice that the cited guidance establishes as compatible with every computer, operating system, or other device. Before reformatting, check the requirements for each device that will use the drive. For a Windows installation drive, follow Microsoft’s instructions for that specific boot-media workflow rather than assuming the large-file option is appropriate.

Back up files before formatting

Formatting can erase the files on a USB drive. Copy anything you need to another location and check that the copy is accessible before starting the format. Kingston explicitly advises backing up drive contents first.
