Understanding Categories in Messages: A Practical Guide to Their Purposes

Messages can inform, request, express, coordinate, or maintain relationships. Learn what common categories mean, how major frameworks differ, and how to classify a message without forcing it into one box.

Messages can inform, request action, make a commitment, express a feeling, coordinate plans, maintain a relationship, or offer support. These categories are useful ways to understand what a message is doing—not fixed labels: one message may serve several purposes, and its meaning depends on the relationship, situation, and medium.

What message categories describe

A category is a lens for examining communication. Some frameworks classify a whole text by its broad type; others focus on the action performed by a sentence or the function of a text message. They answer different questions, so there is no single universal list of message categories.

For example, “I’ll call you after work” conveys information and commits the sender to an action. “Are you free at six?” asks for information while potentially coordinating a plan. Identifying a primary function can help, but forcing every message into one exclusive box can obscure what else it does.

Common purposes of messages

Informing

An informational message shares facts, updates, or an answer: “The meeting starts at 2 p.m.” Its main aim is usually to help the recipient understand something.

Requesting or directing

A request or directive invites the recipient to do something: “Could you send me the file?” The wording may be a question, but its practical purpose is to ask for action.

Committing

A commitment states that the sender intends to act later: “I’ll send the notes tonight.” Promises and offers are common examples.

Expressing a feeling or stance

An expressive message communicates the sender’s attitude, emotion, or evaluation: “I’m sorry,” “That’s wonderful,” or “I’m not sure this will work.” It may also convey information or prompt a response.

Maintaining contact

Some messages primarily sustain social connection rather than transfer new facts. Greetings, brief check-ins, and goodbyes can acknowledge a relationship and keep a conversation open.

Coordinating plans

Messages about times, locations, availability, and next steps help people arrange an activity. A coordination message may combine practical information with a request or relationship-building language.

Offering support

Support can take several forms: showing care, reassuring someone, helping them feel connected, giving advice or information, or providing practical assistance. A message can also be unsupportive; the support framework is useful when the question is how people help one another, not when classifying every kind of communication.

How major frameworks classify messages

These approaches are complementary rather than rival universal taxonomies. Choose one according to whether you want to classify a whole text, a conversational unit, an utterance’s action, or a supportive function.

Framework What it classifies Useful for Important limit
Broad text types Whole texts, often as imaginative, informative, or persuasive School and writing contexts The Australian Curriculum glossary says these categories are “neither static nor watertight”; a text may fit more than one. Australian Curriculum glossary, Version 8.4.
Conversational discourse types Coherent stretches of conversation and their communicative goals Analyzing what conversational passages accomplish A 2021 study analyzed 2.3 million words of British National Corpus 2014 conversational interactions and identified 16 discourse types associated with nine general purposes. These are findings from that corpus, not a universal distribution. Biber, Egbert, Keller, and Wizner, 2021.
Speech acts What an utterance does Distinguishing statements, requests, promises, expressions, and authorized declarations One message can perform multiple acts, and context can affect how it is understood. SMS study discussing Searle’s taxonomy.
Supportive-message categories The kind of support a message provides Studying help within relationships These labels address support, not the full range of message purposes. Study of text-based messages in concerned-significant-other relationships.
Text-message function categories Practical, informational, and relational functions in texting Examining how text messages combine logistics and social connection In Crispin Thurlow’s 2003 sample, two thirds of 544 messages were coded as explicitly relational in orientation, while informational messaging accounted for as little as 15% of message codings. These sample-specific figures are not rates for texting today. Thurlow, 2003.

Speech acts: the action inside an utterance

Speech-act analysis focuses on what a speaker accomplishes by saying something. One widely used taxonomy groups acts into five types:

  • Assertives: statements that present or commit the speaker to a proposition, such as “The train is delayed.”
  • Directives: attempts to get someone to act, such as “Please call me.”
  • Commissives: commitments by the speaker to future action, such as “I’ll help you move.”
  • Expressives: expressions of a psychological state, such as “I’m grateful” or “I’m sorry.”
  • Declaratives: utterances that bring about a change when spoken by someone with the authority to do so, such as formally appointing someone to a role.

These labels describe function rather than length or format: a short text can make a promise, issue a request, or express an apology. A study applying Searle’s taxonomy to SMS notes the difficulty of treating each message as belonging to only one category; the surrounding exchange can shape interpretation.

Why greetings and small talk still count

Phatic communication is language or nonverbal behavior used for a social purpose, such as greeting someone, opening a conversation, or saying goodbye, rather than primarily conveying information. The British Council uses “How’s it going?” as an example and notes that “What’s up?” may be intended as a greeting rather than a request for a literal account. British Council, “Phatic communication”.

A brief greeting may carry little new factual content while still signaling friendliness, attention, or willingness to talk. Whether a message is phatic depends on how it is used in context, not simply on its wording.

How to identify a message’s primary function

Use these questions as a practical reading method, not a diagnostic test of the sender’s hidden intent:

  1. What is the sender trying to do? Consider whether the message informs, requests action, commits, expresses a feeling, coordinates, maintains contact, or supports someone.
  2. What response does it invite? The recipient may be expected to understand, act, acknowledge, reassure, or continue the conversation.
  3. What do the relationship and situation change? A short request from a colleague, a family member, or an institution can carry different implications.
  4. How does the medium matter here? Email and SMS can support planning and coordination, but a study of digital communication describes findings from its particular setting rather than establishing a universal rule about either medium. Study of planning and coordination in digital communication.
  5. Could the message have more than one function? Record a primary function and, if useful, a secondary one rather than forcing a single label.
  6. Which framework are you using? A broad text-type label, a speech-act category, a conversational discourse type, and a support category classify different things.

When categories overlap

Consider “Hey, are you still coming to dinner? I can pick you up at 6.” The greeting helps maintain contact; the question seeks an answer and checks on plans; the offer commits the sender to practical help. The message can therefore be relational, coordinative, and commissive at once.

Overlapping labels are not a flaw. They make the analysis more faithful to communication, where people often accomplish several things in one message. Categories describe the function a message appears to serve; they do not establish what the sender privately intended.
