Umlauts are two-dot marks used in German and several other languages. In Microsoft Word, getting them right matters for names, addresses, titles, and any text that must match an official spelling.
This guide shows four fast, dependable ways to type ä, ö, ü (and Ä, Ö, Ü) directly in Word—without weird spacing or broken formatting.

What an Umlaut Is (and Which Characters Word Needs)
An umlaut character is a single Unicode letter with a diaeresis mark. For Word, you typically need these exact characters:
| Lowercase | Uppercase | Common usage |
|---|---|---|
| ä | Ä | ae/umlaut replacement (e.g., Müller) |
| ö | Ö | oe/umlaut replacement (e.g., Schön) |
| ü | Ü | ue/umlaut replacement (e.g., Huber) |
Don’t try to “fake” an umlaut by placing two dots manually—use the actual composed characters. They behave correctly with spellcheck, searching, copy/paste, and fonts.

Prerequisites: Know Your Target Character and Setup
Before you pick a method, decide which character(s) you need: ä/Ä, ö/Ö, or ü/Ü. Also note whether you’re on Windows or macOS, because the fastest shortcut differs.
Word versions supported: Word for Microsoft 365, Word 2019, Word 2021, and Word 2024 on both Windows and macOS. The UI labels below match the typical Microsoft 365 layout.
Four Quick Methods to Type an Umlaut in Microsoft Word
Use any of these methods. If one fails (keyboard layout, numpad, or accessibility settings), switch to the next method—Word will accept these characters reliably.
Recommended Free Tools
Method 1: Use Word’s Symbol (Insert → Symbol)
This is the most universal method because it doesn’t depend on your keyboard layout or system language.
Steps (Word Windows/macOS):
- Place your cursor where the umlaut should go.
- Go to Insert > Symbol.
- Choose More Symbols…
- In the font dropdown, select a common font like Arial or Times New Roman (any Unicode-capable font works).
- In Subset (if shown), pick Latin-1 Supplement or scroll to find the umlaut letters.
- Select ä, ö, ü (or Ä, Ö, Ü) and click Insert, then Close.
Speed boost: If you insert the same character repeatedly, Word often re-offers recent symbols in the same Symbol menu.

Number keys part works fine, but the Function keys do not work】
Method 2: Use Unicode Input (U+ Codes) in Word
This method works by inserting the exact Unicode character corresponding to the umlaut. It’s clean, and your umlaut won’t turn into a stray combining mark.
Option A (Windows): Unicode via Alt + X
- In Word, type the Unicode code for the character (e.g.,
00E4for ä,00F6for ö,00FCfor ü). - Select the code you typed (e.g., highlight
00E4). - Press Alt + X.
- Word converts it into the actual character: ä, ö, or ü.
Common Unicode mappings
| Character | Unicode code |
|---|---|
| ä | 00E4 |
| Ä | 00C4 |
| ö | 00F6 |
| Ö | 00D6 |
| ü | 00FC |
| Ü | 00DC |
Option B (macOS): Character Viewer (still Word-friendly, and you still get the composed umlaut character)
- Open Character Viewer: press Ctrl + Cmd + Space.
- Search for umlaut or German.
- Double-click ä, ö, ü (or uppercase variants) to insert into Word.
If you’re strictly keeping to Word-only keyboard shortcuts, use Method 3 on Windows or Method 1 everywhere.
Method 3: Use an Alt Code on Windows
If you have a full keyboard with a numpad, Alt codes are fast. Word inserts the correct umlaut character directly.
Steps (Windows Word):
- Make sure Num Lock is on.
- Place the cursor in Word.
- Hold Alt and type the code on the numpad (not the number row at the top).
- Release Alt; the umlaut appears.
Alt codes for common umlauts
| Character | Alt code |
|---|---|
| ä | 0228 |
| Ä | 0196 |
| ö | 0246 |
| Ö | 0214 |
| ü | 0252 |
| Ü | 0220 |
Gotcha: If the character doesn’t appear, double-check that you’re using the numpad and that Num Lock is enabled.

Option B (Windows): Change keyboard layout (German)
- Open Settings > Time & language > Language & region.
- Select Add a language and add German (or German (Germany)).
- Choose a matching keyboard layout.
- Use the layout’s keystrokes for umlauts while typing in Word.
The exact keys vary by layout (German keyboard vs. German (Swiss) keyboard, etc.). If you want guaranteed results without learning a new layout, pick Method 1 or Method 2.
Choosing the Best Method for Your Workflow
Here’s a practical way to decide. The goal is reliability first, then speed.
- Most reliable on any setup: Method 1 (Insert > Symbol).
- Fast once you memorize codes: Method 2 (Unicode + Alt X on Windows) with codes like
00E4for ä. - Fastest with the right keyboard: Method 3 (Alt codes using the numpad).
- Best for heavy typing: Method 4 (keyboard layout or Character Map + paste).
Troubleshooting: When Umlauts Don’t Appear Correctly
If Alt codes type the wrong character
Most often, this is either a numpad issue or Num Lock state. Confirm you’re using a numeric keypad and try again with Alt held down.

Also test in a plain text field (like Notepad) to verify your system input works. If Notepad shows the correct character, Word’s font/layout isn’t the problem.
If Unicode Alt + X doesn’t convert
Alt + X conversion usually expects the selected text to be a valid Unicode hex sequence. Make sure you typed 00E4-style codes (4 hex digits) and highlighted only the code before pressing Alt + X.
If it still doesn’t work, use Method 1 (Symbol) for guaranteed insertion.
If copy/paste breaks the umlaut
This happens when the source uses a different encoding or when a font can’t render the character. Switch Word’s font to a common Unicode font like Arial or Calibri and reinsert via Method 1.

Common Mistakes to Avoid
- Using the number row: Alt codes require the numpad, not the top number keys.
- Typing plain quotes/dots: Don’t approximate ä as an a plus two dots—use the actual character.
- Inserting into the wrong place: Umlauts should be inserted at the cursor location; avoid typing the code and forgetting to convert it (Method 2).
- Font mismatch: If a rare font can’t render umlauts, Word may substitute a fallback font.
FAQs
Can I type an umlaut in Word on a laptop without a numpad?
Yes. Use Method 1 (Symbol) or Method 2 (Unicode via Alt + X on Windows). If you’re on macOS, use Character Viewer (Ctrl + Cmd + Space) and search for the umlaut.
Does Word have a built-in shortcut for ä, ö, ü?
Word’s built-in shortcuts depend on your system and keyboard settings, so there isn’t one universal Word-only key combo. The most consistent approaches are Symbol (Method 1) or Unicode (Method 2).
What if my umlaut looks wrong after exporting to PDF?
Usually the fix is to use a Unicode-capable font (Arial, Calibri, Times New Roman) and reinsert the character correctly. If you used combining marks, reinsert via Method 1 or Method 2 to ensure the composed letter is present.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteHow do I type ß (eszett) instead of umlauts?
ß is a different character (German sharp s). Use Method 1 (Symbol) to find it quickly, or search for its Unicode code point in Method 2 style (on Windows) by inserting the correct hex value and using Alt + X.
Bottom Line
If you just need umlauts to appear correctly, start with Method 1 (Insert > Symbol). If you want speed, Method 2 (Unicode hex + Alt + X on Windows) is hard to beat, and Method 3 is great when you have a numpad.
For frequent umlaut typing, set a keyboard layout or keep Character Viewer/Character Map handy so you never have to guess.
