How to Change Ribbon Size in MS Outlook [Easiest Ways 2024]

When people say they want to change the ribbon size in MS Outlook, they usually mean one of two things: collapsing the ribbon to save space, or making the ribbon’s buttons and text bigger so it’s easier to use on high-DPI screens.

Outlook doesn’t offer a single “ribbon size” slider. The practical fixes are (1) minimize/show tabs only, and (2) adjust Windows display scaling (the most reliable way to make the ribbon UI larger).

This guide covers both, with exact click paths for Outlook for Windows in 2024 (Outlook for Microsoft 365 and classic Outlook builds).

What “Ribbon Size” Actually Changes in Outlook

The Ribbon in Outlook contains tabs (Mail, Home, Send/Receive, etc.) and the command buttons beneath them. In practice, you can change its presence (collapsed vs expanded) and its visual scale (how big the UI looks).

  • Collapse/expand ribbon: makes the Ribbon smaller by hiding most of it, while keeping tabs.
  • Windows scaling: increases the size of ribbon text/buttons and other UI elements across Office.
  • Touch mode (if available): can make UI targets larger, depending on your Outlook/Office build.

Prerequisites (Confirm Your Outlook Version and Where the Ribbon Lives)

Ribbon controls described here apply to Outlook for Windows (classic desktop app). They generally do not work the same way in Outlook on the web.

  • Open Outlook (desktop).
  • Go to File > Office Account to see your product (e.g., Microsoft 365 Apps) and version/build.

If you only see a browser interface, you’re using Outlook on the web—ribbon sizing is handled by the web UI and differs from the desktop app.

Easiest Ways to Change Ribbon Size in Outlook for Windows (2024)

Method 1: Minimize the Ribbon (CTRL+F1)

This is the fastest way to “shrink” the Ribbon area. It hides the ribbon commands while leaving the tabs visible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Outlook (desktop).
  2. Look at the ribbon area at the top.
  3. Press Ctrl + F1 to toggle minimize/restore.

You can also minimize it using the mouse:

  1. Right-click any empty space on the ribbon.
  2. Select Minimize the Ribbon.

Method 2: Show Tabs Only (Right-Click the Ribbon)

This option goes one step further than minimizing. You’ll see only the tabs (Home, Send/Receive, etc.) and the command buttons stay hidden until you click a tab.

  1. In Outlook, right-click an empty area on the ribbon.
  2. Choose Show Tabs (wording may vary slightly by build).

To return to the full ribbon, right-click again and select Minimize the Ribbon or Show Tabs and Commands (again, wording depends on the Office build).

Method 3: Make the Ribbon Feel Bigger via Windows Display Scaling

If what you want is a truly larger ribbon (bigger buttons and text), Windows scaling is the most dependable approach because it affects how Office renders UI sizes.

  1. On your Windows PC, right-click the desktop and select Display settings.
  2. Find Scale (or Change the size of text, apps, and other items).
  3. Set a higher value than your current one—common choices are 125% or 150%.
  4. Click Apply.

Then restart Outlook so it reinitializes its UI scaling. If the screen becomes too large (layout looks cramped), step back down (for example, from 150% to 125%).

Method 4: Enable Touch Mode for Larger UI Targets (If Available)

Some Office/Outlook configurations include a Touch Mode that increases UI hit areas. If your ribbon buttons are too small, this can help without changing global scaling.

  1. Open Outlook.
  2. Go to File > Options.
  3. Look for settings related to Touch mode or Tablet mode (the exact location can vary by Office build).
  4. Enable it, then restart Outlook.

If you can’t find any Touch-related option, you’re likely on an Outlook/Office build that doesn’t expose it—use Windows scaling instead.

How to Scale Ribbon UI Without Breaking Your Layout

When you change Windows scaling, you’re affecting more than just the ribbon: message list density, reading pane sizing, and the spacing of toolbars can change too.

Use the Windows Scale Range That Works Best for Office

In most setups, 125% is the “sweet spot” for readability while avoiding extreme spacing. If you’re on a 4K monitor or a laptop with a small screen, 150% may be necessary.

For best results, change one variable at a time: scaling first, then review whether Outlook’s reading pane and message list still look usable.

Restart Outlook After Scaling Changes

Office apps can take a moment to refresh DPI settings. If you changed Windows scaling but the ribbon still looks the same, close Outlook completely and reopen it.

  • Use File > Exit (or the window X) and wait a few seconds.
  • Reopen Outlook and check the ribbon.

Troubleshooting: Ribbon Won’t Change Size or Looks Cut Off

Fix 1: Ensure You’re Not in a Minimized/Collapsed State

If your ribbon looks “too small,” you may have minimized it. Try Ctrl + F1 to toggle.

Fix 2: Reset the Ribbon Display Option

If right-click doesn’t seem to change what you see, repeat the action carefully:

  1. Right-click the ribbon area again (empty space works best).
  2. Switch between Show Tabs and full ribbon options until it matches what you want.

Fix 3: Adjust Windows Scaling Back to 100% Then Up Again

Occasionally Office’s DPI rendering can get “stuck.” The quickest reset is to return Windows scaling to 100%, restart Outlook, then set your preferred scale again (like 125%).

Fix 4: Repair Office If UI Rendering Is Glitched

If the ribbon is cut off, blurry, or overlaps after scaling changes, a repair can fix corrupted Office components.

  1. Close Outlook.
  2. Open Windows Settings.
  3. Go to Apps > Installed apps.
  4. Find your Microsoft 365 Apps / Microsoft Office entry.
  5. Select Modify.
  6. Choose Quick Repair first. If it doesn’t help, run Online Repair.

Online Repair can take longer and may require an internet connection.

Alternatives and Related Settings

Sometimes ribbon sizing complaints are really about workspace density—how much information you see at once.

Changing the Message List Density vs. Ribbon Size

Outlook can adjust list spacing and reading pane behavior. While this doesn’t scale the ribbon itself, it can significantly improve usability on smaller screens.

If your goal is “more room,” collapse/minimize the ribbon first, then adjust reading pane and message list views.

Changing Theme and High Contrast

Visual clarity matters if your ribbon appears hard to read. If you’re using dark mode/high contrast settings, test whether the ribbon’s text still renders clearly.

  • Check Windows accessibility settings for high contrast.
  • In Office, review theme-related options under File > Options.

Quick Comparison: What Each Method Actually Does

Method What changes Best for Trade-off
Minimize Ribbon (Ctrl+F1) Hides command area; tabs remain More screen space Need extra clicks to access commands
Show Tabs Only Hides commands until a tab is selected Maximum space, quick tab access Commands aren’t visible by default

Touch mode (if available) May increase UI hit targets Touch-friendly ribbon Not available on all builds

FAQs

Can I change the ribbon font size only (without changing Windows scaling)?

Outlook doesn’t provide a dedicated control to scale ribbon typography independently. If you need larger ribbon text/buttons, Windows display scaling is the most consistent method.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does my ribbon look blurry after changing scaling?

DPI scaling and Office rendering can cause blur if the scale doesn’t match your monitor’s ideal setting. Try stepping back to 125% (from 150%) or return to 100%, restart Outlook, then reapply your preferred scale.

Will minimizing the ribbon affect my ability to use keyboard shortcuts?

No. Keyboard shortcuts and tab navigation continue to work. Minimizing mainly hides the visible buttons; commands remain accessible.

Does Outlook on the web have the same ribbon size controls?

No—Outlook on the web is a different interface. The desktop methods here (Ctrl+F1, ribbon right-click options) target the Windows app.

What if right-clicking the ribbon doesn’t show minimize options?

That usually points to you not being in the desktop Outlook ribbon UI (or the ribbon is already in a state your build labels differently). First check that you’re on Outlook for Windows, then try Ctrl + F1.

Bottom Line

If your goal is to make the ribbon take up less space, use Ctrl + F1 or right-click the ribbon and choose the option to show tabs only. If your goal is to make ribbon buttons and text easier to read, adjust Windows display scaling (usually 125% or 150%) and restart Outlook.

Once you match the ribbon visibility and your screen scaling to your workflow, Outlook feels dramatically easier to use—even on high-DPI laptops and 4K monitors.
