Turn Gmail Into a Personal Command Center With Google Calendar and Tasks

Capture actionable Gmail messages as Google Tasks, schedule dated work in Calendar, and convert meeting emails into reviewed event drafts.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Gmail can be the capture point for a simple personal workflow: turn actionable messages into Google Tasks, give tasks dates when they belong on your schedule, and create Calendar events when a message calls for an actual meeting. These built-in features connect your inbox to follow-up work without treating every email as a calendar appointment.

How to turn an email into a Google Task

Use a task for something you need to do, rather than a meeting that needs a time and invitees.

As an Amazon Associate I earn from qualifying purchases.

On a computer

  1. Open the message in Gmail.
  2. Select Add to Tasks. If you do not see it, open the message’s More menu and look there.
  3. Alternatively, open Tasks from Gmail’s side panel and drag the email into the panel.

The task is saved in Google Tasks and can be found from Gmail’s side panel. Google’s instructions are in Create a task in Gmail.

On Android or iPhone

  1. Open the email in the Gmail app.
  2. Tap More options, then Add to Tasks.

For a message-derived task, give the follow-up a short, action-first title, such as “Send the revised estimate.” Add details if they will help you complete it. Google Tasks supports details, subtasks, dates and times, deadlines, and repeating tasks; see Google’s task editing guidance.

When to use a task date, a deadline, or a Calendar event

Choose the item that matches the commitment in the email. A task represents work to complete; a dated task puts planned work on the Calendar schedule; an event represents a meeting or other calendar occasion.

Use Best fit What happens
Task An action you need to complete Keep the work in Google Tasks; it does not appear on the Calendar grid unless it has a date.
Dated task Work you plan to do on a particular date or time Tasks with dates appear in Google Calendar. Google distinguishes a planned start date and time from a separate deadline date. Google Workspace Learning Center
Calendar event A meeting or event, especially one with invitees Create an event draft from the email, then review its details and attendees before saving. Google Calendar Help

To add a date to a task, open it in Tasks and set its date or time. You can also create a task directly in Calendar by selecting an empty time slot and choosing Task. An undated task should not be expected on the Calendar grid.

Be precise about timing: a start date and time is when you plan to work on the task, while a deadline is when it is expected to be finished. Google says a task with a date and time sends a notification at that scheduled time; a task with a date but no time sends one at 9 a.m.; a deadline task sends one at 9 a.m. on its deadline day in local time. Repeating tasks cannot have subtasks. More details are in Learn about Google Tasks.

How to create a Calendar event from a Gmail message

Create an event when the email implies a meeting, not simply because it contains a date. Google documents this desktop workflow:

  1. Open the email in Gmail on a computer.
  2. Select More, then Create event.
  3. In the Calendar tab that opens, check the event details and invitees, make any needed changes, and save.

Gmail copies the message subject and text into the event draft and adds the message recipient as an invitee. Check those fields before saving, especially if the thread includes several people or details that should not be part of the invitation. See Google’s steps for creating an event from a Gmail message. Google’s overview says event creation from a Gmail message is available to all Gmail users, though other Gmail meeting options may have different account eligibility; see Learn how to schedule events in Gmail.

Review follow-ups in Gmail and Calendar

Tasks’ side panel is available in Gmail and Calendar, and the full Tasks view can be opened through Calendar. Use Gmail to capture the action while you are reading the message, then use Calendar to see dated tasks alongside your scheduled commitments. The Calendar grid is not a complete list of every task: undated tasks remain in Tasks rather than appearing there.

If Tasks is missing from your account

For a work or school account, an administrator can control access to Google Tasks. If the Tasks panel or feature is unavailable, check with your Workspace administrator; it may be an account policy rather than a problem with your steps. Google describes account access in Learn about Google Tasks.
