Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Short answer: choose Trilium when you want a server-centered personal knowledge base, Joplin when Markdown and selectable self-managed sync targets matter most, and Obsidian when you prefer local vaults and accept that its first-party Sync service is hosted rather than self-hosted. The right choice depends on where your data lives, how synchronization is operated, what encryption protects, and how much maintenance your homelab can absorb.
The three tools solve “self-hosted notes” differently
These applications are often grouped together because all can hold technical notes, procedures, diagrams, checklists and incident records. Their architectures are not interchangeable, however. Trilium provides a self-hosted server that acts as a synchronization point and browser-accessible front end, while still allowing local desktop use. Joplin is an offline-first Markdown client that can synchronize through several destinations, including infrastructure you operate yourself. Obsidian keeps its vault local; its official Sync product synchronizes remote vaults through Obsidian’s hosted service.

Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThat distinction matters in a homelab. “Self-hosted” can mean the note files are stored on a machine you control, the synchronization service runs on your network, or simply that you can choose a non-vendor storage target. Those are different outcomes. A local vault synced through a vendor is not the same as a server you administer, and a self-managed storage target is not automatically a complete backup system.
At-a-glance comparison
| Question | Trilium | Joplin | Obsidian |
|---|---|---|---|
| Primary architecture | Personal knowledge base with an optional self-hosted server; desktop clients synchronize with the server and the server provides browser and mobile front ends. | Offline-first Markdown notes and to-dos; clients synchronize with a selected destination. | Local vault application; first-party remote synchronization is Obsidian Sync, a hosted service. |
| Where synchronization runs | Your Trilium server when self-hosted. The project recommends HTTPS/TLS for client-to-server synchronization. | Joplin Cloud, Nextcloud, S3, WebDAV, Dropbox, OneDrive or a local filesystem, according to the official sync documentation. | Obsidian’s hosted Sync service for the official product. This is not a self-hosted Obsidian server. |
| Note representation | Database-backed hierarchy rather than ordinary plain-text files, as described by the project FAQ. | Markdown notes, with attachments and application data managed by the clients. | Local vault workflow. The cited security page documents Sync security rather than a complete vault-format specification, so verify current format details before designing an export pipeline. |
| Encryption information established here | TLS is recommended for synchronization. The cited material does not establish an equivalent built-in end-to-end encryption scheme for a self-hosted server. | Optional end-to-end encryption (E2EE) across applications; the master-key password cannot be recovered if forgotten. | Sync offers end-to-end or standard encryption for remote vaults. Sync does not encrypt the local vault; losing the E2EE password makes the remote data unusable. |
| Collaboration position | The project FAQ describes Trilium as single-user and says real-time multi-user editing is unsupported. | Personal use is the relevant comparison here. Joplin Server Business is a separate paid organizational product described as providing teams and notebook collaboration. | The supplied official material does not establish a full collaboration feature comparison. |
| Administrative burden | Operate the server, database, network exposure, TLS certificate, upgrades and backups. | Operate the chosen sync destination when it is self-managed, plus client configuration and E2EE key handling. | Manage local vault storage and backups; the first-party Sync service is operated by the vendor. |
The table is a decision map, not a ranking. A product can be the best fit for one homelab and the wrong fit for another because the trust boundary and recovery plan differ.

What “self-hosted” should mean in your homelab
Before installing anything, write down which of these you actually require:
- Self-hosted storage: the primary notes and synchronization data reside on hardware or infrastructure you control.
- Self-hosted application: the server software, authentication boundary and web interface run in your environment.
- Self-managed encryption: you control the keys or passphrases that protect synchronized content.
- Offline operation: each device can read and edit notes without a live connection.
- Browser and mobile access: you can reach the notes from the clients you actually use.
Do not treat these as synonyms. A local application can be offline-first while still using a hosted sync service. A self-hosted server can provide a central synchronization point but still need external backups. Encryption in transit, encryption of synchronized objects and encryption of a local disk protect different locations.
Trilium: the server-centered personal knowledge base
How the architecture works
Trilium is the closest match when your goal is an integrated server for a personal homelab wiki. Its server installation guide describes the server as useful for synchronization and browser access. Docker is the recommended deployment path, and the server includes web and mobile front ends. Desktop clients can continue to run locally while synchronizing with that central instance.
The synchronization model is client-to-server rather than a folder being replicated by a generic file-sync tool. Trilium’s synchronization guide describes desktop clients syncing with a central server and recommends a valid HTTPS/TLS certificate. In practice, that makes the reverse proxy, certificate lifecycle and access controls part of the application deployment rather than optional polish.
Why its data model suits infrastructure documentation
Trilium’s documented features include hierarchical notes, relations, labels, revisions, templates, web clipping and an API. A tree can represent a site, cluster, service and individual runbooks without forcing every relationship into a flat tag list. Relations can connect a change record to the affected service, while labels and templates can standardize incident reports or maintenance pages.

This structure is useful when the same information needs several navigation paths: a router can live under a network branch, carry an “edge” label and be related to a firewall procedure. Revisions and templates also support repeatable operational work. The trade-off is that the project FAQ describes storage as a database rather than ordinary plain-text files. That can be perfectly reasonable for a personal wiki, but it makes export, backup and restore procedures more important than they would be for a directory of Markdown files.
Server deployment responsibilities
A Trilium server becomes another service in your homelab’s failure domain. Plan for:
- A persistent database volume and a backup destination that is not the same disk as the live instance.
- A reverse proxy or equivalent TLS termination with a valid certificate, as recommended for synchronization.
- An access policy for local-only use, VPN access or carefully gated external access. Do not publish a login page directly to the internet without securing authentication and HTTPS.
- A documented upgrade process, including a pre-upgrade backup and a tested rollback or restore path.
- Mobile and desktop client enrollment after the server is reachable through the hostname and certificate they will use.
The server guide also lists managed hosting among installation options. That can reduce operating work, but it changes who runs the infrastructure; confirm current terms, data location and recovery procedures before relying on it.
Where Trilium is a poor fit
Trilium is not the choice for real-time multi-user editing. Its project FAQ describes it as single-user and says real-time multi-user editing is unsupported. It is also less convenient if your recovery policy requires opening every note as a plain text file with no application-specific conversion. You can still build a sound backup plan, but you must understand the database format and validate restoration rather than assuming a copied application directory is enough.
Joplin: Markdown clients with many synchronization targets
How the architecture works
Joplin is an offline-first Markdown notes and to-do application. Each client is designed to work locally and then synchronize with a destination you select. The official synchronization guide lists Joplin Cloud, Nextcloud, S3, WebDAV, Dropbox, OneDrive and a local filesystem. For a homelab, that means you can choose an existing self-managed service or storage endpoint instead of deploying a dedicated Joplin application server for personal synchronization.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
Those destinations are not identical. A local filesystem has a different failure and access model from S3 or WebDAV; Nextcloud introduces its own user, storage and upgrade responsibilities. Decide which system is authoritative, how it is backed up and how clients authenticate before enabling sync. The fact that Joplin supports a destination does not mean that destination automatically supplies encryption, version history or a tested restore.
Markdown and portability
Markdown is Joplin’s defining portability advantage in this comparison. Notes can be inspected and processed with ordinary text tools, while attachments and notebooks still require a coherent export and restore procedure. Markdown does not eliminate the need to back up the synchronization data, attachment objects and application metadata together.
For a homelab, this makes Joplin attractive for runbooks that may later move to another editor or be included in a documentation repository. Establish the exact export format you will use, test it with links and attachments, and keep a copy outside the live sync target. Portability is an operational property only after you have performed a restore, not merely because a note contains Markdown syntax.
Setting up end-to-end encryption
Joplin’s E2EE guide documents an ordered setup:
- Choose one device as the initial configuration device and enable E2EE there.
- Set and record the master-key password in a secure password manager or another recovery system you control.
- Allow that device to synchronize the encryption configuration and encrypted data.
- Synchronize the other devices one at a time so they receive the keys before you depend on them for editing.
- Confirm that a second device can decrypt notes and attachments before treating the rollout as complete.
The guide states that the master-key password cannot be recovered if forgotten. A lost password therefore turns key management into a data-recovery incident, not a routine account reset. Keep the password protected but retrievable under your household or team continuity rules, and test a device replacement while the original device is still available.

Joplin Server Business is described as a self-hosted organizational product with teams and notebook collaboration. Where Joplin is a poor fit
Joplin may feel less like an integrated wiki when you want a server-rendered hierarchy, relations and a single browser workspace. Its flexibility also creates more design choices: you must select a sync target, secure it, back it up and keep its endpoint compatible with every client. Readers who want one documented server deployment rather than a configurable storage layer may find Trilium’s model more direct.
Obsidian: local vaults with hosted first-party Sync
What is and is not self-hosted
Obsidian’s core workflow is a local vault. The official security page for Sync documents a hosted service that synchronizes remote vaults; it does not describe a first-party self-hosted server. Therefore, choosing Obsidian Sync means accepting the vendor-operated synchronization service even if the vault also exists on your own computer.
Recommended Free Tools
Third-party file synchronization or plugins may be possible in some environments, but their current compatibility, maintenance requirements and conflict behavior are not established by the cited documentation. Treat any such arrangement as an independent engineering project: verify current support, test concurrent edits and confirm how attachments, deletes and conflicts are handled before using it for operational records.
Encryption scope
Obsidian’s Sync security and privacy documentation distinguishes end-to-end encryption from standard encryption for remote vaults. End-to-end encryption is the default for a new remote vault according to that page, but the local vault itself is not encrypted by Sync. Full-disk encryption, operating-system permissions or an encrypted storage volume are separate controls for local copies.
The same documentation warns that losing the E2EE password makes the remote data unusable. Store that password in a recovery system you can access when replacing a device, and test remote-vault recovery before deleting an older local copy. A synchronized vault is not a backup merely because it has a second location.
Best Value
Where Obsidian fits
Obsidian is a sensible choice when local-file ownership, a fast offline workflow and a large ecosystem matter more than running the synchronization server yourself. It is less suitable when “no vendor-hosted sync” is a hard requirement. Do not label Obsidian Sync self-hosted simply because one copy of the vault resides on a homelab machine.

Encryption: compare the protected locations, not just the acronym
| Protection question | Trilium | Joplin | Obsidian |
|---|---|---|---|
| Is synchronization protected in transit? | The synchronization guide recommends a valid HTTPS/TLS certificate for the client-to-server connection. | Depends on the selected destination and its transport configuration; the sync guide lists destinations but does not make them equivalent. | Handled by the hosted Sync service; consult the current service documentation for transport details. |
| Is synchronized content end-to-end encrypted? | Not established by the cited material for a self-hosted server. | Yes, as an optional client configuration documented in the E2EE guide. | Choose E2EE or standard encryption for the remote vault. |
| Is the local copy encrypted by the sync feature? | Not established; use host and disk controls appropriate to your threat model. | E2EE protects synchronized note content, but local device and disk protections remain separate controls. | No. The Sync security page explicitly says Sync does not encrypt the local vault. |
| What happens if the encryption password is lost? | No equivalent recovery rule is established in the cited material. | The E2EE master-key password cannot be recovered. | The remote data protected by E2EE becomes unusable if the E2EE password is lost. |
Use this distinction when writing a threat model. TLS helps prevent interception between a client and service. End-to-end encryption limits what an intermediary can read, but it makes key recovery your responsibility. Local-disk encryption protects a laptop, server or backup drive if that storage is stolen. You may need all three controls.
Homelab operations that apply to every choice
Design the failure domain
Put the notes service, synchronization target and backups on a simple diagram. Mark which components can fail together. A server and its backup on the same physical disk are one failure domain; a sync folder and a snapshot on the same host may disappear in the same incident. Keep at least one backup copy outside the live machine and decide how quickly you need to restore read access to runbooks.
Control network exposure
Prefer LAN or VPN access when public access is unnecessary. If a service must be reachable externally, use HTTPS, strong authentication, patching and an access gateway appropriate to your environment. The Trilium documentation specifically calls for a valid TLS certificate for synchronization. Do not expose an unencrypted login endpoint merely to avoid configuring certificates.
Back up and restore, not just copy
- Schedule backups of the application data, database or sync objects required by the chosen product.
- Keep backup credentials and encryption passwords separate from the live service.
- Retain multiple points in time so an accidental deletion is not replicated into every copy.
- Perform a restoration to an isolated test instance or replacement device.
- Open representative notes, attachments, relations and recent revisions after restoration.
For Trilium, include the database and any required server configuration in the recovery runbook. For Joplin, include the selected sync destination and E2EE key process. For Obsidian, include the local vault backup and the Sync E2EE password if you use that mode. None of the synchronization features replaces a backup strategy.
Plan upgrades and client compatibility
Record the application version, server version and client platforms in your homelab notes. Upgrade the server only after a known-good backup, and update a test client before every device if your notes are operationally critical. A synchronization problem can be caused by credentials, certificates, incompatible clients, a full destination or a damaged local database; a written rollback path reduces pressure during an outage.
Decision guide by priority
| Your highest priority | Start with | Reason and qualification |
|---|---|---|
| A self-hosted application server with browser access and integrated synchronization | Trilium | Its server is designed as a synchronization point and browser front end. You must operate TLS, backups, upgrades and the database-backed storage model. |
| Markdown notes plus a choice of self-managed sync destinations | Joplin | You can select Nextcloud, S3, WebDAV or a local filesystem among the documented targets. The destination’s own security and maintenance still apply. |
| Optional client-side E2EE with a documented multi-device setup | Joplin | The E2EE guide specifies one-device initialization followed by sequential synchronization. Preserve the unrecoverable master-key password. |
| Local vault workflow with a polished hosted synchronization option | Obsidian | Obsidian Sync offers standard or end-to-end encryption for remote vaults, but the service is hosted and does not encrypt the local vault. |
| Real-time multi-user editing | Do not assume any of these meets the requirement | Trilium’s FAQ says real-time multi-user editing is unsupported. Joplin Server Business is a separate paid team product; the cited material does not establish an equivalent Obsidian comparison. |
| Plain-text recovery with ordinary file tools | Joplin | Its notes are identified as Markdown. Validate exports, attachments and links with an actual restore before making it your continuity plan. |
A practical evaluation sequence before committing
- Write the non-negotiables. State whether a vendor-hosted sync service is allowed, whether mobile access is required, which devices must work offline and whether E2EE is mandatory.
- Sketch the trust boundary. Identify who can read the live notes, synchronization endpoint, backups and local devices. Separate transport encryption from at-rest and end-to-end protection.
- Build a small representative dataset. Include a hierarchy, tags or labels, an attachment, a cross-reference, a checklist, a revision and a long-form runbook. Do not evaluate with only a single text note.
- Test the real clients. Install the desktop and mobile clients you need, edit the same set of notes offline, reconnect and inspect the result. For Joplin E2EE, follow the documented one-device-then-sync order. For Trilium, test the server hostname and TLS certificate from every client network.
- Exercise failure. Disconnect the server or sync target, make an offline edit, restore connectivity and observe conflict handling. Replace a client and verify that encryption keys, attachments and links recover.
- Perform a clean restore. Restore Trilium data to an isolated instance, recover Joplin through its selected destination and E2EE key, or rebuild an Obsidian local vault from your backup and confirm Sync access. Keep written timings and missing-item notes.
- Choose the smallest sustainable operation. Prefer the design your household or team can patch, back up and recover at 2 a.m., not the one with the longest feature list.
Bottom line: match the architecture to your tolerance for administration
Investigate Trilium first if your definition of self-hosted includes an application server, browser access and a central synchronization point for a structured personal wiki. Investigate Joplin first if Markdown portability, offline-first clients, selectable storage targets and optional client-side E2EE are the deciding factors. Investigate Obsidian if a local vault is the priority and you are comfortable with a hosted first-party Sync service rather than a server you run.
None is universally best for homelab documentation. Your final choice should pass four tests: the data lives where your policy requires, the synchronization path is understood, the encryption keys can be recovered under your rules, and a tested backup can restore the notes and attachments you need during an outage.
