Promptless may keep the docs PR as a changing draft while code work continues; once the code PR merges, the docs PR becomes ready for review and still needs a final review and formal approval.
Know which documentation PRs to track
Mautic lists three documentation repositories open to contributions: User Documentation, Developer Documentation, and the Community Handbook. For documentation created by Promptless in connection with a code change, the handbook says the PR may be in the user documentation repository, the developer documentation repository, or both, depending on the change. Start with the code PR: Promptless references the docs PR there and comments with a link. Mautic’s developer contribution guidance explains this workflow.

Use the linked code PR to identify the relationship, but track each docs PR as its own review item. If a change produces PRs in two documentation repositories, record both; approval and merge follow each docs PR’s own lifecycle.
Follow the Promptless lifecycle
- Code PR still open: The related docs PR remains a draft. Contributors can review it, but Promptless may adjust its content as further code changes arrive.
- Code PR merged: Promptless marks the docs PR ready for review. This is the point to revisit the content against the merged code.
- Review submitted: If the content is satisfactory, use GitHub’s Approve review action. If changes are needed, leave review comments and select Request changes. The handbook says Promptless applies requested changes and tags the reviewer again when an update is pushed.
- Approval and merge: The Education Team requires formal approval to merge a docs PR. The contributor responsible for the code change must complete a final review and approve the docs PR after the code PR merges.
The key is not to treat a draft review as the final check. The handbook states: “You must perform a final review and approve the docs PR after the Core Team merges your code PR.” Read the full documentation workflow for the project’s instructions.

Build a lightweight tracker around next actions
Mautic’s guidance describes the workflow, not a required tracker schema. The following fields are a practical implementation recommendation, not official project policy. Keep one record per docs PR so its repository and approval status stay clear.
| Field | What to record | Why it helps |
|---|---|---|
| Documentation repository | User Documentation, Developer Documentation, or Community Handbook | Shows where the PR lives; Promptless updates may involve user docs, developer docs, or both. |
| Docs PR | Direct GitHub PR link | Opens the item that needs review. |
| Related code PR | Direct GitHub PR link and whether it is open or merged | Signals whether Promptless may still revise a draft or whether the final review is due. |
| Lifecycle state | Draft, ready for review, changes requested, approved, or merged | Makes the next review step visible. |
| Reviewer | Assigned reviewer or team member, when known | Clarifies who is expected to act. |
| Last meaningful update | Date of the latest code merge, docs update, or review activity | Helps identify items that may need attention. |
| Next action and owner | For example, “final review — contributor” or “ask for review estimate — PR author” | Turns a status list into a usable follow-up queue. |
Keep the PR and repository links as the source of truth; the tracker is only an index. A GitHub repository view may be enough if you need to follow a small number of PRs in one place. A GitHub Projects board can help when you need cross-repository visibility or want to assign next actions. Mautic documents both repositories and a low- and no-code GitHub Projects board as places to find and manage contribution work, but does not prescribe a standalone documentation-review dashboard.
Set reminders at the transitions that matter
- When the code PR merges: Reopen the linked docs PR, confirm it is ready for review, and assign or identify the final reviewer. This is the most important reminder because the draft may have changed during code review.
- When a review requests changes: Watch for Promptless’s update and reviewer tag, then check the revised content before approval.
- When review is pending: Monitor the relevant GitHub PR comments and Slack thread for the pending PR link or reviewer assignment. The community communication guidance says to ask in the PR comments for an estimated review time if a review has not arrived within a week. That is a follow-up suggestion, not an automatic deadline or escalation rule.
For questions, the handbook advises communicating in the GitHub repository first. You can tag @mautic/education-team-leaders or use the #t-education Slack channel. Keep the discussion linked to the PR so its context and response remain easy to find.

Review the content, not just the status
Mautic welcomes reviews from people familiar with Mautic and PHP; the handbook notes that community reviews matter because PR and bug report volume exceeds the Core Team’s available review capacity. A useful review involves more than changing a status in a tracker. Follow the project’s review guidance to read the PR description and test steps, test the changes, reproduce a reported issue when relevant, and submit useful review information.

- Check the docs against the merged code change, not only the earlier draft.
- Use review comments to identify specific inaccuracies or missing steps.
- Choose Approve only when the content is ready; use Request changes when work remains.
- After an update, check that the requested changes were addressed before giving final approval.
