Toast vs. Square for Restaurants: Which POS Fits Your Business?

Toast emphasizes restaurant-specific operations on its own hardware; Square offers plan-dependent restaurant software and a broader Square ecosystem. Compare real workflows and written, current quotes before choosing.

For restaurants, “Block” means Square for Restaurants, Block’s restaurant point-of-sale offering. Toast and Square can both handle restaurant payments, but the better fit depends on your service model, kitchen workflow, devices, integrations, support needs and the full terms of your quote—not just a headline processing rate.

Toast vs. Square for restaurants: what is the practical difference?

Toast positions itself as a restaurant operations suite built around its own hardware. Its 2025 annual report describes fixed terminals, handheld POS devices, kiosks, kitchen display systems (KDS), kitchen printers, multi-location tools, online ordering, payroll and vendor management. Toast says its in-store products run on Toast hardware with proprietary technology. Toast 2025 annual report

Square for Restaurants presents plan-dependent software features alongside Square’s broader product ecosystem. Its US pricing page shows a free software plan as well as paid options and paid device apps, with features varying by tier. Square restaurant pricing

That distinction is a starting point, not a verdict. A counter-service café may value a simple setup and clear plan structure; a full-service restaurant may care more about coursing, tabs, split checks and kitchen routing. Confirm that the exact functions you need are included in the specific plan and hardware quote.

Which POS is better for your restaurant’s service style?

Consider Toast when restaurant workflows are central

Toast merits an early evaluation if your operation relies on purpose-built restaurant hardware, connected kitchen operations, or a broad set of restaurant-specific workflows. Toast’s comparison page says its automatic offline mode extends to KDS. That is a vendor-reported capability, not an independent performance test; ask Toast to demonstrate how order entry, kitchen tickets and recovery work in your own outage scenario. Toast comparison

Toast reports more than 180,000 locations as of Q2 2026 on that comparison page. This is Toast’s own location count, not an independent measure of market share.

Consider Square when a published plan structure matters

Square merits an early evaluation if you want to compare a published plan structure, begin with a free software plan, or consider Square’s wider ecosystem. Square says its Register hardware is available through major retailers including Amazon on its comparison page. Check the exact model, current availability and compatibility before buying; the listing does not establish that Square hardware works with Toast. Square comparison

Square’s comparison page also states that it serves more than 100,000 restaurants. Because the page’s data sections have different dates, treat this as a vendor-published figure and check the live page for its current qualification.

How much do Toast or Square cost?

There is no sound apples-to-apples price comparison in the available published figures. Toast’s pricing page, last updated August 20, 2026, says Toast Care is included in each software subscription and available 24/7/365. Its displayed pricing applies to new single-location customers, and additional devices may add charges. Toast pricing

Square’s current US restaurant pricing page is the more appropriate source for its current plan structure, but features and add-on pricing can change. Square says businesses processing more than $250,000 annually can ask about custom processing and plan pricing; that is an invitation to request terms, not a promise of a lower rate. Square restaurant pricing

Do not use the rates and plan examples in Square’s comparison table as current offers: Square dates those examples to September 4, 2024. Square comparison

Model the expected term—such as three years—using your actual payment volume, average ticket, transaction count and online-sales mix. A headline subscription price alone cannot show which system will cost less for your business.

What should you verify about hardware and switching?

Toast describes its in-store products as running on proprietary Toast hardware. Square identifies its Register as one hardware option and says it is sold through retailers including Amazon. Neither fact alone settles total hardware cost or what you can reuse later.

  • Ask whether the devices in your quote are required, optional or compatible with equipment you already own.
  • Confirm any extra-device charges, including for handhelds, kitchen displays and printers.
  • Ask what happens to purchased or leased hardware, menu data and transaction records if you switch providers.
  • For Square Register, verify the current model and restaurant-software compatibility with Square before purchasing through a retailer.

Will payments and kitchen operations keep working during an outage?

Ask each vendor to demonstrate the precise failure case that matters to you: a dropped internet connection during a rush, a device losing connectivity, or service returning after orders have accumulated. Toast says its automatic offline mode extends to KDS. Square’s page describes its own plan and features, but a vendor comparison is not a neutral test of relative performance. Confirm what continues for your setup: payment acceptance, order entry, kitchen tickets and synchronization after reconnection.

Have the vendor run the demo with your own order flow and identify any limits or steps staff must take. The answer may depend on the devices, plan and configuration you choose.

How do support, rollout and integrations compare?

Support and staff training

Toast says Toast Care is included in each software subscription and available 24/7/365. Square support varies by plan. Get the support channels and hours in writing, and clarify who handles setup, data migration, staff training and urgent hardware or payment problems.

Integrations and multiple locations

Make a list of essential systems before choosing: online ordering, delivery marketplaces, accounting, payroll, inventory, loyalty and other locations. For each, confirm whether the connection is native, whether it costs extra, what data it shares, and which provider supports the issue if something breaks. Toast’s annual report describes multi-location tools and related operations products, but you still need to confirm that the modules and connections you require are available under your offer. Square’s restaurant features are plan-dependent, so verify the tier and add-ons in your quote.

How to make the decision before signing

  1. Map your service: Write down whether you run counter service, full service, a bar, quick service or a mix. Include seat and course management, tabs, split checks, reservations, kitchen routing and kiosks where relevant.
  2. Build a workflow demo: Ask both vendors to use your menu, modifiers, tips, coursing, split checks and online orders—not a generic sample. Test the integrations and outage scenario you identified.
  3. Match the quote: Request pricing for the same number of locations and terminals, payment volume, card mix, online sales, devices, modules and contract term.
  4. Check the terms: Compare support, implementation duties, renewal and cancellation conditions, hardware ownership and data access after switching.
  5. Choose on fit and written economics: Decide which system handles your real daily work with fewer compromises, then compare the full expected-term cost rather than relying on vendor claims or dated comparison examples.

Toast reports a 57% lift in Toast Loyalty signups when comparing Toast Tables customers in Q2 2025 with Q2 2024, based on Toast’s internal data. That company-reported comparison does not establish that Toast will produce the same result for another restaurant. Toast comparison
