Time Tracking Software for Consultants: How to Choose the Right Fit

The right consultant time tracker depends on how you bill, capture hours, report to clients, and handle invoices. Compare workflow fit and verify current plan details.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose time tracking software for consultants by starting with how you bill: hourly or time-and-materials, fixed-fee, or a mix. Then check whether it can capture work with little friction, organize it by client and project, distinguish billable from non-billable time, and produce the reports or invoice workflow you actually need. A timer alone is not an invoicing or accounting system.

Match the software to how you bill

The right setup depends on what clients pay for. Hourly and time-and-materials work relies on clear records of time spent. Fixed-fee work may not require client billing by the hour, but tracking effort against an estimate can help you understand whether a project is staying on course. If you use both models, make sure the tool can keep billable time, internal work, and fixed-fee project effort distinguishable.

  • Hourly or time-and-materials: Look for entries organized by client, project, and task, with billable status and applicable rates. A client-ready report can help explain the hours on an invoice. Harvest describes time tracking and invoicing workflows for consulting and IT firms on its consulting time-tracking page.
  • Fixed-fee: Prioritize estimates versus actual effort, project progress, and the ability to see where time is going. Toggl describes estimate-versus-actual comparisons and project reporting on its consulting page.
  • Mixed billing: Confirm that each project or task can be classified appropriately and that reports can separate billable hours from non-billable or fixed-fee work.

For a solo consultant, quick entry and a report that is easy to share may matter more than team analytics. For a consultancy with employees or subcontractors, approvals, permissions, capacity planning, and profitability reporting may also be important.

Consultants who want to connect tracked project hours with invoicing inside an accounting service. Which subscription tier includes the specific timer, project, and invoice workflow you need.

A product’s feature page does not establish which features are included in every subscription tier. Check the current plan details before choosing, especially if you need invoice generation rather than exporting time to another system.

Check the details that affect day-to-day use

Time capture and organization

Choose a capture method you will use consistently: a running timer, manual timesheet entries, calendar or browser tools, or mobile and desktop apps. Check that entries can be assigned to the right client, project, and task. A missed or misclassified entry is of little use when preparing a client report.

Rates and billable status

Confirm how the tool handles billable and non-billable entries and whether rates can vary by client, project, or task as your work requires. Check what appears in reports and what clients will see. Do not assume that a displayed billable value automatically matches your contract or invoice rules.

Reports and team oversight

Decide which information you will act on. A solo practitioner may need a clear breakdown of hours by client and project. A team may need timesheet approval, utilization or capacity views, project margins, and comparisons between estimates and actual effort. Toggl describes these types of reporting on its consulting page, but confirm how each report works in the current product and plan.

Invoices and integrations

Distinguish between software that turns tracked time into an invoice and software that exports or shares time records for invoicing elsewhere. Harvest lists connections including QuickBooks Online, Xero, and Stripe on its pricing page; verify that the exact integration and plan support your workflow. FreshBooks describes moving logged hours onto an invoice, while Toggl describes billing features; check current plan details for both before relying on a complete invoice workflow.

Team size, limits, and total cost

Compare the number of seats and projects you need with the current plan limits, then check monthly versus annual billing and which features are gated behind paid tiers. Harvest’s pricing page accessed on 2026-10-07 listed a free tier with one seat and two projects, and Teams from USD $9 per seat per month with annual billing or USD $11 per seat per month with monthly billing. These are vendor-displayed prices and limits from that date, not a guarantee of current terms; confirm them directly before purchase.

A practical selection process

  1. Write down your billing models. Note whether each engagement is hourly, time-and-materials, fixed-fee, or mixed, and identify what must be reported to the client.
  2. List your workflow needs. Record how many people, clients, and active projects need tracking; whether approval is required; and whether you invoice in the tracker or another system.
  3. Shortlist tools by workflow. Consider Harvest for a time-to-invoice workflow, Toggl Track for flexible capture and consulting-oriented reporting, or FreshBooks if tracking within an accounting and invoicing service is the priority. These are fit-based starting points, not a tested winner.
  4. Confirm current plan details. Check the official pricing and feature pages for limits, integrations, billing features, and the exact plan needed. Ask whether an integration is available on your intended tier.
  5. Test a representative project. Enter a few typical tasks, mark billable and non-billable time, and produce the report or invoice handoff you expect to use. Check that totals and labels are understandable before adopting the workflow across client work.
  6. Review contract and data needs. Confirm that the service’s current documentation and settings are compatible with your client obligations before storing sensitive project details.

Common selection mistakes

  • Choosing by timer alone: A timer may capture duration but not provide the client report, approvals, or invoice process you need.
  • Assuming fixed-fee work does not need tracking: Recording effort can help compare actual hours with estimates and inform future project planning, even when clients are not billed hourly.
  • Assuming every advertised feature is included: Plan limits and feature availability change; verify the current tier before subscribing.
  • Ignoring how people actually record time: A technically capable tool may still fail your workflow if its entry method is inconvenient for you or your team.
  • Treating integrations as interchangeable: Confirm the specific accounting, payment, calendar, or project connection and its plan support rather than relying on a general integrations list.
