Outlook can help you reserve time for work, but scheduling a task is not the same as recording hours on a timesheet. To create project, billable, or invoicing entries, you generally need a connected time-tracking service. The right choice depends on whether you want to approve entries one by one, transfer selected meetings and absences, or use calendar appointments to seed timesheets.
What “time tracking for Outlook” can mean
There are two different workflows: planning time on your calendar, and registering time for billing, payroll, utilization, or project reporting. A calendar block shows when you intend to work; a timesheet entry records work against fields such as a project, activity, or client. Do not assume that an Outlook event automatically becomes an approved or billable timesheet record.

Use Outlook and To Do to schedule a task
Microsoft documents dragging a task from the My Day pane onto the calendar in new Outlook, Outlook on the web, and Outlook.com. This turns the task into a calendar event so you can reserve time for it. Microsoft’s instructions describe scheduling, not submitting a timesheet entry. See Microsoft’s instructions for dragging a To Do task to the Outlook calendar.

Outlook-connected time-tracking options
These services connect Outlook activity to a separate time-registration workflow. Their approaches differ: some ask you to review and save an entry, while others transfer or use calendar appointments as timesheet inputs.

BQE’s Outlook add-in documentation, updated January 30, 2026, describes selecting an email or event, checking or entering relevant fields, and saving or submitting the result. Check compatibility before installing an add-in
Do not assume an integration works in every Outlook edition or with every mailbox. Microsoft says Outlook add-in availability varies by client and account type, including distinctions for non-Microsoft mailboxes. Its Outlook add-ins overview, updated September 29, 2026, states: “Outlook add-ins require a network connection to run.” Check the vendor’s supported-client information against the Outlook app and mailbox your team actually uses.

Deployment checklist
- Identify the record you need. Decide whether you only need calendar time blocks or submitted records with project, client, activity, and billable fields.
- Match the workflow to the work. Choose a review-and-save process for controlled entries, a transfer workflow if selected meetings and absences should flow to a timesheet, or appointment-derived timesheets if calendar data is the intended starting point.
- Verify Outlook and mailbox compatibility. Check the exact Outlook client, account type, and network requirements with Microsoft and the service provider.
- Review permissions and data handling. Read the add-in consent screen, determine what message or calendar data it can access, and obtain organizational approval where required.
- Confirm licenses and fields. Check package and add-on requirements, and ensure the service supports the project, customer, activity, billable, and approval fields your process needs.
- Set the approval rule. Decide who checks transferred or populated entries before they are treated as billable, payroll, or project-reporting records.
Choose by the time-entry workflow you need
- Use Outlook’s built-in To Do scheduling when your goal is to reserve work time on the calendar.
- Consider BQE CORE when users should create and verify entries from selected email or calendar items.
- Consider TimeLog when the process includes transferring designated meetings, recurring series, or absences.
- Consider Timewatch when Outlook appointments should feed a timesheet workflow; confirm current feature scope and terms directly with the vendor.
Work-location and presence features are separate from time tracking. Microsoft describes Outlook work location as planned location information, not employee tracking, and says workplace check-in in Microsoft Places is not an attendance-monitoring tool. See Microsoft’s work-hours and location guidance and Microsoft Places documentation.
