Time tracking is not one workflow for every employer. Shift-based teams usually need reliable attendance, schedules, and payroll records; client-service teams need time coded to clients, matters, or projects; and field crews often need hours tied to jobs or sites. When a company has office, mobile, and site-based employees, it may need several capture methods working together.
What time tracking does across industries
Time tracking can support more than clock-in and clock-out. Depending on the work, it may feed attendance records, scheduling, payroll, client billing, project accounting, job costing, or staffing visibility. The useful starting point is the business question the records must answer: who worked, when, on what, and for which cost, customer, or shift.

Vendor industry pages illustrate these workflows, but their descriptions are not independent evidence that a particular product performs better. For example, AYYES’s industry examples, OnTheClock’s industry examples, and QuickBooks Time’s industry examples show the range of needs that vendors address.
How time-tracking needs differ by industry
Professional services, agencies, consultants, and law firms
These teams often need hours assigned to a client, project, or legal matter. Coding time at the right level can support billing and help managers understand project effort and profitability. A generic attendance total may not answer those questions.

Construction and other field work
Field teams may need hours associated with a job, project, or work site, alongside a way for employees to record time away from a central terminal. Mobile clocking and location features are possible approaches, not requirements for every crew. Consider whether location data is operationally necessary and explain how it will be used.
Manufacturing, warehousing, and logistics
Fixed-site and multi-facility operations commonly need attendance and shift records, plus a view of labor assigned to a production line, job, or cost category. Coverage and labor allocation may matter as much as the total hours recorded. These are recurring vendor-described use cases, not proof of any one system’s performance.
Restaurants, retail, and hospitality
Scheduling, attendance, breaks, payroll, and staffing around busy periods are typical workflow concerns. Managers may need to see whether scheduled shifts were covered and how actual hours compare with the plan.

Operations that run around the clock may place particular weight on staffing and schedule coverage across shifts. Industry examples do not establish that a time-tracking product meets clinical, licensing, or other regulatory requirements; evaluate those separately.

Nonprofits and government teams
Scheduling and role-based work, including volunteer time, may need to be handled differently from commercial client billing. The existence of an industry-specific vendor example does not establish legal or public-sector compliance.
Choose a capture method that fits the workforce
A physical employee time clock can make sense at a fixed worksite, but it is only one option. Depending on where people work and what records are needed, time can also be captured through a mobile app, browser, shared kiosk, or employee-entered timesheet. A mixed workforce may use more than one method.
For a comparison, assess the actual workflow rather than choosing by industry label alone:
- Work setting: fixed site, field, office, remote, or a mix.
- Purpose: payroll attendance, billable hours, project or job costing, or staffing visibility.
- Capture method: terminal, mobile app, browser, kiosk, or employee-entered time.
- Required codes: client, matter, project, job, task, cost code, or shift.
- Review and handoff: who approves records and whether they need to flow into payroll or billing.
- Location and monitoring: what is collected, who can access it, and what privacy safeguards apply.
Recordkeeping and privacy considerations
U.S. federal FLSA recordkeeping
For U.S. employers covered by the Fair Labor Standards Act, the Department of Labor says records for covered nonexempt employees must accurately include hours worked and wages earned. The federal rule does not prescribe a single record format or require a time clock. As the Department of Labor’s Wage and Hour Division puts it, “Employers may use any timekeeping method they choose,” provided the records are complete and accurate. See Fact Sheet #21, Recordkeeping Requirements under the Fair Labor Standards Act.

That fact sheet says payroll records should generally be kept for at least three years; records used for wage computations, including time cards and work schedules, for two years. Fact Sheet #21 is marked revised July 2008. These are U.S. federal guidelines for the covered records it describes, not a complete checklist for every worker or jurisdiction. Confirm current requirements and any state, local, contractual, or other applicable rules before relying on them for compliance.
GPS and employee privacy
GPS or other monitoring can raise privacy concerns, particularly when location data is involved. A European Commission report frames the issue as balancing the benefits of tracking geographic location or working time against employees’ privacy rights. That is a general consideration, not a complete statement of current law in any particular jurisdiction. Decide what data is necessary, limit access appropriately, and check the rules where employees work.
Can one system cover office and field employees?
It can, if the system supports the distinct capture and coding needs of both groups. An office employee might enter client or project time in a browser, while a field worker records hours against a job through a mobile workflow; a fixed-site team might use a shared kiosk or terminal. The key is whether approvals, reporting, and payroll or billing handoffs remain coherent across those methods.

Before adopting a setup, map one representative work period for each employee group: how time is captured, what it is coded to, who reviews it, and where the approved record goes. If the workflows differ materially, a single uniform clock-in process may create unnecessary friction or leave managers without the information they need.
