For field staff and employees working across locations, mobile clocking can record location context and may enforce configured site boundaries. Teams with both patterns should look for one system that supports multiple punch methods.
The decision is about where work happens and how records reach payroll, not simply which device is newer. A clocking method does not by itself establish identity or guarantee compliance.

How do you track employee time in the field?
Mobile time-tracking apps let employees record starts and ends on a phone. Depending on the product, a punch may include a location snapshot, or the app may use geofences around configured work areas. Those features are not identical: check whether an off-site punch is blocked, accepted but flagged, or simply recorded with location context. RosterElf and Teambridge describe different implementations, so confirm the behavior for the platform you are considering: RosterElf and Teambridge.

GPS context is not proof of who made the punch. Teambridge explicitly distinguishes location from biometric identity verification; do not treat a geofence as a solution to buddy punching. A mobile approach may suit field work, but it should be paired with appropriate identity controls, record review, and a clear employee-facing explanation of location collection.

When is a shared time clock the better fit?
If employees arrive at the same site and pass a common point, a fixed terminal or shared tablet kiosk creates a consistent place to clock in and out. A shared device can also avoid requiring staff to use personal phones. ADP describes its Time Kiosk app as turning a tablet or smartphone into a shared virtual clock; compatibility with a particular device depends on the vendor’s operating-system and kiosk-mode requirements. ADP
Physical terminals and kiosks can use different ways to identify employees, including badges, PINs, photos, or biometrics, depending on the system. Those methods have distinct usability and privacy implications. Biometric collection should be evaluated separately from whether the punch occurs at a shared device.

What if employees work both on site and across locations?
A mixed workforce may need a kiosk for one group and mobile punches for another. Rather than maintaining separate processes, compare platforms that bring multiple clocking methods into one timekeeping workflow. Compare the options against your work pattern
| Factor | Shared clock or kiosk | Mobile app |
|---|---|---|
| Typical fit | Employees report to one site and can use a common punch point. | Employees work in the field or move between sites. |
| Device | Employer-provided tablet or physical terminal; shared devices may avoid use of personal phones. | Company phone or employee-owned phone, depending on policy and system. |
| Location context | Usually tied to the clock’s workplace; verify what the system records. | May capture location at punch time or apply configured geofences; enforcement varies by product. |
| Identity controls | May support badge, PIN, photo, or biometric methods; availability varies. | GPS alone does not verify the employee’s identity. |
| Connectivity and recovery | Ask how punches are handled during an outage. | Offline punch queueing and later synchronization vary by app; verify in vendor documentation or a trial. |
| Payroll workflow | Check integrations or exports, overtime rules, corrections, approvals, permissions, edit history, and exception reporting for either method. | |
What should you check before choosing?
Where work starts and ends
Map actual shifts and sites: one fixed workplace, several company locations, client sites, or travel between jobs. The more often people start away from a shared point, the more useful mobile clocking may be. If most staff begin and end at the same site, a kiosk or terminal may offer a more straightforward routine.

Who provides and manages the device
Decide whether the employer supplies a kiosk, terminal, or company phone, or whether the app would run on employees’ own phones. Consider setup, maintenance, support, training, and what happens when a device is unavailable. For a tablet kiosk, check the vendor’s supported operating systems and kiosk requirements rather than assuming any tablet will work.
How punches are verified and exceptions handled
Separate three questions: where the punch was made, which employee made it, and how a manager handles a questionable record. Location context can help with the first, while identity methods address the second. Review how the system flags missed punches, off-site attempts, edits, and overtime, and who can approve or change pay-impacting records.

Privacy and employee acceptance
Before rollout, explain what information is collected, when it is collected, who can access it, and how long it is retained. Location data and biometric data are different categories of information with different implications. Review the vendor’s settings and your workplace policies; do not assume the app tracks continuously or only at clock-in without confirming its actual behavior.

The U.S. Chamber of Commerce gives broad cost guidance: most small and midsized businesses pay up to $12 per user per month for online time-and-attendance software, and a business with 10–25 employees might pay around $40–$200 monthly depending on features and hardware. Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Does a particular clocking method ensure compliance?
No. For the United States, U.S. Chamber guidance says the Fair Labor Standards Act (FLSA) does not require a specific time clock, but accurate timekeeping matters. Employers should assess applicable federal, state, and local requirements for their workforce; a device or software configuration alone does not guarantee compliance. The Chamber recommends considering accurate records, overtime and break support, neutral rounding settings, audit trails, access controls, and applicable state rules. How to make the choice
- List work locations. Identify whether each team reports to one site, moves between company sites, or starts at client or field locations.
- Choose the punch point. Consider a shared kiosk or terminal for a common workplace, mobile clocking for work away from that point, or a system that supports both.
- Check product behavior. Confirm geofence enforcement, offline handling, supported devices, identity options, and what location or biometric data is collected.
- Trace a record to payroll. Verify exports or integrations, overtime handling, approvals, edit history, permissions, and exception resolution.
- Review the operational and privacy fit. Account for device ownership, training, support, maintenance, employee communication, and applicable jurisdiction-specific rules.
What the available time-saving figures do—and do not—show
ADP’s 2023 Workforce Management Benefits Study surveyed more than 1,000 organizations with 25 or more employees. ADP reports estimated savings of two hours per employee per week for automated accrual tracking, two to three hours per employee per week for biometric identification at clock-in and clock-out, three hours per employee or manager per week for automated PTO requests and approvals, and four to five hours per manager per week for scheduling automation. These are ADP-reported estimates, not guaranteed results, and they do not compare mobile apps directly with physical clocks. ADP: automated time and attendance systems
