A warehouse does not need one particular kind of time clock. A business can use a dedicated clock, a shared tablet or kiosk, web or mobile clocking, or a hybrid. Choose based on where employees can clock in, how busy shift changes are, whether phones are allowed on the floor, how punches reach payroll, and how managers resolve exceptions.
What a warehouse time clock system needs to do
Capturing a start and stop time is only the first part. A practical warehouse employee time clock system should support the full process: collecting punches, recording meals and breaks, handling missed or incorrect punches, routing exceptions for approval, reporting hours, and transferring reviewed time to payroll.

Before comparing devices, map the current process: where employees enter, where they change shifts or work areas, who reviews timecards, and when payroll closes. Include seasonal headcount and multiple sites if they affect device access, approvals, or pay rules.
Compare the main clocking options
| Option | How employees clock | Best fit to evaluate | Points to check |
|---|---|---|---|
| Dedicated time clock | At a fixed device, often using a badge, card, or another supported authentication method. | A stable entrance or shared clocking point where employees do not use personal phones. | Mounting and power, suitability for the location, authentication choices, network behavior, and recurring supplies such as cards or timecards. |
| Shared tablet or kiosk | Employees use a common tablet or kiosk, typically at a designated location. | Operations that want a shared device without issuing each worker a clocking device. | Queueing at shift change, device security and placement, connectivity, and how workers identify themselves. |
| Web clock | Employees clock through a browser on an approved computer or terminal. | A site with accessible shared computers or workstations. | Whether a suitable terminal is near the work area and whether workers can use it during shift transitions. |
| Mobile clocking | Employees use a supported app or phone-based method. | Work arrangements where employees can access approved phones and the business needs clocking away from a fixed point. | Phone restrictions on the floor, device access, location controls if offered, and what happens when network service is unavailable. |
| Hybrid | Different sites, roles, or shifts use a combination of fixed and mobile or web methods. | Warehouses with varied work areas, phone rules, or employee groups. | Consistent pay rules, reporting, approvals, and exception handling across all methods. |
These are categories to assess, not a universal ranking. Consider glove use, the distance from work areas to a clock, entrance traffic, device power, and the physical location’s suitability. Vendor descriptions can confirm that a feature is offered, but do not establish how well it will work in your facility.

Decide how workers will identify themselves
Options described by vendors include employee self-identification, badges or cards, QR codes, GPS, and biometric authentication. The right approach depends on the worksite, device access, and the controls managers actually need. A badge or shared kiosk may be sufficient in one operation; a mobile location feature may suit another. None of these choices, by itself, removes the need to review questionable punches.
Do not assume fingerprint or photo verification is required to discourage another person from clocking in for a worker. Vendor statements about fraud prevention are not independent performance tests. If considering biometric collection, obtain jurisdiction-specific advice on applicable notice, consent, use, and retention requirements before deployment; the sources cited here do not establish those rules for each state or locality.

Check the features beyond clock-in
- Breaks and meals: Confirm the system records the events your policy and applicable rules require, and clarify whether employees or supervisors enter them.

- Overtime and shift changes: Check how the system displays hours, handles transfers between shifts or work areas, and surfaces exceptions for review.
- Attendance and schedule visibility: If useful, verify whether alerts or scheduled-versus-actual comparisons are included in the specific product and plan.
- Multiple sites and changing headcount: Confirm that permissions, reporting, and approvals work across locations and can accommodate seasonal staffing.
Verify the payroll handoff
A time clock that connects to payroll can reduce re-entry, but the connection needs to fit the business’s actual payroll platform and process. Ask whether the product offers a direct integration or an export, which payroll versions or configurations it supports, and what data is transferred. Confirm how pay rules are configured and who reviews exceptions before payroll is finalized. An export is not the same as an automated, validated integration.
Request a walkthrough using a representative pay period. It should show how punches, breaks, corrections, approvals, and totals move from the clocking method through the time-and-attendance system into payroll, including the handling of a rejected or incomplete record.

Plan for outages and daily operations
Ask what employees and managers should do if a device loses power, the network is interrupted, or a clock is unavailable. Confirm whether offline punches are supported, how they are stored and synchronized, and how managers identify records that still need attention. ADP says its dedicated kiosk can operate offline; verify the exact behavior and recovery process for the product and deployment being considered.
Also account for onboarding, support, device replacement, and shift-change congestion. Test the proposed clocking point during a busy changeover rather than assuming a device that works for one employee will handle the full shift arriving at once.

Use this buying checklist
- Map clocking locations: Mark entrances and work areas, note phone restrictions and glove use, and estimate employee traffic at each shift change.
- Choose candidate methods: Compare fixed clocks, shared kiosk, web, mobile, and hybrid approaches against those site conditions.
- Trace a timecard: Ask a provider to demonstrate punches, breaks, corrections, approvals, reports, and the payroll handoff using a representative scenario.
- Test exceptions and outages: Verify missed-punch correction, supervisor review, offline behavior if offered, and the recovery process after a device or connection problem.
- Confirm the full cost: Request costs for hardware, subscription, implementation, support, payroll integration, and seasonal staffing changes. Do not treat one vendor’s billing model as a market-wide benchmark.
- Review legal and recordkeeping needs: Confirm applicable federal, state, local, collective bargaining, and industry-specific rules with qualified advisers before setting policy.
What U.S. federal recordkeeping rules say
For employers covered by the Fair Labor Standards Act, the U.S. Department of Labor says a time clock is not mandatory and no particular record form is required. Employers may choose a method if the resulting records are complete and accurate. The department lists employee identification and wage information, along with hours worked each day and workweek, among the required records. See U.S. Department of Labor Fact Sheet #21, revised July 2008.
That fact sheet states that payroll records should generally be retained for at least three years, while records used to compute wages—including time cards and work schedules—should be kept for two years. Because the fact sheet was revised in 2008, confirm whether later federal guidance or state, local, collective bargaining, or industry-specific rules add requirements. A particular clock does not itself make an employer compliant; accurate records and correct wage treatment remain the employer’s responsibility.
