The right choice depends on where employees work, how they move between departments and shifts, and whether attendance data fits the store’s scheduling, payroll, and point-of-sale (POS) workflows. Compare the clocking method and identity checks first, then verify department and pay-rule handling, manager review, and exact integrations.
What a supermarket time clock needs to handle
Grocery operations often need more than a record of when an employee arrives and leaves. A system may need to capture meal breaks, transfers between jobs or locations, missed punches, schedule changes, and attendance across departments. Managers may also need to see staffing and overtime risks while there is still time to respond.

Some workforce systems combine timekeeping with scheduling, employee communication, labor visibility, and payroll workflows. For example, UNFI’s TimeForge material describes time and attendance, scheduling, onboarding, payroll integration, demand prediction, and labor-compliance guardrails for independent grocers. These are supplier-described features, not independent evidence of results. UNFI TimeForge Workforce Management
Choose how employees will clock in
The clocking method should fit the store’s layout, staffing patterns, and device policy. A busy entrance, a back-of-house area, and a department with shared workstations may call for different access points. Confirm which hardware and software combinations the vendor actually supports; a generic terminal is not automatically compatible with a chosen payroll system.

| Method | What to check |
|---|---|
| Dedicated terminal | Confirm supported identity methods, placement, network needs, and compatibility with the timekeeping platform. ADP describes biometric time-clock options, including face and fingerprint authentication. ADP employee time clocks |
| Shared tablet or kiosk | Check whether employees can clock in with a PIN, how the device is secured, and whether it can be placed where staff begin and end shifts. Homebase describes PIN clocking on a tablet or computer. Homebase groceries and markets |
| Mobile app | Ask whether clock-ins are tied to a location, which devices and permissions are required, and how exceptions are reviewed. Deputy describes touchless app clocking for supermarkets; Homebase describes mobile clock-in. Deputy supermarket scheduling |
| QR code, voice, badge, or hybrid | Verify which options are available for the specific product and whether they require additional devices or setup. Zebra describes QR or voice time entry and biometric devices; available combinations should be confirmed directly. Zebra Workcloud Timekeeping |
Biometric clocking can make identity verification part of the punch workflow, but it also raises policy and jurisdiction-specific privacy questions. The applicable requirements depend on where the store operates; the product descriptions alone do not establish legal compliance.
Match the system to supermarket workflows
Before comparing brands, map how employees actually move through a shift. A cashier who covers customer service, a stocker who changes departments, or an employee who works across locations may need job or location transfers recorded correctly. Ask vendors to demonstrate the exact sequence—not just a standard clock-in—and show how corrections reach manager approval and payroll.

Verify payroll and POS compatibility
“Integrates with payroll” is not enough to establish that a system will work with a particular supermarket’s configuration. Ask for confirmation of the exact payroll and POS products, the data route (such as an API or file export), supported pay codes and labor levels, and which system owns each record. Check whether department, job, location, break, and pay-rule data will transfer as intended.

Size the system to the store’s operation
A single independent store may prioritize a straightforward shared-kiosk or tablet-and-PIN process. A multi-location operation may need more control over locations, job codes, pay rules, permissions, and consolidated reporting. This is a buying distinction based on the types of features providers describe, not a fixed store-size threshold.
UNFI’s July 2025 TimeForge PDF says labor costs for independent grocery retailers were nearly 15.6% of sales in 2024, attributing the figure to UNFI Professional Services. That is a supplier-published figure, not an independently verified universal grocery benchmark. UNFI TimeForge Workforce Management
Use a practical evaluation checklist
- Map the work: List departments, jobs, locations, shift patterns, breaks, transfers, and common punch corrections.
- Choose clocking points: Decide where employees need to clock in and whether each location calls for a terminal, shared kiosk, mobile app, or hybrid setup.
- Test identity and access: Ask how the system identifies employees, how lost credentials are handled, and what policies apply to any biometric option.
- Demonstrate real exceptions: Have the vendor show a missed punch, a department transfer, a shift change, a break record, and a manager correction through approval.
- Confirm data exchange: Get written confirmation for the exact payroll and POS products, pay codes, labor levels, export or API route, and configuration.
- Compare administration: Review employee access, manager permissions, reporting, support, deployment, and the effort to maintain rules across locations.
- Request a full quote and pilot: Include subscriptions, terminal or tablet costs, setup, training, support, and integration. Pricing was not established in the cited product materials, so obtain current vendor quotes and test the proposed workflow before rollout.
Check legal and policy requirements locally
Break, overtime, biometric privacy, time rounding, and record-retention requirements vary by jurisdiction and can depend on configuration and circumstances. The vendor descriptions cited here are not legal guidance and do not establish that a system’s settings satisfy the rules applicable to a particular store. Confirm requirements using current local primary sources or qualified counsel before enabling related settings.
