You get daily and weekly totals that you can print, save as a PDF through your browser’s print dialog, or export as CSV. The tool does arithmetic on the records you type in, so the accuracy of the result depends on those entries and on the settings you choose.
What the weekly card asks for
The calculator presents a seven-day card. Each day has fields for start time, break start, break end, end time, and a break deduction. The table below explains what each field does.

| Field | What to enter | What it does in the total |
|---|---|---|
| Start time | When the shift began that day | Starts the day’s elapsed time |
| Break start and break end | The clock times the break began and ended | The break length is subtracted from the day’s total |
| Break deduction | The amount of break time to remove, as an alternative to break start and end times | The stated amount is subtracted from the day’s total |
| End time | When the shift ended that day | Closes the day’s elapsed time |
| Daily and weekly totals | Calculated by the tool, not typed | Show hours worked after breaks, and pay where pay is enabled |
Two display options change the printout rather than the arithmetic. You can hide weekend days if you do not work them, and you can add a custom note that prints with the card.

Calculating a week step by step
- Enter your name and the date range for the workweek.
- For each day you worked, enter the start time and end time.
- For each break, choose one method: enter a break deduction, or enter the break’s start and end times. Use the method that matches how the break was actually recorded.
- If you need a pay figure, enable pay calculation and enter the hourly rate and currency.
- If you need an overtime figure, select an overtime threshold and an overtime rate that match your own rules or your employer’s policy.
- Review the daily and weekly totals against your own notes, then print the card, save it with the browser’s print-to-PDF option, or export the CSV.
Subtracting breaks
Clockify’s calculator supports two ways of handling a break. Both reduce the day’s total hours, so the choice is about how your records are kept, not about the final number.

Entering a break as a deduction
If your record simply says a lunch of a given length was taken, enter that length in the break deduction field. This is the quicker method when you do not have exact clock times.
Entering break start and end times
If you recorded when the break started and finished, enter both times. The calculator subtracts the interval between them. This is the better choice when a supervisor or payroll system may ask for exact times.
Use one method for each break. Recording the same break both as a deduction and as start and end times would remove it twice from your total.

A worked example
Suppose a shift runs from 9:00 to 17:30 with an unpaid 30-minute lunch. The elapsed time is 8 hours and 30 minutes. Subtracting the 30-minute break leaves 8.0 hours for that day. Entering the lunch as a 30-minute deduction, or as a 12:00 to 12:30 break, produces the same 8.0-hour result.

Pay and overtime settings
Pay calculation is optional. When it is off, the card shows hours only. When it is on, the calculator multiplies hours by the hourly rate you enter, in the currency you select.
Base pay
Enter the hourly rate that applies to the hours you are calculating. If your rate changes during the week or varies by task, the single rate in the calculator will not reflect that. In that case, calculate each rate’s hours separately.
Overtime thresholds
The overtime setting lets you choose when hours above a threshold are paid at an overtime rate. The calculator offers three options, which are listed in the table below.
| Threshold option | Hours counted at the overtime rate | Example setting |
|---|---|---|
| Daily | Hours worked in one day beyond the daily threshold | Eight hours per day |
| Weekly | Hours worked in the week beyond the weekly threshold | Forty hours per week |
| Custom | Hours beyond a threshold you enter | Any value you choose |
The eight-hour and forty-hour values are examples the calculator offers. They are not a rule that applies to every worker, and the correct threshold depends on where you work and how your employer applies overtime.

Worked overtime example
Assume a weekly threshold of 40 hours, a base rate of 20 per hour, and an overtime rate of 30 per hour, in any currency. A week with 45 total hours splits into 40 regular hours and 5 overtime hours. The pay is 40 × 20 = 800, plus 5 × 30 = 150, for a total of 950. This arithmetic illustrates how the settings combine; it is not a statement of what you are owed.

When a one-off calculator is not enough
The calculator suits an individual who needs to total one week of hours. If you need to record time every day, have a team enter time, or route timesheets for approval, a tracker is a better fit. Clockify’s timesheet product describes weekly entry, payroll and billable-hour calculation, approvals, and reports. Its attendance reporting can calculate overtime on a daily, weekly, or monthly basis, which is a software configuration rather than a statement of labor-law requirements.
| Need | Calculator | Clockify timesheet or attendance tools |
|---|---|---|
| Entry method | Manual entry of one week on a card | Weekly timesheet entry and ongoing time tracking |
| Who uses it | One person calculating their own week | Individuals and teams |
| Approvals | Not part of the calculator | Timesheet approvals |
| Pay and billable hours | Optional hourly-rate pay estimate | Payroll and billable-hour calculation |
| Overtime | Daily, weekly, or custom threshold on the card | Daily, weekly, or monthly overtime calculation in attendance reporting |
| Output | Print, print-to-PDF, or CSV | Reports |
Limits of the calculation
The calculator applies arithmetic to the times and settings you enter. The official material does not establish which overtime threshold, break treatment, rounding practice, or pay rule applies to any particular person. Before relying on a total for pay or for a formal record, check the following:
- Whether your employer or local rules require a specific overtime threshold, and whether the calculator’s options match it.
- Whether breaks are paid or unpaid under your arrangement, and whether your employer requires exact break times.
- Whether your employer rounds start and end times, and whether the calculator’s totals follow that practice.
- Whether your pay includes rates, allowances, or deductions that a simple hourly rate does not capture.
Manual alternatives
If you prefer to keep your own record, Clockify’s official guidance lists three common approaches: a Word document, an Excel spreadsheet, or a printed timecard template. A spreadsheet is the most flexible for custom formulas. A printed template suits workplaces that collect paper timecards. The calculator is not required for any of these.
Interface labels in Clockify’s tools may change over time, so if a label on your screen differs from the one described here, follow the function it performs.
