Things You Can Do With Microsoft Copilot: Practical Uses and Plan Differences

Microsoft Copilot can research, draft, summarize, analyze Excel data, create presentation drafts, plan projects, and generate images. Features and limits depend on the Copilot experience and license.

Microsoft Copilot can help answer questions, draft and revise writing, summarize webpages and files, analyze spreadsheets, outline presentations, plan projects, and create images. What it can do depends on which Copilot you open and which account or subscription you use: free Copilot is not the same as Copilot inside Microsoft 365 apps or a work-licensed Copilot.

First, identify which Copilot you have

“Microsoft Copilot” is a family of AI experiences, not one app with the same access everywhere. The main differences are where the assistant works and what information it can use.

To check a work account’s license, use Microsoft’s Copilot license guide. Features can also differ by platform, region, language, rollout, and administrator policy.

Ask questions and research a topic

Free Copilot is useful for getting a first explanation, comparing options, brainstorming questions, or turning a broad subject into a research plan. Ask it to explain a concept at a chosen level, summarize competing arguments, or organize findings into a briefing or table. Web-grounded answers can draw on search results, but they are not guaranteed to interpret sources correctly.

A useful research prompt is: “Compare the main arguments for and against [topic]. Separate sourced facts from your inferences, note uncertainties, and provide links to the sources for each important claim.” Open the cited pages and check that they actually support the claims. For medical, legal, financial, employment, safety, or other high-stakes decisions, treat Copilot as a starting point, not an authority.

Draft, rewrite, and improve writing

Copilot can help turn notes into a draft, write an email or proposal, propose an outline, simplify jargon, or revise text for clarity, length, tone, and audience. It can also suggest missing questions or flag places where a draft’s logic is unclear. Use it to produce options, then make the final judgment yourself.

Prompt template: “Draft a concise email to [audience] about [subject]. Use a [tone] tone, include [key points], keep it under [length], and flag anything that needs confirmation.”

  1. State the audience and what the writing should accomplish.
  2. Provide the notes or source text Copilot should use.
  3. Specify the tone, length, format, and anything to leave out.
  4. Ask it to mark assumptions or missing details rather than inventing them.
  5. Check names, dates, figures, claims, and commitments before using the draft.

In Microsoft 365 apps, Copilot may be able to generate a document, edit selected text, summarize an existing file, or use referenced files as context. Which controls are available varies by account, platform, rollout, and organizational settings; see how Copilot Chat works in Microsoft 365 apps.

Summarize webpages, documents, emails, and conversations

Ask Copilot for a short summary, key takeaways, decisions, deadlines, action items, or unanswered questions. In Edge, you can ask about an open webpage. In eligible Microsoft 365 experiences, you can also request summaries of documents, email threads, and other content available to that account.

Be specific about scope: for example, “Summarize the whole document in five bullets” or “Summarize only the section on implementation and list its open questions.” Summaries may miss footnotes, qualifications, tables, or exceptions. A paywall, partially loaded page, or unavailable content can leave Copilot without the full context. Ask for supporting passages or citations where available, then inspect the original.

Use Copilot in Word

Depending on the Microsoft 365 version and account, Copilot can help start a document from a prompt, make a first draft from reference material, rewrite selected text, summarize a file, or suggest headings and organization. These are different tasks: generating a new document does not mean it has edited your existing file, and a summary is not a full review of every detail.

Give it a purpose, audience, source material, and desired structure. For example: “Turn these meeting notes into a one-page project update for senior managers. Use headings for progress, risks, and next steps; mark any missing dates or owners.” Review the result against the source before sharing it.

Analyze data in Excel

Copilot can help explain a worksheet, identify patterns or unusual values, suggest formulas, summarize a table, and propose charts. Its interpretation depends on the workbook’s structure and the question you ask; a formula can be valid Excel syntax and still calculate the wrong thing.

Important prerequisite: Microsoft says Copilot in Excel requires AutoSave to be enabled and the workbook to be saved to OneDrive; it does not work with an unsaved file. Microsoft’s Microsoft 365 Copilot FAQ

  1. Organize the data as a table with clear column headers.
  2. Identify blank rows, merged cells, or inconsistent entries that could confuse the analysis.
  3. Enable AutoSave and save the workbook to OneDrive.
  4. Ask a narrow question, such as: “Analyze month-over-month changes and identify the three largest contributors.”
  5. Inspect formulas, filters, chart labels, and the data range; independently validate important totals.

You can also ask, “Suggest a formula to flag overdue invoices where the due date is before today and the status is not ‘Paid.’” If the result looks wrong, clarify the column definitions and the exact rule you want applied. Do not treat a correlation in the data as proof of cause.

Create and improve PowerPoint presentations

In eligible Microsoft 365 experiences, Copilot can help create a first-draft deck from a prompt or a Word document, outline slides, condense a report, suggest speaker notes, or rewrite slide text for an audience. Ask for a slide-by-slide outline first so you can check the story before building the deck.

  1. Start with a structured source document where possible.
  2. Specify the audience, intended outcome, and presentation length.
  3. Review and revise the proposed slide outline.
  4. Request speaker notes separately if you need them.
  5. Check all numbers, quotations, citations, charts, images, accessibility, branding, and narrative flow.

A generated deck is a draft, not a finished presentation. Microsoft describes presentation creation and assistance in its Microsoft 365 Copilot FAQ.

Work with email and calendars in Outlook

Depending on your account and license, Copilot can summarize a thread, draft or revise a reply, extract action items, help prepare for a meeting, or answer questions using available inbox and calendar context. Microsoft says Copilot Chat in Outlook for some work or school accounts without the add-on can use limited data, such as inbox, calendar, and meetings; its capabilities are not the same as those provided by the Microsoft 365 Copilot add-on. Use a generated message as a draft. Before sending, check the recipients, attachments, dates, prices, promises, and tone—especially for “reply all,” sensitive information, legal wording, or customer commitments. Do not assume Copilot has sent a message or completed a calendar action merely because it suggested or prepared one.

Plan trips, projects, and everyday tasks

Copilot can help turn a goal into a checklist, schedule, budget, or draft itinerary. Microsoft’s consumer examples include using OneNote for a travel itinerary, Excel for a trip budget, weather updates for planning, and Designer for invitations or social graphics. The same approach works for a study schedule, moving checklist, meal plan, job-search tracker, or home-improvement project.

Prompt template: “Create a seven-day itinerary for [location] for [traveler profile]. Include estimated travel time, opening-hour checks, accessibility considerations, a daily budget, and alternatives if weather disrupts outdoor activities. Identify every detail that needs current verification.”

Check current schedules, prices, opening hours, transport, weather, visa rules, and availability with official providers. Copilot can help organize a plan, but those details change and may not be current in its answer.

Create or edit images

Depending on plan and platform, Microsoft’s image tools and Microsoft 365 experiences—including Designer, Create, Paint, Photos, and other app integrations—can help produce or edit graphics. Possible starting points include an invitation, poster, presentation illustration, social graphic, background, mockup, or variation on an existing design. The exact tool and available controls differ by experience.

Inspect generated images closely: text can be misspelled or distorted, and faces, hands, logos, diagrams, or precise layouts may be defective. Image creation or editing may count toward AI credits or other feature limits. Questions about commercial use, likenesses, trademarks, or copyright may need separate legal review.

Use Voice, Vision, Pages, and other advanced features

Some Copilot experiences offer voice conversations or Vision features that respond to shared visual context, such as a screen or camera view. These may help you talk through an idea hands-free or ask about a visible interface, chart, object, or document. Before using them, understand what microphone, camera, screen, or document content you are sharing. Vision is not a substitute for professional inspection, diagnosis, or safety judgment.

Microsoft’s AI-limits page, updated May 2026, lists the following daily allowances for Microsoft 365 consumer plans. These are documented plan limits, not guarantees that every feature is available to every account; Microsoft says limits can vary by feature, entry point, system conditions, and model availability. Microsoft also lists capabilities such as Pages, Notebooks, Audio Overview, Analyst, Researcher, Actions, and Photos Agent, but availability and rollout differ; some features are identified as coming soon for certain plans. Treat a feature as available only if it appears in your account and current plan details. An agent may research, prepare, recommend, or take an action; check what it actually did before relying on the result.

Privacy: use the right account for the information

Free consumer Copilot, personal Microsoft 365 Copilot, and work or school Copilot are not interchangeable when the information is sensitive. Microsoft’s organizational guidance distinguishes consumer Copilot from work offerings and warns against entering sensitive or proprietary work information into the consumer version. For confidential company material, use the Copilot experience approved by your organization. Work-data access depends on licenses, configuration, permissions, and administrator policies; do not assume that any Copilot app can see every local file, OneDrive item, email, or meeting. With voice or Vision, also consider whether the content visible or audible to the feature should be shared.

What Copilot cannot reliably do

  • Guarantee factual accuracy. It can misread a source, combine claims incorrectly, or give an unsupported answer.
  • Guarantee complete context. A page may be paywalled or only partly loaded; a file may be unavailable or poorly structured.
  • Replace professional advice. Verify consequential medical, legal, financial, employment, and safety decisions with appropriate experts or authoritative sources.
  • Access every file or app by default. Access depends on the Copilot experience, account, license, permissions, app, and storage location.
  • Ensure calculations are correct. Check formulas, ranges, assumptions, and outputs independently.
  • Make every generated action happen. A draft, suggestion, or prepared action is not necessarily an executed one.
  • Offer identical features to every user. Region, language, platform, subscription, rollout, policy, and usage limits can affect availability.

If a capability is missing, first check which account is signed in and whether the task requires a different app or license. For Excel, confirm AutoSave and OneDrive. Then check your plan’s feature limits and whether the capability has rolled out to your platform or region.

Is a Microsoft 365 subscription worth it for Copilot?

Try free Copilot first if you mainly want occasional web-based answers, brainstorming, drafts, summaries, or image ideas and do not need in-app Microsoft 365 integration. Consider paying when the combination of Microsoft 365 apps, storage, and Copilot features fits a regular workflow—not just because a more expensive plan exists.

For a work or school account, ask your administrator which license and data protections apply. Microsoft 365 Copilot for organizations is aimed at deeper integration with organizational information and administrative controls; business pricing and eligibility depend on the agreement and country. A custom-agent tool such as Copilot Studio is intended for business automation and introduces additional licensing and capacity considerations, not a routine upgrade for personal drafting.

Choose by workflow, not by the Copilot name

Copilot’s clearest advantage is its proximity to Microsoft apps and, with eligible work licensing, organizational data. If you do not use Microsoft 365, a standalone assistant may fit better; if your notes and projects live in another ecosystem, a tool integrated with that workspace may be more convenient. Compare the actual workflow, data access, privacy requirements, and limits—not just the product name.
