A team shared drive works best when its structure makes clear what belongs there, where people should look, and who can access the work. Organize around the team’s actual projects or recurring work, name folders for their contents, and make someone responsible for keeping the system understandable.
What should a team folder structure communicate?
It should give people a usable map of the work: the purpose of each shared space, how projects relate to teams, and where shared materials belong. That is a practical design goal, not a promise that a particular folder layout will improve productivity by a measurable amount.

Google recommends giving each shared drive a clear focus, such as a project or team. Microsoft’s SharePoint information-architecture guidance likewise emphasizes helping people find relevant documents and understand an organization’s structure. Together, these recommendations point to a simple test: can a newcomer infer where a file belongs from the names and organization, without needing the folder creator to explain it?
Choose top-level spaces around the work
Start with how people retrieve and collaborate on information, rather than with a folder tree that merely mirrors an org chart. A project may involve several departments; each department may also have internal materials that do not belong in the project space.

Google advises creating a shared drive for each project or team. If one drive has accumulated too many projects and teams, or people disagree about how to organize it, Google suggests separating cross-functional work from functional team content—for example, using a shared collaborative space alongside distinct team drives. Google’s shared-drive organization guidance explains this approach.
Before deciding, compare the options against the needs that matter for your team:

Use names as navigation
A folder name should describe what people will find inside and distinguish it from neighboring folders. Names such as “Project Atlas” or “Finance—Forecasts” can be useful when they reflect terms the team actually uses; labels such as “Miscellaneous” or “New folder” force people to guess.

Agree on naming conventions across the organization, not just within one person’s part of the drive. Google gives region, status, and internal or external labels as examples of details a convention may standardize. Its guidance is available in the shared-drive organization guide.

The National Archives-hosted sample procedure recommends accurate folder titles, distinct names, logical hierarchy, and limited subfolder depth. Apply those principles at drive, folder, and file level: use a small set of consistent terms, avoid repeating the same label at every level, and keep nesting shallow enough that people can still understand the path. The document identifies itself as a 2013 sample procedure, so treat it as general records-management guidance rather than current platform documentation. Read the sample procedure.
Make permissions and ownership visible in the design
Where work lives can signal who is expected to participate—and who should not have access. Design membership and restricted areas deliberately rather than treating permissions as an afterthought. Google’s guidance discusses using separate spaces or restricted folders when access needs differ. Google’s guidance on shared-drive access describes these options.

In Google shared drives, files belong to the team rather than an individual member and remain when a member leaves. That ownership model can make a shared drive a better fit for continuing team or project records than a collection of files dependent on one person’s account. Platform behavior and available controls can change, so consult the current product guidance when setting permissions.
Separate active work from completed material
Not every shared space needs the same access pattern. A drive used for active collaboration may need members who can edit; a repository of completed projects or final reference materials may need more limited roles. Google’s examples distinguish these purposes and suggest labeling archive or reference spaces so their role is apparent. Google’s shared-drive guidance covers these organization and access examples.

Make the distinction apparent in the space name and its membership rules. Otherwise, people may mistake a reference repository for a live workspace, or keep editing material that is intended to be final.
Assess the current drive before reorganizing
A clean-looking structure is not useful if it ignores existing content, security needs, or the way the team works. The National Archives’ shared-drive guidance recommends assessing the current environment before implementing a standardized structure and a day-forward policy. Consider:
- Which platforms and shared spaces are already in use?
- What content and file types do they contain, and how old is the material?
- Where do people currently save and search for work?
- What security or access requirements apply?
- Which content is active, completed, or retained for reference?
The National Archives bulletin dates to 2012; it is useful as records-management guidance for assessment and governance, not as a description of current platform features. Read the bulletin.

Give the structure an owner
A folder system is a team agreement only if people know the rules and someone tends it. Assign a steward or points of contact, decide who can create and rename spaces, and set expectations for review and archiving. NARA’s shared-drive guidance calls for policies, clear roles, maintenance strategies, and training. Its shared-drive bulletin describes those governance practices.
For a lasting rollout, explain the naming rules and where common types of work belong. NARA’s records-management guidance also recommends establishing naming rules and responsible roles, assessing existing content, developing a standardized structure, and training users. See its guidance on directory structures.
