A task tracking app gives work an owner, a due date and a visible status. The right choice depends on whether you need a personal to-do list, a shared team board or a tool for coordinating larger projects—and on the calendars, chat and files your team already uses. Compare the work each app is built to organize, the views and workflows it supports, and which features are actually included in the plan you can use.
What a task tracking app should help you do
At a minimum, a useful tracker lets people capture work, assign responsibility, set due dates and see what remains. Team tasks often also need comments and attachments so decisions and supporting files stay with the work item. A recent discussion in r/projectmanagement illustrates that combination of needs, but it is one user’s request, not evidence of what teams generally prefer.

Before comparing products, identify the shape of the work. A personal list is not the same problem as coordinating a project with dependencies, and a software team may need backlogs or sprint planning. A team can need more than one of these, but a tool should not be judged by features that its users will not use.
- Personal to-dos: Capture and prioritize an individual’s tasks, with clear due dates and a simple way to review what is next.
- Shared team work: Assign tasks to colleagues and keep status, discussion and files visible to the people involved.
- Project planning: Coordinate multi-step work, including schedules, dependencies, reporting or workload when those are genuine requirements.
- Software or issue workflows: Organize work around a backlog or sprint process if that is how the team plans and delivers it.

Views for different kinds of review
A list or grid is useful for scanning many tasks and their details. A board groups work by status, while a calendar or schedule makes dates easier to review. Timeline and Gantt views help show work across a longer project; charts and reports help summarize progress. These views are not interchangeable, so check that the app supports the formats your team will actually use.

Vendor documentation describes different view sets: Asana lists list, board, calendar, timeline and Gantt views; Microsoft Planner’s product page lists grid, board, schedule and charts; and Atlassian says Trello Planner places Trello cards alongside a calendar. Availability can depend on plan or entitlement, so verify the details for the account you will use.
Coordination and workflow depth
For a shared tracker, confirm that people can assign owners, set due dates, comment, attach files and get useful notifications. For complex or recurring work, check for dependencies, automation rules, templates, reporting or workload tools. Each additional capability can help with a real coordination problem, but it can also add setup and administration; do not pay for workflow depth without a use for it.

Asana’s documentation describes dependencies and workflow rules, and distinguishes capabilities by plan: it describes Personal with owners, due dates and core views; Starter adds timeline and Gantt views, custom fields, forms, rules and templates; and Advanced and enterprise options include additional capabilities such as portfolios, goals, reporting, budget management, admin controls and resource planning. Microsoft’s Planner page lists dependencies and reports among Planner Plan 1 features. Those descriptions are not a guarantee that every feature is included for every account or region; confirm current entitlements on the vendor’s page.

How the documented options differ
The table compares documented positioning and features, not hands-on usability or overall quality. Check vendor pages for current plan details before deciding.
| Option | Documented strengths | Best fit to investigate | Plan and availability consideration |
|---|---|---|---|
| Asana | List, board, calendar, timeline and Gantt project views; dependencies and workflow rules are documented. | Teams that want several project views and may need structured workflows. | Features vary by plan. Asana describes a progression from Personal through Starter, Advanced and enterprise options; verify current inclusions. |
| Microsoft Planner | Grid, board, schedule and charts; integration with Teams and Microsoft 365 is described by Microsoft. | Organizations already coordinating work in Microsoft 365 who want tasks and plans in that ecosystem. | Microsoft lists multiple paid Planner and Project plan tiers; regional pricing and exact eligibility need confirmation. |

Choose by starting with your workflow
- Write down the minimum task record. Decide whether every item needs an owner, due date, status, comments or attachments. Keep only requirements that support how your team works.
- Pick the main work shape. Decide whether you are tracking personal to-dos, shared team tasks, multi-step projects or software issues. If you need more than one, identify which workflow is central.
- Choose the views that make review easier. For example, a board may suit status-based work, a calendar can expose date conflicts, and a timeline can help with planned sequences. Compare the views documented for each option.
- Separate essentials from advanced needs. Mark dependencies, rules, reporting, workload, templates or sprint planning as required only if someone will use them. Then verify the plan tier that includes each required feature.
- Check ecosystem fit and account constraints. Confirm integration with your team’s calendars, chat and storage, along with any organization or account requirements that affect access.
- Compare the actual purchase terms. Check the current price, billing interval, region, eligible users and plan inclusions on the vendor’s own page. Do not assume a feature or listed price applies to every account.
Check plans and prices before committing
