Switching Cloud Storage Services: What to Check Before You Move

A safe cloud storage switch starts with the exact provider pair and account type. Plan the move, check what may not transfer, and verify files and access before closing the old account.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To switch cloud storage services safely, choose a destination that fits your storage, workflow, sharing, and administrative needs; confirm the migration route for your exact provider and account type; move the files; then verify important content and access before cancelling the old account. Files, folders, links, permissions, and document features do not always transfer together.

How do I switch cloud storage services?

Use a staged move rather than treating the transfer as a one-time copy. Keep the source account available until you have checked the destination and resolved important omissions.

  1. Define why you are switching. Identify whether cost, capacity, collaboration, privacy, compatibility, or account consolidation is driving the change. For a work or school account, check with the administrator first: managed-account policies can restrict third-party storage providers and how cloud storage is accessed.
  2. Inventory what matters. List personal files, shared folders, team-owned data, critical links, files owned by people outside your organization, Google Docs/Sheets/Slides or other provider-native documents, and material where version history matters. Note which items must remain editable and who needs access.
  3. Choose a destination against your real requirements. Compare the storage tier and total cost for your account type, capacity and file support, app compatibility, offline and mobile workflows, collaboration and link controls, ownership and permission handling, migration support for the exact provider pair, and any privacy, retention, residency, or compliance requirements. Check current provider pricing and documentation directly; there is no single best destination for every reader.
  4. Confirm the exact migration route and its scope. Check whether it supports your account edition and source/destination pair, what it copies, what it skips, and whether it handles folders, permissions, ownership, and updates made during the move. A provider-supported route can reduce manual work, but it is not proof that every feature will carry over.
  5. Prepare the transfer window. For a business migration, assign an administrator, confirm destination capacity and access, and decide how to capture new or changed files. If the selected tool requires a pause in editing, tell collaborators when it begins and ends. Google advises against editing documents, folders, or shared drives during its migration because changes can cause errors and complicate version management.
  6. Review the migration report. Check migrated and skipped counts, error details, and any downloadable report or item list. Resolve important omissions instead of assuming a successful job means every file moved.
  7. Validate before cancelling the old account. Open representative files, check the folder structure, verify key collaborators and links, and confirm that needed versions and embedded features work. Keep the source active until the checks that matter to you pass.

How do I move my files to another cloud storage provider?

The right method depends on the provider pair and account type. Use current instructions for your exact route; the examples below are documented workflows, not universal migration options.

Google Workspace business migrations from OneDrive, SharePoint Online, or Dropbox

Google describes a Workspace migration service that connects to a supported prior data source and copies files and folders, with an option to select user or group permissions for copying. Its overview names Microsoft OneDrive, SharePoint Online, and Dropbox as supported source types. Google also lists examples that may not migrate, including items with restricted permissions or blocked-download policies, files created by external users outside the organization, and OneDrive folder shortcuts. Check the current Google Workspace migration overview for the instructions and scope that apply to your edition and route.

Importing Google Drive files into Dropbox

Dropbox documents an “Import from Google Drive” workflow: authorize the Google account, select files, and upload them. The workflow can preserve the selected files’ folder structure, but Dropbox says it imports files, not folders. Review the overwrite option for same-name files carefully. The import flow also offers deletion of files from the Google source after upload; do not use that as a shortcut before verifying the destination copy. See Dropbox’s Google Drive import instructions.

Dropbox Business to Google Workspace

A January 2026 Google Workspace Updates announcement says the New Data Migration service is generally available for moving Dropbox business-account files to Google Drive. For this specific route, administrators can migrate up to 150 Dropbox users or team folders at a time to My Drive or shared drives, respectively. The service provides progress reports with migrated and skipped counts, report export for troubleshooting, and delta updates for newly added or updated files. The announcement lists Business, Enterprise, Essentials, Education, and Nonprofits editions. Those details apply to the named business migration, not consumer accounts or other provider pairs. See Google Workspace Updates’ January 2026 announcement.

Will my files and sharing permissions transfer?

Do not assume that a copied file preserves the same access, ownership, link behavior, or collaboration model. Treat permissions and links as their own validation task: inspect key files and folders in the destination, confirm the intended people can open them, and test important shared links.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Google’s Workspace migration overview allows selection of user and group permissions for copying on the documented routes, but that does not establish that every permission relationship transfers in every migration. When moving items into Google shared drives, Google documents cases where non-members may lose access, inherited folder permissions may not copy, and files or folders owned by external users cannot be moved in specified circumstances. Shortcuts may be created for items that cannot move. These are shared-drive-specific rules, not general limits for every cloud migration. Consult Google’s shared-drive move guidance for the applicable cases.

Which document features may not survive a move?

File presence alone does not prove functional equivalence. Google warns that unsupported content inside files may not migrate and could be unrecoverable if the original is deleted. Its guidance on Google Docs, Sheets, and Slides stored with other cloud providers lists unsupported functions including Google Forms and Sites, mobile edits in the Docs/Sheets/Slides apps, linked content, Sheets connectors and macros, IMPORTRANGE, protected ranges, certain Drive content, and Docs/Sheets/Slides APIs and Apps Script. It also says Drive controls such as access control, data-location commitments, DLP, Vault retention policies, and Drive API access are unavailable for those documents in external storage. These are examples of portability issues, not a complete compatibility matrix for all providers. See Google’s guidance on using Docs, Sheets, and Slides with other cloud providers.

If the destination route provides a report, use it to identify skipped items and errors. Then open representative documents and check the functions your work depends on; a file may exist at the destination while a linked feature, script, or management control does not work as before.

What should I check when moving files into a shared drive?

Google’s shared-drive rules apply specifically when moving items into Google shared drives. In addition to access and ownership caveats, Google documents a maximum of 100,000 items total for the described folder move and thresholds at which too many immovable items can block a move. Some items that cannot move may be represented by shortcuts. Check the current shared-drive move guidance and its item-level details before relying on a large folder move; do not apply these limits automatically to other migration routes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When is it safe to cancel the old service?

Cancel only after the destination has been checked against the needs you identified before the move. At minimum, confirm that representative documents, images, archives, and large files open; the organization is usable; critical collaborators retain access; important links work; and required versions or embedded features remain. Review skipped-file and error reports where available, resolve exceptions, and keep the source until those checks are complete. A file count by itself cannot confirm that content and sharing relationships were preserved.
