1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsSUM is still the right Excel function for a straightforward total. Use SUMIF or SUMIFS when only values meeting conditions should count, SUBTOTAL when a total must respond to filtering, and AGGREGATE when its error- or hidden-row options solve a specific problem. Excel’s AutoSum is a shortcut for inserting SUM, not a different calculation method.
Which Excel summing formula should you use?
| What you need | Use | Why |
|---|---|---|
| Total a normal range or several ranges | SUM |
Directly adds the specified values or ranges. |
| Total values that meet one condition | SUMIF |
Applies a single criterion. |
| Total values that meet multiple conditions | SUMIFS |
Applies multiple criteria to the values being summed. |
| Total a filtered list | SUBTOTAL |
Excludes rows filtered out of the list; its function number determines how manually hidden rows are treated. |
| Sum while ignoring errors or applying hidden-row options | AGGREGATE |
Offers configurable behavior for those cases; it is designed for vertical data. |
| Insert a basic total quickly | AutoSum | Inserts a SUM formula for an adjacent row or column that you can inspect or edit. |
When is SUM the right choice?
Use SUM when the task is simply to add a range, individual cells, or numbers supplied as arguments. For example, Microsoft documents =SUM(A2:A6) as a range total: Microsoft’s SUM function reference.

Cell references and directly supplied arguments are not always treated identically: referenced text and logical values can be handled differently from text or logical values passed directly to the function. If a total looks unexpected, check what is actually stored in the cells rather than assuming every numeric-looking entry is being added.

When should you use SUMIF or SUMIFS?
Use SUMIF for one condition
SUMIF adds values according to one criterion. Its arguments are range, criteria, and, optionally, sum_range. When the optional sum range is omitted, Excel sums the cells in the criteria range that meet the condition; when supplied, it sums corresponding cells in that range. See Microsoft’s SUMIF and SUMIFS documentation.

Use SUMIFS for multiple conditions
SUMIFS takes its arguments in a different order: first sum_range, then pairs of criteria_range and criteria. Microsoft documents support for up to 127 criteria-range/criterion pairs. Keep the criteria ranges aligned in shape with the sum range so each row or column is evaluated against its corresponding values.
Do not swap these formulas’ argument patterns when adapting one formula into the other. In particular, SUMIF puts its optional sum range last, while SUMIFS puts its sum range first.

How do you sum only visible rows in Excel?
For a list that users filter, SUBTOTAL excludes rows removed by the filter. Choose its function number based on whether manually hidden rows should count:
=SUBTOTAL(9,range)sums the visible filtered results and includes manually hidden rows.=SUBTOTAL(109,range)sums the visible filtered results and excludes manually hidden rows.
Replace range with the cells to total. Excel also ignores nested SUBTOTAL results within the referenced range, which helps prevent double counting when subtotals are present. Details are in Microsoft’s SUBTOTAL reference.

When does AGGREGATE make sense?
AGGREGATE supports a sum operation and options for ignoring errors or hidden rows. It is useful when one of those controls is actually needed—not as a universal replacement for SUM or SUBTOTAL. Microsoft documents different reference and array forms and notes that the function is designed for vertical ranges rather than horizontal data. Check the form and options you need in Microsoft’s AGGREGATE reference.
What does AutoSum do?
AutoSum is a quick way to insert a basic total for an adjacent row or column. It enters a formula using SUM; you can inspect or edit that formula afterward. Use it to save keystrokes, not because it uses a different summing function. Microsoft explains the workflow in its AutoSum guide.
