Choose invoicing when you mainly need to request payment for individual sales or completed work, often with payment terms and an itemized record. Choose subscription billing when you need to manage ongoing plans, recurring charges, or usage-based amounts—and potentially collect payment automatically. The two workflows can work together: subscription billing can generate invoices, and a business can handle both recurring and one-time charges.
What is the difference between invoicing and billing?
An invoice is a request for payment and a record of a transaction. It commonly identifies the seller and customer, describes the goods or services, states the amount due, and gives payment terms. Issuing one does not mean the customer has paid. Stripe’s explainer, last updated June 11, 2025, puts it plainly: “An invoice is just a request for payment.” Read Stripe’s explanation of invoicing and billing.

Billing is the broader process. It can include calculating what a customer owes, issuing invoices, collecting and tracking payments, and managing recurring or usage-based charges. Invoicing is one way to request and document payment within that broader process.
How do the two workflows compare?
| Decision point | Invoice-centered workflow | Subscription-billing workflow |
|---|---|---|
| What starts a charge? | A discrete sale or completed service creates an amount to request. | An active subscription or recurring usage cycle produces a charge. |
| How does the customer pay? | The invoice states the amount due and terms; the business tracks whether it is paid. | The system may charge a saved payment method or send an invoice for the cycle. |
| How are repeat charges handled? | A recurring invoice can send payment requests on a schedule. | Subscription management can automate billing cycles and, depending on the product, plan changes. |
| What records are created? | An itemized invoice records the transaction for bookkeeping and tax workflows; local rules vary. | A subscription cycle can also create an invoice. Check how the product supports reconciliation and accounting. |
| Best first question | Do I mainly need to request payment for work already delivered? | Do I need to manage ongoing access, recurring charges, or usage-based billing? |

When should you choose invoicing?
Invoicing is a natural fit when each charge follows a particular sale or completed piece of work, and the customer needs a clear record of what they owe. It can also suit repeat work when the amount and schedule are predictable: a recurring invoice can send regular requests without necessarily charging the customer automatically.
For freelancers and project-based services
Map when payment becomes due, whether the client needs payment terms, and whether the amount changes from project to project. If repeat clients are billed on a regular schedule, recurring invoices may meet the need. Automatic collection is a separate choice: it requires customer authorization and a payment setup that supports it.

Can you use recurring invoices and recurring payments?
Yes, but they solve different problems. A recurring invoice schedules payment requests; it does not by itself mean the customer’s payment method will be charged automatically. A recurring payment arrangement is intended to collect on a schedule, subject to the provider’s setup and the customer’s authorization.
QuickBooks Online’s help documentation says recurring invoices require a QuickBooks Online subscription, while recurring payments require both a QuickBooks Online subscription and an active merchant services account. Its documentation lists daily, weekly, monthly, and annual recurrence options. Requirements and product behavior can change, so check the current help page and your account’s eligibility. See QuickBooks’ recurring payments overview.

Yes. Stripe’s help documentation says subscriptions automatically generate an invoice for each billing cycle. Depending on the setup, the business can send that invoice to the customer or charge a saved payment method. See Stripe’s instructions for sending one-time or recurring invoices.

How should you choose a billing setup?
- Identify what earns the charge. If it is a completed sale or service, start with an invoice workflow. If it is ongoing access, a renewal, or measured usage, evaluate subscription billing.
- Decide how money should be collected. Choose between asking the customer to pay an invoice and charging an authorized payment method automatically. Do not assume that creating an invoice collects payment.
- Check exceptions and changes. Verify how the service handles failed or unpaid payments, changing plans or amounts, and cancellation or customer self-service needs.
- Check records and reconciliation. Confirm that invoices, payments, and customer balances can be reconciled with your bookkeeping or accounting workflow.
- Verify eligibility and terms. Compare the actual plan, payment-provider requirements, geographic availability, and current costs for the service you are considering. Feature pages describe capabilities, but do not establish that every feature is included in every plan.
What if your business needs both?
Keep both workflows in view if you sell one-time work alongside ongoing plans. A subscription system may create an invoice each cycle, while one-off sales may still call for separate invoices or charges. Check that payment status and accounting records reconcile across both types of transaction.
What invoice rules should you check locally?
Invoice requirements, tax treatment, recurring-payment consent, cancellation rules, and record-retention obligations depend on jurisdiction and sometimes industry. The sources here do not establish legal requirements for every location. Consult authoritative local tax, regulatory, or legal guidance for your business rather than treating a general invoice checklist as a compliance standard.
