That makes a readable list, but it does not turn the cell into a collection whose items Excel can sort, filter, or calculate independently. For spreadsheet operations, keep one value per cell or row; use TEXTSPLIT to separate an existing list and TEXTJOIN to combine cells for display.
Choose the right approach for your list

Put a readable list in one cell
Type the items separated by commas, semicolons, or another clear delimiter. To put each item on its own line, edit the cell, place the cursor where the break should go, and press Alt+Enter. Turn on Wrap Text if needed; adjust the column width or row height if some text is not visible. See Microsoft’s instructions for wrapping text in a cell.

This is useful when the list is meant to be read as a note or printed as a compact label. It is less suitable when you need to work with each item as a separate spreadsheet value.

Split a delimited cell with TEXTSPLIT
TEXTSPLIT converts a text string into values placed across columns, down rows, or both. Microsoft describes it as the formula version of Text to Columns: “The TEXTSPLIT function works the same as the Text-to-Columns wizard, but in formula form.”

Split across columns
If cell A1 contains red,blue,green, enter this formula in an empty cell:
=TEXTSPLIT(A1,",")
The comma is the column delimiter, so the results spill across neighboring columns.

Split across columns and rows
TEXTSPLIT can take a second delimiter for rows. For example:

=TEXTSPLIT(A1,",",";")
This uses commas to divide items across columns and semicolons to divide them down rows. The function also provides options for ignoring empty values, matching delimiters, and padding results when rows have different lengths. Consult Microsoft’s TEXTSPLIT documentation for the function’s syntax and options.
Microsoft lists TEXTSPLIT for Microsoft 365 and Excel 2024 on Windows and Mac. Check the documentation for the edition you use before sharing a workbook; a formula unavailable in a recipient’s Excel version may not work for them.
Combine separate cells with TEXTJOIN
Use TEXTJOIN when the values already live in separate cells and you want one display string. It combines text from multiple ranges or strings, inserting the delimiter you specify. Microsoft’s guidance on combining text and numbers explains how joined results behave.

A joined result is text. If you combine numbers with text, the resulting string is not a set of numeric values for arithmetic. Keep the original values in their own cells if you still need calculations or item-by-item analysis.

Understand arrays and spill ranges
A formula can calculate several results at once in Excel editions with dynamic-array support. Those results appear in neighboring cells rather than as hidden, separately addressable values inside the formula cell. Microsoft defines it this way: “Spill means that a formula has resulted in multiple values, and those values have been placed in the neighboring cells.”

Leave the intended output area clear so results can spill. If another cell blocks that area, the formula cannot place all its results there. The behavior and supported editions are covered in Microsoft’s dynamic array and spilled array documentation; Microsoft’s array formula guidelines provide additional examples. The documentation lists dynamic-array support in multiple editions, including Microsoft 365, Excel 2024, and Excel 2021.

Data Validation’s Allow: List setting creates an in-cell dropdown sourced from a list of permitted choices. It helps guide entry to one of those choices; it does not, by itself, store several selections as independently usable values in the same cell. Microsoft’s data validation guidance and steps for applying data validation explain the feature.
Validation is not a complete enforcement mechanism: Microsoft notes that pasted or filled values may not trigger the expected validation messages. If reliable control matters, account for how data enters the workbook rather than relying on the dropdown alone.

A comma-separated or line-broken list is a single text value. Excel cannot treat its pieces as separate records without splitting them first. If the items need to be filtered, sorted, checked against a list, or used in calculations, store them separately—often one item per row in a table. Use a one-cell list when readability is the goal; use structured cells or rows when the items must remain individually usable.
Know the cell limits
Microsoft’s Excel specifications page lists a maximum of 32,767 characters per cell and 253 line feeds per cell. The source page does not state a publication year for these limits. They are technical ceilings, not a recommendation to keep structured data in a long text cell. See Excel specifications and limits.
