Why repeated questions are worth investigating
A recurring question can point to a gap in how your team shares information. The answer might be missing, difficult to locate, or written so unclearly that people are unsure what to do. Sometimes the uncertainty is not about the answer at all: a decision or process may be undocumented.

- Review recent messages. Scan email and other team channels for questions that have come up more than once.
- Choose one question. Start with the most repeated question rather than trying to document everything at once.
- Identify why it keeps recurring. Check whether the answer is missing, hard to find, confusing, or dependent on an undocumented decision.
- Create the right reference. Write a short FAQ entry, knowledge-base article, onboarding note, checklist, or clearer process instructions, depending on the cause.
- Use and maintain it. When the question comes up again, share the reference. Update it when the answer or process changes so it remains useful.
Choose a fix that matches the cause

Keep the response useful, not bureaucratic
When someone asks again, respond to their immediate need and point them to the relevant reference. If the same question continues despite that, treat it as a signal to revisit the document or process: the answer may still be difficult to find, incomplete, or unclear. A reusable answer should reduce friction, not become a reason to dismiss a colleague.

Documentation helps with recurring questions, but it will not solve every source of workplace friction. Separate issues call for separate habits: route email to a clear destination, keep long messages concise, check email at planned intervals, and track commitments in a task manager. Shorter meetings may help when discussions routinely run longer than needed, while inviting disagreement from high-performing colleagues can surface problems that otherwise go unspoken.
