For a small spreadsheet, a bar or column chart is often the clearest way to compare categories; a line chart is usually better for an ordered time trend. Start with the question, then check that the data layout suits the chart.
Start with the question your chart should answer
The Office for National Statistics advises: “Choose a chart type that best illustrates the most important relationship you want to convey.” Its chart-selection guidance identifies relationships such as comparison, time, parts of a whole, distribution, and correlation. A chart that tries to show several relationships at once can be harder to read.

- Which categories are larger or smaller?
- How does a value change across time?
- How is a total divided among parts?
- How are numeric values distributed across ranges?
- Do two numeric measurements move together?
If the goal is to look up a few exact values rather than spot a pattern, a small table may communicate them more clearly. There is no universal number of rows at which a table becomes preferable; use the format that makes the comparison easiest.

Match the chart to the data
| What you want to show | Chart to consider | Use it when |
|---|---|---|
| Compare categories | Bar or column | You have values for distinct items, such as sales by product or votes by option. Use horizontal bars when category names are long. |
| Show change over time | Line | Observations are ordered in time and the intervals are meaningful, such as monthly or quarterly values. |
| Show parts of one whole | Pie | The categories form one composition and the main point is each category’s share of the total. |
| Show the relationship between two numeric measures | Scatter | Each observation has a paired X value and Y value, such as hours studied and test score. |
| Show how numeric values are distributed | Histogram | You want to see how many observations fall within numeric ranges, or “bins.” |
Compare categories with bars or columns
Use a bar or column chart to compare separate categories. A bar chart places categories along the vertical axis; a column chart places them along the horizontal axis. For a compact spreadsheet, either can work. Prefer horizontal bars if long labels would crowd or wrap beneath columns.
Keep the categories distinct rather than treating them as a continuous sequence. A chart comparing five departments is a category comparison, even if the departments are arranged in a particular order.
Show a time trend with a line
A line chart is suitable when the values follow an ordered timeline with evenly scaled intervals—for example, one value for each month. The connected line helps readers follow direction and changes between successive observations.

Do not use a line merely because the labels happen to be dates. If the dates are irregular or the categories are separate events with no meaningful in-between values, consider whether connecting them implies continuity that the data does not support. Microsoft’s guidance describes line charts as suited to continuous data over evenly scaled intervals such as months, quarters, or fiscal years.
Use a pie chart only for a simple whole
A pie chart makes sense when every slice is a part of the same total and the message is composition—for example, how a fixed budget is divided. Microsoft’s detailed guidance recommends a single series of nonnegative values, almost no zero values, and no more than seven categories. Its accessibility guidance describes pie or doughnut charts as appropriate when the total equals 100%.
If the categories do not add up to a meaningful whole, or you need readers to compare several similar-sized values, choose bars instead. Closely sized slices are difficult to compare precisely.

Use a scatter chart for paired measurements
A scatter chart places numeric X and Y values on two axes. Use it to look for patterns, clusters, or association between paired measurements—for example, one point per student with study hours as X and score as Y. Each X value must belong to the corresponding Y value.
A visible association does not prove that one measure causes the other. A scatter chart can show how the paired values vary together; it cannot establish the reason.
Use a histogram for a distribution
A histogram groups numeric observations into ranges, or buckets, and shows how many values fall in each range. It answers questions such as whether most delivery times cluster around a typical range or whether values are spread widely. It is different from a bar chart: histogram bars represent ranges of numeric values, while bar-chart bars represent named categories.

Keep flow and stock data distinct
Ask whether a number describes an amount accumulated during a period or a level measured at a point in time. A monthly budget deficit is a flow: it describes what happened over that month. Total public debt is a stock: it describes a level at a particular time. The Office for National Statistics notes that stock data is typically better suited to a line or area chart.
This distinction matters because a period amount and a point-in-time level answer different questions. Label the time basis clearly so readers do not mistake a monthly amount for a cumulative total, or a level at month-end for activity during the month.

- Bar, column, line, area, and radar charts: Excel can use data arranged in rows or columns.
- Pie charts: select one series of values and its category labels.
- XY scatter charts: Excel expects X values in one column and the corresponding Y values in the next. Google Sheets likewise uses the first column for X values and subsequent columns for Y-value series.
For example, a scatter-chart range should contain paired measurements side by side, not two unrelated lists. If the chart plots an unexpected series or category, inspect the selected range and how the application interpreted its rows and columns. Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Make a small chart readable and accessible
A compact chart has little room for clutter. Keep it focused on one primary relationship, and add another series only if it answers a reader question. A useful title says what is measured and, when relevant, the time period. Label axes so the reader knows the categories, units, and scale. Include a legend only when it helps distinguish multiple series.
- Check that category names and axis labels remain legible at the chart’s final size.
- Keep the values or a nearby data table available when readers need exact figures.
- Do not rely on color alone to communicate which series or category is which; use clear labels and distinctions as well.
- Use the spreadsheet’s screen-reader chart workflow where needed. Excel documents keyboard-accessible ways to create a chart and navigate Recommended Charts and chart types.
Use chart recommendations as a starting point
Excel and Google Sheets offer chart guidance and chart-type options, but an automatic recommendation cannot decide what relationship matters most to your reader. Treat a suggested chart as a draft: confirm that it matches the question, data structure, and need for precision. Microsoft says Recommended Charts can be customized to the selected data.
When two chart types seem plausible, compare them against the same checks: does the chart directly show the intended comparison or trend; does its structure fit the data; will labels and values remain readable at small size; does the reader need exact values or the overall pattern; and can the message be understood without relying only on color?
Make the chart in Excel or Google Sheets
- Arrange the data. Put category labels beside their values, dates in time order, or paired X and Y measurements in adjacent columns. Keep unrelated data out of the range.
- Select the intended labels and values. Check the selected cells before charting, and leave out totals unless a total is itself part of the intended message.
- Insert a chart and choose a type. In Excel, you can review Recommended Charts and customize the result; Google Sheets offers chart types including bar, line, pie, scatter, and histogram. Menu names and locations may vary by application version and platform.
- Review the result against your question. Confirm that the plotted categories, series, axes, and intervals match what you meant to show. If the chart suggests the wrong relationship, change the type or correct the selected data.
- Add a descriptive title and clear labels. Check readability at the size where the chart will be viewed or exported, and retain a table if exact values matter.
For chart-type definitions, see Microsoft’s guide to chart types in Office and Google Sheets’ chart types overview. For data selection and scatter-plot setup, consult Microsoft’s chart data guidance and Google’s scatter chart help. The Office for National Statistics chart-selection guidance explains how to focus on the relationship that matters. Excel’s screen-reader chart instructions cover accessible chart creation and navigation.
