Most small businesses benefit from technology for five recurring needs: bookkeeping, communication and shared work, customer payments, day-to-day computing, and security with recoverable backups. That does not mean every business needs five new products. Start with a task that takes too much time or a risk that needs attention, then choose a tool that fits your workflow, team, customers, and existing systems.
The guidance below draws on U.S.-oriented material from the Small Business Administration (SBA), Federal Trade Commission (FTC), and National Institute of Standards and Technology (NIST). Requirements can differ by location and industry.

1. Bookkeeping and accounting software
Choose a bookkeeping setup that supports the financial work your business actually does. The SBA identifies accounts receivable, accounts payable, available-cash tracking, bank reconciliation, and payroll among the functions that need to be managed. A simple operation may handle some tasks itself; a more complex one may need a bookkeeper, CPA, software, or a combination.

- List the tasks you need to handle, such as invoicing, recording bills, reconciling bank transactions, reporting, or payroll.
- Check whether the system integrates with the bank accounts and other tools you already use, and whether it can produce the reports you need.
- Assess cost, security, accessibility, data migration, and whether the system can scale as the business changes.
- Before switching, plan how to move records and confirm that the new setup can preserve the information and workflow you rely on.
A September 25, 2026, SBA-hosted SCORE event also highlighted cost, scalability, reporting, security, accessibility, data migration, and integration as selection considerations. Those criteria are more useful than choosing a product on reputation alone.

- Equipped with a blazing fast Core i5 2.00 GHz processor.
2. Email, file storage, and collaboration
Cloud email and productivity services can keep a team communicating and working with shared files, including when people work from different locations. The main decision is not just which service has the most features: it is whether the business can manage accounts, access, integrations, and recovery reliably.
Set up access deliberately
- Give each employee access only to the information needed for their work.
- Decide who administers accounts and reviews shared-drive permissions, especially when staff join, change roles, or leave.
- Check compatibility with existing systems, account controls, data handling, and backup options before choosing a service.
- Make sure the business—not just an individual employee—can retain access to important accounts and files.
Shared storage is not automatically a backup plan. Decide how important files can be restored if they are deleted, corrupted, or otherwise unavailable.

3. Payment technology for businesses that accept cards
Choose payment technology around how customers pay. A business taking cards in person needs a payment provider and may need compatible equipment; online sales may require an online payment service and shopping-cart functions for totals, tax, shipping, and customer details. A business that does not accept card payments may not need these tools.

For in-person payments
The SBA recommends an EMV chip reader for businesses accepting cards in person. Check that a reader works with the chosen payment provider before buying it. Equipment setup costs and transaction fees can affect the total cost of accepting cards.

4. Computers and peripherals
Buy or lease hardware according to the work it must support, rather than choosing a device by headline specifications alone. Relevant equipment can include computers, servers, printers, portable storage, and telephony equipment. The SBA’s hardware guidance dates to 2019, so its selection principles are more useful than treating its examples as a current product ranking.

Build a requirements list first
- Identify the software employees need and check its hardware compatibility.
- Set requirements for processing capability, storage, mobility, and other features tied to actual tasks.
- Consider support needs and the total purchase-versus-lease cost.
- Include peripherals only when they solve a real workflow need—for example, a printer for a business that regularly needs paper documents.
For several employees or locations, account for how devices will be supported and managed as well as their individual capabilities.

Security is a set of practices supported by tools, not a single purchase. The FTC’s small-business guidance says, “It is not a one-size-fits-all approach, but it includes an outline of best practices that can help you decide where to focus your time and money.” The priorities below provide a starting point; the business’s data, operations, and risks determine where to focus.

Protect accounts and devices
- Keep software updated.
- Use strong, unique passwords. A password manager can help employees maintain them, but it is only one part of a security plan.
- Enable multifactor authentication (MFA) where available.
- Encrypt sensitive data and secure wireless networks.
- Train staff to recognize and handle security risks.
- Limit access to business information according to employees’ roles.
Back up files and plan recovery
Back up important files regularly and check that they can be recovered. Cloud storage and an external hard drive are possible backup destinations. A disconnected or offline backup can add resilience against ransomware. For an external drive, check that its capacity and connection work for the devices and files involved.
Write down how the business will respond to an incident, including who is responsible for decisions and how operations and data can be restored. NIST’s Cybersecurity Framework 2.0 organizes cybersecurity work around six functions: Govern, Identify, Protect, Detect, Respond, and Recover.
Quick Recap
How to choose without buying more than you need
- Name the job or risk. Identify a recurring task to improve—such as reconciling accounts—or a gap to address, such as files that cannot be restored.
- Map the existing setup. Note the tools, accounts, devices, staff responsibilities, and customer payment methods already involved.
- Set fit criteria. For accounting, consider tasks, reporting, security, migration, integrations, accessibility, cost, and growth. For payments, include fees, equipment, payment types, security, and compatibility. For hardware, assess performance, storage, software support, portability, support, and purchase-versus-lease cost. For collaboration, assess account controls, permissions, integration, backup, and administrative needs.
- Check the operational burden. Decide who will administer accounts, review access, maintain devices, manage records, or test backups. A tool that nobody can maintain may add risk instead of reducing it.
- Choose for your actual scale and jurisdiction. Team size, data sensitivity, industry, and location may change what is appropriate. The SBA and FTC material discussed here is primarily U.S.-oriented; check applicable local and industry requirements for your business.
