Teams should use individual accounts, not a shared login. Where a service offers organizational controls, add each person to a managed team workspace with an account of their own. For OpenAI, this follows its account-sharing policy and its ChatGPT Business model of invited members, seats, and roles. Other AI providers may set different terms and controls.
Why individual accounts are the better default
A shared username and password make several people appear to be one user. That weakens attribution: it becomes harder to tell who performed an action, and changes to the password or access affect everyone using it. Individual identities keep activity attributable to the person who acted and make it possible to manage each person’s access separately.

OpenAI’s Account Sharing Policy states: “Your OpenAI account is meant for you—the individual who created it.” It advises anyone else who needs OpenAI products to sign up for their own account. OpenAI also warns that account sharing can expose personal data and payment information and increase the risk of policy violations or misuse.
Use a team workspace for organizational access
For teams using ChatGPT Business, the organizational alternative is to invite each person into the workspace rather than pass around one person’s credentials. OpenAI’s member-management documentation describes invitations, seats, and roles, and says invitees should be intended, ongoing members of the team. Administrators can manage membership and assign roles, which supports individual accountability and access changes when someone joins or leaves.

Understand privacy and administrator access
Workspace membership does not automatically mean managers can read every member’s chats. In ChatGPT Business, members have their own chat histories and choose what to share; admins and owners do not see all private member chats by default, according to OpenAI’s Business data, sharing, and privacy guidance.

That default is not a promise that all data in every managed account is inaccessible to an organization. OpenAI’s guidance on managed ChatGPT accounts says an administrator may, depending on configuration and applicable law, access, export, audit, retain, delete, or control data associated with a managed account. Organizations should explain the applicable notice and settings to employees, and employees should review them before using the account for sensitive work.
Keep SSO and workspace membership separate
Single sign-on (SSO) lets someone authenticate through an organization’s identity provider. It does not by itself invite that person to a workspace or grant membership. OpenAI’s SSO guidance and managed-workspace identity guidance distinguish sign-in from access to an organization workspace. Configure who is allowed to sign in and who is a workspace member as separate access-management steps.

What to check before choosing an AI account setup
- Attribution: Can actions be tied to the individual who took them, or do several people share one identity?
- Access administration: Can an administrator invite people, assign roles, and remove access individually?
- Privacy and oversight: What is private by default, what can members choose to share, and what data can administrators access under the applicable settings and law?
- Sign-in and membership: Does SSO merely authenticate users, or is workspace membership also configured explicitly?
- Plan fit: What seat requirements, roles, terms, and eligibility rules apply to the service and plan the organization intends to use?
These are useful criteria across providers, but OpenAI’s policy should not be treated as proof that every AI service prohibits credential sharing or has the same workspace and administrator controls. Check the specific provider’s terms, account model, privacy commitments, SSO support, and managed-account notice.
