To co-author a Word document, Excel workbook, or PowerPoint presentation in SharePoint, store it in a SharePoint Online library, use a supported file format and app, give each collaborator edit access, and have everyone open the same shared file. AutoSave and compatible app versions help changes appear as people work; SharePoint Version History can help recover earlier content.
Before you invite collaborators
Co-authoring relies on three things working together: cloud storage, a compatible document and app, and permission for each person to edit. Microsoft’s overview explains the general setup and compatibility requirements in Document collaboration and co-authoring.

- Storage: Save the document in SharePoint Online or OneDrive. The cited Excel desktop workflow requires a SharePoint Online library and does not support SharePoint on-premises sites.
- File format: The general supported formats are Word
.docx, PowerPoint.pptx, and Excel.xlsx. Microsoft’s Excel desktop guidance also covers.xlsmand.xlsbwith format-specific restrictions. Convert an older-format file or save a supported copy before sharing. - Access: Each co-author needs edit permission. A file may inherit permissions from its library, so check the library’s access as well as any file-specific settings.
- App support: Collaborators can use supported web or desktop apps, but requirements vary by app, device, version, and file. For desktop Excel, Microsoft specifies a Microsoft 365 subscription and current Excel for Microsoft 365.
Co-authoring is not available for documents protected with Information Rights Management (IRM) or Rights Management Services (RMS). Other app and document restrictions can also interfere.

Set up co-authoring step by step
- Upload or save the file to SharePoint Online. Open the intended document library and add the file there, or save a new document to that location from an Office app. For the Excel desktop workflow, use a SharePoint Online library rather than an on-premises SharePoint site.
- Check the file format. Use
.docxfor Word,.pptxfor PowerPoint, or.xlsxfor Excel. Excel’s desktop guidance also permits.xlsmand.xlsbin the described setup, subject to restrictions. Word for the web co-authoring requires.docx. - Grant edit permission. In the library, select the file and choose Share. Enter collaborators’ names or email addresses, set their permission to allow editing, and send the invitation. If you share a link, inspect its permission settings rather than assuming it allows edits. Microsoft’s instructions are in Co-author Office files.
- Have each person open the shared file. Collaborators should open the file from SharePoint in a compatible web or desktop app and sign in with an account that has edit access. App support differs, so a desktop Excel user should meet the Microsoft 365 subscription and current Excel for Microsoft 365 requirements described above.
- Check AutoSave. In Word, Excel, or PowerPoint, confirm the file is saved to SharePoint or OneDrive and check whether AutoSave is available and on. Microsoft’s guidance, Turn on AutoSave in Microsoft 365 apps, notes that availability depends on supported files and app conditions, including the relevant subscription. If AutoSave is unavailable, use the troubleshooting checks below.
- Test with another editor. Ask a collaborator to open the same file, make a small change, and confirm that presence and edits appear. Microsoft recommends AutoSave for the best Excel co-authoring experience. If an app prompts someone to reopen the file to receive updates, follow the prompt.
Choose a web or desktop app
There is no single client requirement that applies identically to every Office file. Select the app based on what your team uses and the file’s format and features; check the relevant Microsoft guidance if a particular app or document behaves differently.

Troubleshoot common co-authoring problems
No one can edit the file
- Check that each collaborator has edit permission, not view-only access.
- Review library permissions: files can inherit access from the library.
- If you shared a link, verify the link’s permission setting.
A collaborator sees read-only or locked behavior
- Confirm that the person is signed in with the account that has edit access.
- Check that the app and version support co-authoring for this file.
- Check whether the file is checked out or otherwise restricted. Microsoft lists check-out and other document settings among possible causes of Word co-authoring problems; see Troubleshoot co-authoring Word documents.
The file format or document features are blocking collaboration
Convert an old Word document to .docx or use a supported Excel workbook format. In Word, unsupported document features, some group policy settings, password protection, encryption, and IRM or RMS restrictions can prevent co-authoring. Microsoft’s Word troubleshooting guidance lists these causes.
AutoSave is missing or unavailable
- Confirm that the file is saved in SharePoint or OneDrive and opened from the Office app.
- Check subscription and app support, and whether OneDrive synchronization is paused.
- Review the file format and whether the file is embedded or open in an unsupported state.
See Microsoft’s AutoSave guidance for the conditions that affect availability.

Edits conflict after someone works offline
In some shared-document workflows, a person can edit offline, but others will not see those changes until that person reconnects. Overlapping edits can create a conflict that needs to be resolved after reconnection. For the least ambiguous collaboration, have editors work online in the shared file.
Someone changed or overwrote content
Use SharePoint’s Version History to review earlier versions and restore one if needed. Microsoft describes the recovery workflow in Save your files.
