To set up a collaborative AI workspace in Sparkian, choose an owner, create or join a team workspace, assign roles, invite members, and then organize shared work into projects. Set project instructions, shared model defaults, and knowledge-base visibility before the team starts using the workspace; review plan limits and use analytics to track adoption.
Sparkian is the new name for Geekflare Chat. Its help documentation describes chat and image generation as available; audio, video, and agents were listed as “on the way” when the documentation was retrieved, so check the product for current availability.

1. Choose who will own the workspace
Pick a person responsible for workspace settings, membership, and billing before creating the team space. Sparkian users have a personal workspace and can also create or join team workspaces. The workspace name in the sidebar opens the workspace list, switching controls, creation option, invitations, and settings. See Sparkian’s Workspaces documentation.

- Owner: Has full control, including billing and deleting the workspace. Only an Owner can grant someone the Admin role.
- Admin: Can manage members and settings, but cannot delete the workspace. Admins may invite members but cannot assign the Admin role.
- Member: Can chat and use shared projects, but does not have access to workspace settings.
Keep ownership with someone who can maintain access over time. Give Admin access only to people who need to manage settings or members.

2. Create or join the team workspace and invite members
Create a workspace if your team is starting one, or accept an invitation to join an existing one. To invite colleagues, open the workspace menu or go to Workspace settings → Members, enter one or more email addresses, and assign a role. A person gets access after accepting the invitation; sending an invite alone does not make them an active member.
Before assigning project collaborators, make sure they are workspace members. They must appear in the workspace roster to be added to a project.

3. Create projects for ongoing work
Use a project to group related chats, instructions, and collaborators around a continuing piece of work—for example, a product launch or a support knowledge project. Create one from the Projects page, then add members from the workspace roster. Sparkian’s Projects documentation describes project roles as:

Choose the role that matches each person’s work in that project. Project conversations support real-time collaboration for members viewing them.

Write focused project instructions
Add instructions that apply to chats in that project, such as the intended audience, preferred response format, or relevant terminology. Sparkian allows up to 5,000 characters in project instructions. Keep them specific to the project rather than trying to encode every team-wide preference in each one.
4. Set shared model defaults and agree on usage
In workspace settings, choose the default model for new single-model chats. You can also set up to five comparison-model defaults for multi-model chat. Defaults help the team start consistently, but they do not remove the need to select a suitable model for a particular task.

Model access and Spark costs are shared across everyone in the workspace. Agree on how the team will use the shared allowance, and make usage visible so one person’s activity does not surprise the rest of the team. Sparkian’s Workspaces documentation covers shared model settings.
5. Decide what knowledge-base material the workspace can use
Sparkian’s knowledge base accepts files and text. Each source can be set to Private or Workspace visibility. Workspace-visible sources can be referenced by anyone in the workspace, so use that setting only for information appropriate for all members. Check the source’s visibility before adding material that should remain limited to one person.

6. Check plan limits against your team’s needs
The following monthly figures and limits were displayed on Sparkian’s pricing page on October 7, 2026. Prices are in USD; Sparkian notes that billing currency can vary by region. These figures can change, so confirm the current plan details before choosing.

The pricing page also listed add-on seats at $5 per month per seat on paid plans. Compare the included seats, number of workspaces, knowledge-base capacity, Spark allowance, collaboration availability, and chat-history retention with your actual needs; an add-on seat may matter if your team exceeds the included count. Sparkian’s Plans documentation says monthly Sparks refresh each billing period and do not roll over. Purchased top-up Sparks are used after the monthly plan allowance and expire one year after purchase.

7. Monitor adoption and activity with analytics
Workspace analytics can show messages, Sparks available and used, model usage, member activity, chats, projects, images, knowledge sources, artifacts, and attachments. Filters include time ranges of up to one year in UTC, as well as model, member, or project. Use these views to see whether the team is adopting projects and shared resources and to spot usage patterns that may affect the shared allowance. Details are in Sparkian’s Analytics documentation.
Before sharing sensitive information
Sparkian says provider terms vary by model regarding whether data is used to train AI models. Check the selected model provider’s terms before using sensitive material; do not assume that every provider has the same training or retention rules. Sparkian also describes workspace isolation as limited to authorized people and workspaces and says conversations, files, and workspaces can be deleted.
