Self-hosted photo galleries vs. cloud photo storage: privacy, backups, and maintenance

Self-hosting offers control but makes you responsible for servers, updates, backups, and recovery. Cloud storage reduces maintenance but depends on account security, upload verification, quota, quality settings, and provider policies.

Short answer: Self-hosting gives you more direct control over where your photo library lives and who can administer it, but you must run the server, protect it, back up both media and application data, and test recovery. Cloud storage removes most server administration, yet your library depends on an account, provider policies, successful uploads, available quota, and the provider’s access controls. Neither model is automatically private or automatically backed up.

The practical choice is not “server versus cloud” in the abstract. It is which responsibilities you want to own, which risks you can tolerate, and whether you will maintain an independent copy of irreplaceable originals.

What is the difference between a self-hosted gallery and cloud photo storage?

A self-hosted gallery runs on hardware you control: a home server, desktop, mini-PC, or NAS. You install the gallery software, attach storage, create accounts, expose or restrict network access, apply updates, monitor disk health, and design the backup and recovery process.

Cloud photo storage runs on a provider’s infrastructure. You upload through a mobile app, browser, or desktop client, and the provider operates the servers and application. You still have to confirm that uploads completed, manage the account and sharing settings, watch the storage quota, and understand retention and quality policies.

In both models, a gallery is an index and viewing layer. It is not proof that every original file exists in a second location. A resilient library normally has at least one working copy and an independent backup, with a recovery procedure that has been tested.

Is self-hosted photo storage more private than cloud storage?

Self-hosting can reduce reliance on a third-party account, but privacy depends on the entire deployment. The server may be physically accessible to other people, reachable from the internet, administered by multiple users, or exposed through weak passwords, unsafe port forwarding, outdated software, or compromised devices. A private network-only installation has a different exposure profile from a server published directly to the internet.

With cloud storage, the provider controls the service infrastructure and account system. Your privacy therefore depends on account security, the provider’s policies, employee and contractor access controls, legal obligations, and the way you share albums or links. A strong password and multi-factor authentication protect the account, but they do not turn the provider’s service into a system you administer.

What Google says about Google Photos privacy

Google says backed-up content is private and viewable by the account holder on signed-in devices unless it is shared. Google also states: “We don’t sell your personal information to anyone or use the content you store in Photos for ads purposes.” Those are Google’s own service statements, not an independent security audit or a guarantee that no incident can occur.

For either model, separate the questions “Who operates the storage?” and “Who can access my account or server?” A self-hosted gallery can be misconfigured; a cloud account can be taken over. Use least-privilege accounts, unique credentials, multi-factor authentication where available, encrypted connections, and deliberate sharing settings.

How do backups work in a self-hosted photo gallery?

A self-hosted gallery usually has more than one important data set. You must preserve the original photos and videos and the application’s database and service files. A database dump alone is not a photo backup.

Immich: database metadata is not the media library

Immich’s documentation says its database records file paths and user metadata, while database dumps contain metadata rather than the photo and video files. The project also says Immich does not rescan the library folder to reconstruct the database. If you restore only the database, the entries can point to files that are no longer present.

Back up the uploaded photo and video files separately from the database. Keep the copies coordinated: the restored filesystem should contain the files that existed when the database backup was made. Immich warns that files and database records can become inconsistent when they are captured at different times.

A safer Immich backup sequence

  1. Pause writes if possible. Stop the Immich server or otherwise prevent uploads, edits, and deletions while taking the backup.
  2. Create the database backup. Save the dump in your backup destination, with a date and clear instance identifier.
  3. Copy the filesystem content. Capture the uploaded photos and videos that correspond to that database state.
  4. Verify both sets. Check that the database file is readable and that the media copy contains the expected directories and file counts.
  5. Test a restore. Use a separate location or test instance to confirm that the database and media mount together and that representative albums open.

If stopping the server is not possible, Immich recommends taking the database backup first and the filesystem copy second. That reduces, but does not eliminate, the chance of a mismatch. Schedule a maintenance window for the most important backups.

PhotoPrism: originals and storage are different

PhotoPrism distinguishes the originals directory, which contains your photo and video media, from the storage directory. Storage can contain configuration, cache, backups, thumbnails, sidecar files, and other service data. Its backup area can include database dumps and album backup files.

Mount the storage directory so it persists across restarts and upgrades. PhotoPrism recommends a local SSD for the storage directory’s performance. When moving an instance, copying the storage directory together with originals and the database is the easiest path to preserving the installation’s state.

Read-only mode can protect originals from writes, including uploads and deletion through the application. That can be useful when the gallery is an index over a separately managed archive, but it also means changes must be made through your chosen file-management process.

However, to play current-gen games (PS5 / Xbox Series X|S), you must copy them to the console's internal SSD first. The external drive is great for keeping your library on hand, but it can't run the new games.

What a self-hosted backup set should contain

  • Original photos and videos, including formats the gallery does not display perfectly.
  • The gallery database and its documented configuration or secrets needed for restoration.
  • Thumbnails, sidecars, album exports, or other generated data when they contain edits or organization you cannot easily recreate.
  • A record of the software version, storage paths, permissions, and encryption keys required to open the backup.
  • At least one copy on a different device or location. A second folder on the same disk does not protect against disk failure, theft, ransomware, or accidental deletion.

How do cloud photo backups fail?

Cloud applications can show a photo in the library before you have confirmed that the original upload completed. A thumbnail may be cached locally, an upload may be paused, or an item may be excluded by backup settings.

Check backup status instead of trusting the gallery view

Google Photos provides a backup-status indicator that distinguishes states such as complete, in progress, paused, or absent. Use the app’s backup settings and the item-level status for important photos. Treat “visible in the app” as a viewing result, not as proof of a finished cloud copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For desktop folder uploads, Google’s instructions require the Photos web app or browser tab to remain open while background uploads run. Closing the tab, suspending the computer, or losing connectivity can leave a folder only partly uploaded.

Mobile upload limitations

Immich lets you select or exclude mobile albums, deduplicates using a content checksum, and defaults to uploading only on Wi-Fi. On iOS, Background App Refresh must be enabled, and the operating system decides when background tasks run. Assets stored in iCloud may be downloaded temporarily to the Immich app cache before hashing and uploading, using additional device storage and data.

For any mobile uploader, check which albums are included, whether cellular uploads are disabled, whether battery-saving rules defer background work, and whether the phone has enough free space to prepare the files.

Cloud storage limits, retention, and image quality

Google’s shared quota

Google says each account includes up to 15 GB shared across Google Photos, Google Drive, and Gmail. A large mail attachment or Drive folder can therefore consume space needed for photos. Monitor the account-wide quota, not only the Photos view.

Inactivity and over-quota policies

Google says Photos content may be deleted after at least two years without using Photos, or after an account remains over its storage limit for two years. Google says it provides notice before deletion under the storage-limit policy. These are provider policy statements and can change; check the current account terms before relying on a long-term archive.

Original quality versus storage-saving quality

Google’s Original quality option stores media at the captured resolution and counts it toward account storage. Storage saver can resize some images above 16 megapixels to 16 megapixels, convert some formats, and resize videos above 1080p to 1080p. If you may later print, edit, or submit a file professionally, confirm the quality setting and retain an independent original copy.

Self-hosted versus cloud: responsibility by category

Category Self-hosted gallery Cloud storage
Data location Your server, computer, or NAS and its attached disks. Provider-managed infrastructure linked to your account.
Administration You install updates, maintain storage, manage access, and handle outages. The provider operates the service; you manage the account, devices, settings, and quota.
Privacy control You control the host and network design, but misconfiguration can expose the library. Provider policies and account security govern access; sharing controls remain your responsibility.
Backup design You must copy both media and application data and test a compatible restore. You must verify uploads and keep an independent copy if the library is irreplaceable.
Failure modes Disk failure, theft, power loss, software faults, forgotten updates, or broken mounts. Account takeover, quota exhaustion, incomplete uploads, policy changes, or service access loss.
Portability Direct access to files can simplify independent copies, subject to the gallery’s metadata format. Export and download tools may be needed; quality settings can affect what is preserved.
Performance decisions Hardware, disks, network bandwidth, and storage layout determine responsiveness. Internet connection, provider performance, and local caching determine access speed.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Can you use a NAS for a self-hosted photo library?

Yes. PhotoPrism documents NAS installation and network-drive mounting, and a NAS can provide always-on storage for originals and the gallery’s service data. The NAS is not automatically a backup, however. If the only copy is on the NAS, a failed array, ransomware event, theft, or mistaken deletion can still remove the library.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep the application’s storage directory on a reliable, persistent volume. PhotoPrism recommends a local SSD for that directory’s performance; originals can remain on a larger data volume when the deployment is designed for it. Document the mount paths and permissions so the gallery can be rebuilt after a hardware or operating-system change.

How to build a recoverable self-hosted setup

  1. Inventory the data. Identify originals, edited exports, database files, sidecars, albums, and configuration or encryption material.
  2. Choose persistent volumes. Ensure the originals and application storage survive container, host, and software upgrades.
  3. Restrict access. Prefer private-network access unless remote access is necessary. If remote access is required, use encrypted connections, strong authentication, and only the exposure you understand.
  4. Schedule backups. Capture the database and media on a defined cadence. Coordinate snapshots so the two data classes can be restored together.
  5. Create an independent copy. Copy backups to another physical device or location. Do not treat a second directory on the same disk as independence.
  6. Monitor health. Watch disk capacity, SMART or equivalent hardware alerts, failed jobs, container restarts, and permission or mount errors.
  7. Practice recovery. Restore a sample or full test instance periodically, verify albums and dates, and update the runbook when paths or versions change.

How to make cloud storage dependable

  1. Secure the account. Use a unique password, multi-factor authentication, recovery methods you control, and a review of signed-in devices.
  2. Set the intended quality. Choose Original quality when captured resolution matters; understand the resizing and conversion behavior of Storage saver.
  3. Confirm included albums and folders. Check mobile backup selections and desktop folder settings rather than assuming every camera or messaging folder is included.
  4. Wait for completion. Use the provider’s backup-status indicator and investigate paused or incomplete states.
  5. Track quota. Remember that Google’s allowance is shared by Photos, Drive, and Gmail. Free space before a critical import.
  6. Maintain an independent archive. Periodically download originals or copy them directly from your devices to storage you control.
  7. Review policy-dependent risks. Keep the account active and respond to provider notices about inactivity or storage-limit overage.

What happens if your NAS or cloud account fails?

If a NAS fails

Recovery depends on whether the originals, database, and service storage exist elsewhere. Replace or repair the failed hardware, restore the documented storage paths, restore the database that matches the media snapshot, and validate representative files. If only the NAS copy existed, software repair cannot recreate files that were never backed up.

If a cloud account is locked or over quota

First secure account recovery and check whether uploads actually completed. If the account is over quota, new uploads may stop while existing content remains subject to the provider’s policy. Download independent copies as soon as access is restored, and do not wait for a deletion-warning period to begin building an archive.

If the gallery database is lost

For Immich, a database dump without the corresponding filesystem content cannot restore the photo library. For PhotoPrism, originals without the storage and database data may leave you with files but lose indexes, thumbnails, or organization. Keep both classes in the same recovery plan.

Which model fits your priorities?

Choose self-hosting when

  • You want direct control over the host, filesystem, and network location.
  • You are willing to apply updates, monitor disks, manage credentials, and test restores.
  • You want a local-first experience that can continue on your network when internet access is limited.
  • You already operate reliable hardware and have a second backup location.

Choose cloud storage when

  • You do not want to administer a server or NAS.
  • You value automatic multi-device access and are comfortable with account-based control.
  • You can monitor upload status, quota, quality settings, and provider policy changes.
  • You will keep an independent copy for photos that cannot be replaced.

Use both when the photos are irreplaceable

A hybrid arrangement can combine a self-hosted or local original archive with cloud access, or a cloud library with periodic independent downloads. It adds synchronization and verification work, but it avoids making one server, one account, or one failure mode the sole path to your memories.

Practical decision checklist

  • Who will perform updates at 2 a.m. when the gallery stops working?
  • Where are the original files, and can you open them without the gallery?
  • Does your backup include the database and service storage as well as media?
  • Is at least one backup independent of the primary device or account?
  • Have you restored a representative album recently?
  • For cloud storage, does the status show completion rather than merely displaying thumbnails?
  • Does your chosen quality setting preserve the resolution and formats you need?
  • Could quota, inactivity, account recovery, or sharing settings block access?
  • For a NAS, are the storage and mount paths persistent across restarts and upgrades?
