RingCentral vs. 8×8: Which Business Phone System Fits?

RingCentral publishes US RingEX list prices, while 8x8 sends X Series buyers to sales. Compare plan needs and written quotes on the same assumptions before choosing.

There is no defensible universal winner between RingCentral and 8×8 without comparing your requirements and written quotes. RingCentral publishes US RingEX list prices, while 8×8 directs buyers to sales for X Series pricing. Compare quotes built around the same users, locations, calling destinations, contract term, support needs, and features—not one provider’s public list price against the other’s sales quote.

How the pricing comparison works

RingCentral’s US RingEX pricing page lists per-user rates for monthly and annual billing. The listed annual-billing rates are lower, but the page’s figures should be verified at purchase: offers, volume discounts, taxes, and contract terms can affect the amount you pay. RingCentral’s RingEX plans and pricing provide the current listed prices.

RingCentral US RingEX plan Monthly billing Annual billing
Essentials $29.99 per user/month $19.99 per user/month
Standard $34.99 per user/month $24.99 per user/month
Premium $44.99 per user/month $34.99 per user/month
Ultimate $59.99 per user/month $49.99 per user/month

These are the prices displayed on RingCentral’s US plan page, not a guarantee of your final contract price. Confirm billing cadence, seat count, taxes, fees, discounts, add-ons, implementation costs, and term in the quote.

8×8’s X Series product page shows plans including X2 and X4 but directs buyers to sales for pricing. It does not provide a directly comparable public price on that page. 8×8’s X Series and video conferencing page is the place to review its plan descriptions and request pricing.

A separate 8×8-hosted contact-center page gives example prices of $44 per user/month for X4, $85 for X6, and $140 for X8. Those examples belong to that contact-center context; they do not establish a current, universal X Series offer or a like-for-like price against RingCentral’s list rates. Request a current quote for your specific configuration. 8×8’s Cloud Call Center page presents those examples.

What to put in both quote requests

  • The same number of users, offices, and countries where service is needed.
  • Expected calling destinations, international calling needs, toll-free usage, and any numbers required by country.
  • The same contract term, billing cadence, implementation scope, and support expectations.
  • Required features, including fax, SMS, recording, analytics, receptionist or supervisor controls, and video capacity.
  • All recurring and one-time costs, including add-ons, taxes, regulatory fees, and porting or setup charges if applicable.

Which features matter for your team?

Compare the specific plan and workflow you need rather than treating a provider’s feature list as proof that every capability is included at every tier. The vendors’ product pages describe different inclusions, and availability should be confirmed for your region and selected plan.

8×8: calling reach and supervisor controls

8×8 describes X2 as including unlimited voice calling to 14 countries, conferencing for up to 500 active participants, team chat, and Microsoft Teams integration. The company describes X4 as adding unlimited calling to 48 countries, receptionist functionality, supervisor analytics, and monitor, whisper, and barge functions. Confirm included destinations and feature availability in the quote and product documentation. 8×8’s X Series page lists these plan details.

For a team choosing between plans, make a short list of must-haves and ask each provider to demonstrate them in the proposed tier. In particular, verify calling destinations, fax and SMS needs, recording rules, reporting detail, video participant limits, and any receptionist or supervisor workflow.

How to compare integrations and administration

RingCentral says it offers more than 330 integrations across more than 200 companies, along with APIs for voice, SMS/MMS, messaging, video, fax, data management, and system configuration. Those counts are vendor-reported and depend on how integrations are counted. They do not establish that a specific app or workflow is available on the plan you are considering. Ask the providers to walk through each required connection—such as a CRM, help desk, or identity system—and establish whether it is native or API-based, supported at the quoted plan level, and deep enough for your workflow. Check data flow, setup and ongoing administration, and whether your team needs API access.

Reliability, coverage, and support need contract-level checks

8×8’s comparison page claims full PSTN replacement coverage in more than 55 countries and a unified 99.999% uptime SLA. Treat both as 8×8’s claims, not guarantees for every product, location, or configuration. Ask which countries and services are covered, what exclusions apply, how uptime is measured, and what service credits or other remedies the contract provides. The claim appears on 8×8’s comparison page.

RingCentral lists 24/7 support as a Standard feature, but support hours alone do not establish the response or escalation process your organization will receive. Confirm the applicable support terms, onboarding scope, and escalation path in writing. For either provider, evaluate emergency calling, number porting, migration, and administration for your locations against the applicable documentation rather than assuming universal terms.

A practical way to choose

  1. Map your requirements. Record user count, locations, countries, calling destinations, must-have features, integrations, and support needs.
  2. Identify the minimum viable plan. For each provider, ask which proposed tier covers every required capability and whether any item requires an add-on or separate product.
  3. Request comparable written quotes. Use the same assumptions for seats, term, billing cadence, calling, implementation, support, taxes, fees, and optional services.
  4. Run a workflow-focused demo. Test the calling, fax, reporting, integration, receptionist, supervisor, and video tasks your staff actually performs.
  5. Review deployment and contract terms. Confirm migration and porting plans, emergency calling, device provisioning, service geography, SLA scope, exclusions, remedies, and support escalation.
  6. Check every endpoint. If you need desk or conference phones, confirm the exact model’s compatibility, provisioning, and support with the selected provider; the reviewed product information does not establish a particular handset’s compatibility with both.

Choose based on the plan that meets your requirements at the better fully scoped contract cost. RingCentral’s public prices make its US list rates easier to inspect, while 8×8’s X Series page requires a sales quote; that difference alone does not establish which service will cost less or work better for your organization.
