Those totals can differ because orders, captures, fees, refunds, and payouts are recorded at different times. Use sales reports to review sales activity, payment reports to review customer payments, and payout details to match an individual deposit.
Which Shopify records belong in your bookkeeping workflow?
Start with Shopify’s order and sales records, then account for discounts, refunds, taxes, and payment captures in your books. Do not treat a payout as a sales total or as taxable income: it is a movement of funds, not a complete measure of store performance.

How do sales, payments, and payouts differ?
Sales follow order activity
Sales reports organize activity around orders and their components, such as gross sales, discounts, net sales, and taxes. They answer questions about what was sold in a selected time frame, not necessarily what reached your bank during that same period.
Payment reports follow customer transactions
Payments reports focus on transactions customers made through payment methods and gateways. A payment may be captured on a different date from the order, so a payments total can differ from the sales report for matching calendar dates.
#1 Best Overall
Shopify Payments activity follows balance movement
The Shopify Payments activity report tracks changes to the Shopify Payments balance, including gross activity, fees, payouts, net movement, and the opening and closing balance for the selected period and payout currency. Shopify says, “The report isn’t a statement of revenue for accounting purposes.” It is useful for balance reconciliation and recordkeeping, but it does not replace sales records.
The activity report requires Shopify Payments and suitable staff permissions. It does not include Shopify billing fees or activity from third-party processors and payment methods. Shopify also states that the report’s data can be delayed by three days. See Shopify’s activity report guidance.

A payout is a settlement, not a sales figure
A bank deposit reflects funds settled through a payout, after relevant balance activity. Its amount and date can differ from sales in a period because order dates, capture dates, balance movements, and bank settlement do not necessarily line up. A payout balance can also include captured funds that have not yet been added to a scheduled payout. Shopify explains payout details and exports.

How to reconcile Shopify Payments to a bank deposit
- Review the period-level balance. In the Shopify Payments activity report, select the date range and payout currency relevant to your reconciliation. Review the starting balance, gross activity, fees, payouts, net movement, and ending balance.
- Open the specific payout. In Shopify admin, go to Finances > Payouts, then open the payout you need to match. Check its details rather than assuming its amount equals sales for the payout date range.
- Export the transaction detail. Use the payout’s transaction CSV to inspect the transactions and fees that contribute to that deposit. Compare the export with the payout amount and the corresponding bank transaction.
- Match like with like. Confirm that the report and bank entry use the same currency, dates, and transaction scope. If you are comparing sales activity with balance activity, the totals will not be directly equivalent.
- Record the difference with its cause. Keep a note of timing, fees, refunds, or other reconciling items in your bookkeeping records instead of forcing the deposit to match a sales total.
Shopify’s payout detail page can show transactions associated with a payout as well as pending transactions. That makes it the more useful starting point for one deposit; the activity report is better suited to reviewing balance movement over a period. Shopify payout details and exports.
What to check when totals do not match
- Date range and time zone: Orders, captures, and payout settlement may fall on different dates or into different reporting periods.
- Report purpose: A sales total, customer payment total, Shopify Payments balance movement, and bank deposit measure different things.
- Currency: Compare reports and deposits in the same payout currency; do not combine figures from different currencies without accounting for conversion.
- Report delay: Shopify states that the Payments activity report has a three-day data delay. Recent activity may not yet appear there.
- Payment method coverage: Third-party processors and payment methods are not included in the Shopify Payments activity report. Check the relevant payment records separately.
- Pending transactions and settlement: Captured funds may not yet be part of a scheduled payout, so the bank deposit and balance report can reflect different stages of settlement.
How to reconcile Shop Cash payouts
Shop Cash activity may settle separately, and a payout credit can group transactions from multiple orders. Reconcile it by order and transaction ID rather than assigning the whole payout amount to one order or relying only on the payout date. Open payout details or use the export to inspect the underlying transactions. Shopify’s Shop Cash reconciliation guidance.
What to know about Shopify tax reports
Tax reports are not universally available in the same form. Their contents can depend on your jurisdiction, Shopify Tax configuration, store currency, and the dates covered. For example, Shopify describes its US sales tax report as limited to stores located in the United States that use Shopify Tax and USD as their store currency. Check the report’s stated scope before using it as a complete tax record. Shopify Finance reports.
Tax collected in a channel can also affect payout reconciliation. In the Shop channel, US marketplace sales tax can be deducted from Shopify Payments payouts, so treat that tax-related payout activity separately from sales proceeds. Shopify also says product categories should be kept up to date for tax calculations in this Shop sales channel context. Shopify’s US tax reporting guidance.
How to handle US Form 1099-K obligations
Shopify’s Form 1099-K guidance is specific to Shopify Payments in the United States. Shopify says merchants remain responsible for applicable tax reporting and should confirm their obligations with a tax authority or qualified tax professional. Do not apply US form guidance to stores in other countries; local reporting rules vary. Read Shopify’s US Form 1099-K guidance.

When does a growing store need a more formal workflow?
As order volume grows, manually comparing reports and deposits can become harder to maintain. A reliable workflow should preserve the underlying order and transaction detail, separate sales records from settlement records, and make refunds, fees, taxes, and timing differences traceable. If you use accounting software, verify that its Shopify connection supports the records and geography you need; the reports themselves do not establish compatibility or features for any particular product.
