Microsoft documents this drawing-canvas workflow for putting text over a photo in Word. The controls may be arranged differently in Word for Mac or Word for the web; look for the equivalent Insert, layout, and format options. Choose between a text box and WordArt
| Option | Best for | Appearance and formatting |
|---|---|---|
| Text box | Longer wording or straightforward text | Ordinary text formatting; its fill and outline can be removed for a transparent overlay. |
| WordArt | Short wording that should look decorative | Stylized text. Add it to the drawing canvas, position it over the picture, and group the objects. |
For WordArt, use the canvas-and-grouping approach in the text-box steps, but insert WordArt instead of drawing a text box. Microsoft outlines both approaches in its photo overlay instructions.
Fix positioning or grouping problems
If the picture will not move freely
Word inserts or pastes pictures In Line with Text by default in the desktop versions covered by Microsoft. An inline picture behaves like a character in a line of text, which limits free positioning. Select the picture, open its layout options, and choose a wrapping setting such as In Front of Text when it needs to sit freely over the page. For text that should wrap around a picture, Microsoft documents Square with Move with text. See Microsoft’s guide to wrapping text and moving pictures and its note on the default text-wrap setting.

Check that neither object is set to In Line with Text; each selected object must use a wrapping option compatible with grouping.
-
Try selecting the objects again and use the Group command. Once grouped, they move, resize, and rotate together; you can still edit an individual object within the group.
For the exact selection and grouping requirements, see Microsoft’s instructions for grouping objects in Word.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Keep the overlay accessible
A floating picture with a text overlay can be easier to place visually, but screen-reader access needs separate attention. Microsoft recommends setting a picture to In Line with Text for screen readers to read it correctly and adding alt text. Do not put essential information only in the visual overlay; include it in the document’s accessible text as well. See Microsoft’s screen-reader guidance for inserting pictures.
Picture insertion details to know
Microsoft’s insertion guide says EPS files can no longer be inserted into Office documents. It also notes that Office’s Insert Photo from Mobile Device feature was disabled in all Office apps effective August 22, 2025. Use another available picture source, such as a file on your device, when those options apply to your workflow. See Microsoft’s picture insertion guide.
