To protect a small business’s data, first find out what information you collect and where it goes; then keep only what you need, secure what remains, dispose of records safely, and prepare for an incident. The right safeguards depend on the information and the business—there is no one-size-fits-all approach.
1. Find your data and keep less of it
You cannot protect information you do not know you have. Follow the flow of customer, employee, and business-sensitive data from collection through use, storage, sharing, and disposal. The FTC calls these steps “TAKE STOCK” and “SCALE DOWN” in its guide to protecting personal information.

- Check where information enters and lives: websites, payment systems, email, cloud services, computers, phones, paper files, removable drives, printers and copiers.
- List who can access each location, including employees, contractors, and outside providers.
- Keep only information needed for a legitimate business purpose. Set a retention schedule that accounts for business needs and applicable legal obligations, then securely dispose of records when they are no longer needed.
A simple inventory can be a spreadsheet with the data type, location, people or vendors with access, business purpose, and planned deletion date. Revisit it when you adopt a service, change how you collect data, or change staff access.

Use safeguards proportionate to the sensitivity of the information and the risk to your business. The FTC’s Cybersecurity for Small Business guidance covers practical controls; its January 2026 small-business article also discusses email authentication, phishing, ransomware, and questions to ask vendors.

Limit access and strengthen sign-ins
- Give each worker access only to the information and systems needed for their job, and remove access promptly when roles change or someone leaves.
- Use unique accounts and strong, distinct passwords; enable multi-factor authentication wherever available, especially for email, financial, and administrator accounts.
- Train staff to recognize phishing and to report suspicious messages or activity quickly.
Keep systems and networks maintained
- Install operating-system, application, and device updates promptly so known security flaws are addressed.
- Encrypt sensitive data and devices where supported, especially laptops and portable storage that could be lost or stolen.
- Secure the business router with current settings and credentials, and keep guest Wi-Fi separate from the business network.
Back up files with recovery in mind
Back up important business information regularly. Consider keeping a backup copy offline or otherwise isolated from the everyday network so ransomware cannot reach every copy. Protect backups with encryption when they contain sensitive data, restrict who can access them, and periodically test that files can actually be restored.
The FTC describes the NIST Cybersecurity Framework 2.0 as a free, voluntary, flexible way to organize risk management around six functions: Govern, Identify, Protect, Detect, Respond, and Recover. It is a planning framework, not a universal compliance certificate.

3. Dispose of records and devices securely
Ordinary deletion may not remove information from paper or storage media. Shred paper containing sensitive information before discarding it, and use an appropriate secure-erasure process or factory reset for devices and media before disposal or reuse. Lock up sensitive paper records that must be retained, as the FTC recommends in its business data-protection guide.

For paper, choose a shredder or destruction service that can handle your record volume and access requirements. The FTC recommends shredding sensitive paper but does not prescribe a particular shredder cut type or shred size.

4. Prepare for incidents and review vendors
Write down an incident plan
Decide in advance who leads the response and how the business will contain an incident, preserve evidence, investigate what happened, and communicate with customers, employees, vendors, and authorities as appropriate. Keep contact details for technical and legal help accessible. The FTC’s Data Breach Response guide provides a response sequence for businesses.
If you suspect a breach, secure affected systems, investigate the scope, review credentials and vendor access, and promptly assess which notification obligations apply. Do not assume one deadline fits every incident: all U.S. states, the District of Columbia, Puerto Rico, and the U.S. Virgin Islands have breach-notification laws, but the rule, deadline, and recipients depend on location, information type, and other applicable laws. Consult current jurisdiction-specific guidance and qualified counsel.

Know what vendors can access
For each provider that handles business or customer information, identify the data it can access, limit that access where possible, and ask how it protects the information and reports incidents. Also establish how you will confirm that a security issue has been fixed. Include vendors in your inventory and incident plan rather than treating their systems as outside your risk.

Not simply because the business is small. The FTC Safeguards Rule applies to covered financial institutions within FTC jurisdiction; coverage depends on the activities a business undertakes and the applicable regulatory authority, and some covered entities have specific exemptions. A covered business must maintain a written information security program appropriate to its size, complexity, activities, and the sensitivity of the information it handles. Review the FTC’s Safeguards Rule guidance and consult qualified counsel if coverage is uncertain.
