Project scheduling software turns a breakdown of work into a time-based plan. Some tools mainly display task dates; others calculate and update dates using dependencies, calendars, constraints and assigned resources. Choose by the scheduling logic and visibility your projects need, then verify that the specific product and plan include those features.
What project scheduling software does
A scheduling tool represents work as tasks, estimates duration or effort, records how tasks relate, and places work on a calendar. In a more capable scheduling engine, changing an input can recalculate planned dates. For example, Microsoft says its Project scheduling uses information such as durations, dependencies and constraints, and may factor in resource calendars and assignment units. These are Microsoft-specific mechanics, not a guarantee that every project tool recalculates dates in the same way. Microsoft explains how Project schedules tasks.

Work is often organized in a work breakdown structure (WBS): a hierarchy of summary tasks and smaller work items. Microsoft describes leaf tasks as carrying planned effort, resources, dates and duration. The hierarchy helps a team move from a broad deliverable to schedulable pieces, but the dates are only as dependable as the estimates and assumptions entered. Microsoft Learn describes the project work breakdown structure.

If work is interdependent, staff have limited availability, working calendars differ, or multiple projects compete for capacity, check whether the product calculates and exposes those factors rather than merely displaying dates.

How task links affect the schedule
A dependency specifies the order in which work can proceed. Microsoft Support puts it plainly: “Task links (dependencies) show the relationship in time of one task to another.” A finish-to-start link—the default in Microsoft Project—means the successor task waits until its predecessor finishes. Microsoft also documents start-to-start and finish-to-finish relationships. See Microsoft’s explanation of task links and scheduling.
Linked tasks can form a chain that determines the project’s planned finish. The critical path is the sequence of tasks that dictates that finish date; a delay to a critical task can move the project end date. Slack, also called float, is the time a task can slip without affecting the finish. In Microsoft’s default definition, a critical task has no slack. The path can change as work completes or delays occur, so it should be revisited as the schedule changes. Microsoft explains how to manage a project’s critical path.

When assessing software, confirm which dependency types it supports, whether dates recalculate automatically, and whether the critical path and slack are visible. A chart that shows bars and dates is not necessarily a scheduling engine that computes the effects of task relationships.
How calendars and resource assignments drive dates
Calendars define working and nonworking time. Depending on the system, project, task and resource calendars can account for weekends, holidays, shifts or an individual’s availability. Those calendars can affect calculated starts and finishes. If people or other resources are assigned, assignment units and availability can also influence the plan; a task requiring more of someone’s time than they have available creates a capacity problem that the software may expose, adjust or leave for a scheduler to resolve.

Look for resource calendars, workload or capacity views, over-allocation warnings, and resource leveling—the adjustment of work timing to address resource conflicts. Confirm whether those functions are included in the exact edition or subscription plan. Microsoft’s resource-management page describes capacity heat maps and analytics, but availability should be checked for the current Microsoft product and tier. | What to compare | Questions to ask |
|---|---|
| Schedule logic | Which dependency types are supported? Do dates recalculate when durations, links, constraints or calendars change? Can a scheduler enter or preserve dates manually? |
| Schedule visibility | Does the required plan include a Gantt chart or timeline, milestones, critical path, slack or float, and baselines for comparing the plan with actual progress? |
| People and capacity | Can the team see resource calendars, workload, available capacity and over-allocations? Does the product adjust timing, and is that capability included in the plan being considered? |
| Project scale | Are cross-project links, master schedules, portfolio views, demand intake, cost or resource planning, and reporting needed? |
| Team workflow | Can schedulers and other team members update work in suitable views? Check collaboration, integrations, permissions and the views non-schedulers need. |
| Cost and fit | Which plan is required for the needed features? Consider project complexity, user roles, the existing software ecosystem, migration needs and total cost. Current prices and regional entitlements are not established here; check the vendor’s current pricing and plan details. |

Microsoft Planner and Project
Microsoft presents Planner as a unified experience for tasks, plans and projects across Microsoft 365, with list, board, timeline and sprint views, and describes advanced scheduling and resourcing capabilities. Microsoft’s Project Online service-description table lists dependencies, critical path, Gantt view and task scheduling for both Plan 3 and Plan 5; it marks resource capacity planning and portfolio analysis as Plan 5 only. These are Microsoft-specific plan distinctions, not a rule for the wider market. Check Microsoft’s Project Online service description.

Verify the plan with a representative project
Before rolling a tool out, model a small but realistic slice of work: a few linked tasks, a nonworking day or different resource calendar, and one constrained resource if that reflects your projects. Check whether the resulting dates, critical path and workload views match the planning behavior your team expects. This is a practical fit check, not a benchmark of vendor performance.
Quick Recap
- Confirm that the chosen edition supports the dependency types and automatic recalculation the schedule requires.
- Check how task, project and resource calendars affect dates.
- Inspect what happens when a resource is overallocated and whether adjustments are automatic or require manual scheduling.
- Verify that needed views and portfolio or capacity controls are available in the purchased plan.
- Use realistic estimates and maintain the schedule as work changes; software cannot make inaccurate inputs reliable.
