A printer’s “low memory” warning usually means it cannot allocate enough internal resources for a particular job—not that the printer is broken. Try the job in smaller or simpler pieces first. If that does not help, check stored printer resources, firmware, and whether your exact model supports a compatible memory upgrade.
What a printer low-memory warning means
The printer needs working resources to process a job’s pages, graphics, fonts, and other data. If it cannot allocate enough for the task, it may show a memory warning, stop the job, print only part of it, or reduce output quality if it can continue. The message alone does not establish that the printer has a hardware fault.

The precise cause depends on the model, driver, and job. For its LaserJet Pro guidance, HP says “Memory is low. Press <OK>” may appear during copying, faxing, or printing, but not scanning. HP lists complex jobs, downloaded fonts or macros, stored fonts, faxes or macros, and outdated firmware as possible causes for that product family—not as a universal list for all printers. What you may see when memory is insufficient
- An explicit low-memory message or prompt to continue.
- A job that stops, fails, or prints incompletely.
- Fewer copies than requested when the printer cannot complete collation.
- Lower print quality if the printer attempts to finish with reduced resources.

How to troubleshoot the warning
- Note the exact message and model. Record the full error text and printer model before changing settings. Error codes can distinguish a resource shortage from a different memory or print failure; HP, for example, separates its low-memory message from certain 20.xx and 21.xx errors.
- Decide whether to continue or cancel. If the printer offers Continue or OK, continuing may skip pages or details. Use it only if an imperfect output is acceptable; cancel if you need the complete, accurate job.
- Retry a smaller, simpler job. Split a large document into smaller batches, remove unnecessary high-resolution graphics, or simplify complex pages. If ordinary text prints but one complex PDF does not, job or driver complexity is a plausible clue, not proof of a hardware defect.
- Try a PDF workaround if relevant. For applicable HP printing situations, HP suggests printing the PDF as an image; an alternate driver may also help if one is available and supported for your printer. Options and labels vary by software and model. HP LaserJet Pro low-memory guidance
- Lower quality only if the option exists and the trade-off is acceptable. A lower print quality or resolution can reduce processing demands on some devices. Epson documents automatic quality reduction and suggests lowering quality for a specific model; this is not a setting available on every printer. Epson XP-4100 support guidance
- Check stored resources and clear only what you recognize. Some printers retain fonts, graphics, formats, bitmaps, macros, or faxes. Remove unused items only through instructions for your model; deleting stored data can remove resources you still need. Zebra’s ZD421/ZD621 documentation describes stored graphics, formats, bitmaps, and fonts, while HP gives model-specific guidance for printer resources and stored faxes. Zebra ZD421/ZD621 user guide HP LaserJet Pro low-memory guidance
- Restart and check firmware using the manufacturer’s instructions. Restarting may clear temporary resources where the manufacturer recommends it. Check for firmware for the exact model and follow its official update procedure; menus and update steps differ.
- Escalate only after checking expansion support. If the issue persists, consult the model’s manual or official support page. Consider an upgrade only if the printer supports expandable memory and the manufacturer specifies the compatible module; otherwise contact the manufacturer or an authorized service provider.
Choose between changing the job and upgrading or servicing the printer
| Approach | When it makes sense | What to verify |
|---|---|---|
| Adapt the job or print settings | A smaller batch, simpler page, PDF workaround, or supported quality change resolves the problem. | Whether the output remains complete and clear enough for its purpose, and whether the driver or printer actually offers the setting. |
| Clear stored resources or restart | The model’s documentation identifies stored resources or recommends clearing temporary memory. | Which stored data can be removed safely and whether the manufacturer recommends a restart for the issue. |
| Install additional memory | The exact printer model supports a memory upgrade and the manual identifies a compatible module. | Model compatibility and the manufacturer-specified part. Printer memory modules are not universally interchangeable. |
| Seek service | The warning continues after reasonable job and settings changes, or the printer has no supported memory upgrade. | Whether the manufacturer or an authorized service provider can diagnose the exact model and error. |
Do not start with a factory reset. HP warns that restoring defaults can remove saved settings such as fax contacts, scan-to-email settings, and custom configurations. Follow model-specific guidance before considering it. HP LaserJet Pro low-memory guidance

Additional memory may help if the printer supports expansion and the job exceeds its available resources. It will not help to buy a generic DIMM and hope it fits: compatibility is model-specific. Confirm expansion support and the specified module in the printer’s user guide or official support page before purchasing.
