Power BI Templates: When to Use a .PBIT File for Team Reporting

A Power BI .PBIT template standardizes report structure without carrying report data. See how to create, share and safely use one across a team.

A Power BI Desktop .PBIT template gives your team a reusable report starting point: it preserves report pages, visuals, model definitions and query definitions, but not the report data. Use one when authors need a consistent structure they can connect to their own data; use a regular .PBIX when you need to distribute a populated report.

What a Power BI .PBIT template contains

A .PBIT file is a Power BI Desktop report template. It carries the report’s pages and visuals, along with the model definition—such as schema, relationships and measures—and query definitions, including parameters. It does not carry the report data. Microsoft explains the format and workflow in its Power BI Desktop template guide.

That makes a template a reusable definition rather than a finished report with data already loaded. When someone opens it, Power BI may ask for parameter values and the location of the underlying data. They connect using their own credentials; the new report then reuses the template’s pages, visuals, model items and queries.

“Does not contain report data” is not the same as “contains no information about the data.” Microsoft cautions that metadata in reports and templates can retain column values in some circumstances. Review saved filters and other metadata before sharing, and handle the file according to your organization’s security and data-loss-prevention rules. See Microsoft’s content planning guidance.

Create and use a .PBIT file

Export a template from Power BI Desktop

  1. Open the report you want to use as the starting point.
  2. Select File > Export > Power BI template.
  3. Enter a description and save the resulting .PBIT file.

Open a shared template

  1. Open the .PBIT file directly, or in Power BI Desktop select File > Import > Power BI template.
  2. Enter any requested parameter values.
  3. Choose or provide the underlying data location and connect with your own credentials.
  4. Review the resulting report and confirm that its visuals and model behave as expected with your data.

The prompts depend on the template’s queries and parameters. Test them with the intended users and data-source setup before distributing the file broadly.

Choose between a template and a regular report

Choice What travels Recipient workflow Best fit
Power BI Desktop .PBIT Report and model definitions, queries and parameters; not report data. Supply requested parameter values, locate the data and connect with the recipient’s credentials. A reusable authoring starter for reports that should follow a common structure.
Power BI Desktop .PBIX A report file that can include report data. The recipient opens a populated report rather than starting from a template that excludes report data. Sharing a particular report and its data, subject to the organization’s sharing and security rules.

The practical distinction is whether recipients should begin with a reusable definition and connect their own data, or receive a report that already contains data. A template does not by itself guarantee consistent outcomes: authors still need suitable data, measures and decisions about how to use the shared structure.

Standardize reports without removing useful flexibility

A shared template can make expected design choices visible at the point where authors begin. Microsoft’s adoption roadmap identifies consistency, efficiency and a lower learning curve as qualitative benefits; it does not quantify a productivity or error-reduction effect. Examples include demonstrating visualization practices, embedding organizational branding and design standards, offering common table structures and supplying useful DAX calculations. Read Microsoft’s guidance on mentoring and user enablement.

For a team template, decide what should be common and what authors may adapt. A useful starting file can establish layout, branding, naming conventions and recurring model patterns while leaving room for report-specific questions and data. Assign an owner to review changes, test parameter prompts and data-source connections, and tell users when an updated file is available. These are practical governance steps for a shared workflow, not a required Microsoft process.

When a template app is the better distribution route

A Desktop .PBIT is a file people open in Power BI Desktop. A Power BI template app is a separate route for packaging and distributing content through the Power BI service. The audience, permissions and update flow therefore differ: a file is handed to report authors, while a template app is distributed as service content and installed by its users. The sources describe these as distinct approaches, not as universally better or worse choices.

Microsoft’s template-app creation guidance lists Power BI Pro and basic Power BI familiarity among builder prerequisites, with Desktop optional in that workflow. Those are template-app prerequisites, not requirements for creating or opening every Desktop .PBIT. Microsoft’s template app authoring tips also state that template-app parameters do not support the Any and Binary types.

Important limitations for authors

  • Inspect filters and metadata for retained column values before sharing a template; excluding report data does not establish that every piece of metadata is safe to distribute.
  • Plan for recipients to provide parameter values where requested and connect to the underlying data with their own credentials.
  • Do not plan on editing a .PBIT with external tools: Microsoft says that editing Power BI Desktop templates with external tools is not supported in its External Tools documentation.
