Portfolio Management Software Buying Guide: Data Integration and API Features to Check

A practical buying guide for advisers and wealth firms: verify custodian and CRM connections, API operations, account coverage, permissions, freshness, and integration support before choosing portfolio management software.

Choose portfolio management software by testing whether it can move the right data through your firm’s real workflows—not by counting connector logos. Start with your custodians, CRMs, planning and trading systems, accounts, asset classes, and data destinations; then confirm the exact records, direction of sync, permissions, and operational actions each connection supports.

This guide is for investment advisers and wealth-management firms evaluating portfolio platforms. A retail portfolio tracker, an RIA system, and an institutional multi-asset platform have different integration needs, so the examples below illustrate features to investigate rather than a universal shortlist or ranking.

What should you look for in portfolio management software?

Build an integration requirements list before comparing products. Include the systems and institutions the firm actually uses, the data each workflow needs, who will maintain the connections, and what the software must do with the data. A connection can be technically available yet fail to support the workflow that matters—for example, it may display holdings but not export transactions to a CRM or send trades to a custodian.

Inventory systems, accounts, and workflows

  • Systems: list custodians, CRMs, financial-planning tools, trading and rebalancing systems, market-data providers, reporting tools, and any internal applications.
  • Accounts and assets: identify the institutions and account types to connect, the asset classes held, and any less common holdings the platform must represent.
  • Workflows: record whether the firm needs portfolio monitoring, client reporting, reconciliation, planning data, rebalancing, order routing, account opening, or service workflows.
  • Destinations and owners: note where data must go, which staff or systems may access it, and who will build, monitor, reconcile, and support each connection.
  • Operating constraints: specify jurisdictions, data-refresh expectations, security requirements, internal engineering capacity, and the need to export records if the firm changes platforms.

Turn the inventory into testable requirements

For each connection, write down the institution or application, required data objects, sync direction, expected timing, and the business action it enables. Ask vendors to mark each item as supported, unsupported, or dependent on configuration, and to demonstrate the firm’s highest-priority workflows using representative accounts and data. Request a current integration matrix; capability can vary by software provider and configuration.

Does portfolio management software integrate with my custodian?

Possibly, but the word “integrates” is too broad to answer that question on its own. Custodian connections can differ in data coverage and operational depth. Schwab Advisor Services, for example, describes API, single sign-on (SSO), daily data-file, and trading integration options, as well as functions such as account opening, money movement, orders, allocations, alerts, and service requests. Schwab also cautions that available capabilities depend on the software provider. Interactive Brokers describes reporting data feeds and third-party portfolio-management integrations, and directs customers to confirm details with the provider.

Use the following distinctions when you assess a custodian connection:

Connection type What it may support What to confirm
Data feed or file Delivery of account or reporting data, sometimes on a scheduled basis. Which records and fields arrive, how often they update, how corrections are handled, and whether the feed supports the firm’s specific accounts.
API Programmatic access to documented data or operations. Whether the required endpoints allow reads, writes, or both; what permissions are required; and whether operational actions such as orders are included.
SSO Access from one system into another through a single sign-on workflow. Which users can use it, what destinations it opens, and whether it provides data exchange or only access to another application.
Trading or service workflow Potentially orders, allocations, account opening, money movement, alerts, or service requests. Exactly which actions are enabled, who authorizes them, what approval steps apply, and whether the integration is available for the firm’s configuration.

A reporting feed is not evidence of trading permission, and a data connection does not by itself establish that the platform can open accounts or move money. Ask the custodian and software provider to confirm the exact scope together.

What API features should investment management software have?

Read the API reference rather than relying on a marketing description. Match each required workflow to documented endpoints, supported data models, permissions, and expected behavior. A usable API should be understandable and complete enough for the firm’s required work—not merely have a large list of endpoints.

Map the data model and operations

Check whether the API covers the objects the firm needs, such as portfolios, accounts, positions, securities, transactions, prices, benchmarks, reports, and user permissions. For each object, establish whether the API supports reading, creating, updating, or deleting data, and whether those actions are available to the firm’s intended user roles. If the workflow includes rebalancing or trade-related operations, verify those capabilities separately rather than inferring them from portfolio-data access.

FinFolio describes a REST API for reading and writing data, rebalancing, reporting, and imports. Addepar’s developer documentation identifies API areas including portfolio data and analytics, entities and ownership, transactions, benchmarks, historical prices, asynchronous jobs, users and permissions, reports, billing, and compliance. These are vendor-documented examples; they do not establish that either product fits every firm or that comparable operations are available under identical terms.

Check documentation, jobs, and change management

  • Review endpoint descriptions, data fields, examples, error responses, and any limits or prerequisites relevant to the planned integration.
  • Ask whether testing tools or a non-production environment are available and how the firm can validate changes before they affect live workflows.
  • For long-running or bulk tasks, determine whether the API uses asynchronous jobs, how completion or failure is reported, and how results are retrieved. Addepar documents asynchronous jobs among its API areas.
  • Ask how version changes and deprecations are announced, how much notice is provided, and what support is available when an integration breaks.
  • Confirm whether the firm can retrieve or export its records in a usable form and how access is removed when a user or integration is no longer needed.

How should you evaluate authentication and permissions?

For every connection handling financial data, trace the full authorization lifecycle: who grants access, what identity or application receives it, which records and actions it can reach, how credentials or tokens are stored and revoked, and how permissions are reviewed over time. Ask how data is protected in transit and at rest, and what audit information is available to the firm. Get specific answers for the product configuration under consideration; a general statement about secure connectivity is not a substitute for details about access controls.

Sharesight documents owner-permissioned access, HTTPS, JSON or XML, and OAuth 1.0a for its Connect API. Schwab describes secure connectivity and SSO in its integration materials. These are examples of controls and mechanisms documented by different providers, not a like-for-like security comparison or proof that one approach is universally superior. Compare the controls that apply to the specific integration, including user and application permissions, token revocation, and the data operations those permissions permit.

How do you check account-data coverage, geography, and freshness?

Coverage must be verified at the institution and account level. Ask whether the provider supports the firm’s actual institutions and account types, which asset classes and fields are returned, whether owners must authorize access, and what refresh schedule applies. Also find out how the system identifies stale, missing, duplicated, or corrected data and how staff can investigate exceptions.

Aggregation providers illustrate why geography and coverage claims need careful reading. Plaid describes investment-account data from institutions in the United States and Canada, including holdings, securities, and transactions. Morningstar ByAllAccounts’ developer hub, accessed in 2026, advertises user-permissioned aggregation from 15,000+ sources and adviser aggregation from 1,200 institutional sources. Those figures are vendor-published source counts, not a guarantee that a particular institution, account, asset, or field will be available to a given firm.

Validate a data feed with real cases

  1. Give the provider a prioritized list of the firm’s institutions, account types, and required data fields.
  2. Ask the provider to confirm support for each one and clarify any required account-owner consent or setup.
  3. In a walkthrough or evaluation, compare the returned records with a known account view, including holdings, securities, and transaction history where relevant.
  4. Ask how often data refreshes, how delays and connection failures are surfaced, and how the system handles corrections or incomplete records.
  5. Confirm that staff can identify the affected accounts and resolve exceptions without relying on an unexplained aggregate coverage claim.

Can you connect a portfolio platform to your CRM?

Often, but verify the specific integration and its direction. A listed CRM connector may import client or account records, export portfolio information, synchronize selected fields both ways, or support only a narrower workflow. Ask which records and fields move, what system is authoritative when values conflict, how updates are matched to the right client or account, and how duplicates and failed transfers are handled.

FinFolio lists examples of integrations across CRM, planning, custodian data, market-data providers, and trading tools. Treat a vendor’s integration list as a starting point: request confirmation that the exact CRM and version are supported, then see the data flow demonstrated. Apply the same test to planning tools and any other system in the firm’s inventory.

How do you compare shortlisted platforms?

Use a firm-specific scorecard rather than a raw connector count. Mark each item as demonstrated, documented but not demonstrated, dependent on configuration, or not supported. Weight the requirements that are essential to the firm more heavily than optional connections.

Comparison area Question for each vendor
Institution and system coverage Does it support the firm’s named custodians, institutions, CRM, planning, trading, and data providers?
Data objects and sync direction Which accounts, positions, securities, transactions, and other required records move, and in which direction?
API scope and access Are the required endpoints documented, and what authentication, roles, and permissions govern them?
Freshness and exception handling What refresh timing applies, and how are stale, incomplete, corrected, or failed records identified and reconciled?
Custodian workflow depth Is the connection for reporting only, or does it support the required operational, trading, or SSO workflows?
Geography and asset coverage Which jurisdictions, institutions, account types, and asset classes are supported for this firm?
Implementation and support Who configures and maintains the connection, what documentation and testing support exist, and how are failures and API changes handled?
Permissions and portability Can access be appropriately limited and revoked, and can the firm export its data in a usable format?

FinFolio, Addepar, Sharesight, Schwab Advisor Services, Interactive Brokers, Plaid, and Morningstar ByAllAccounts document different kinds of software, APIs, custody integrations, or aggregation. Their materials support feature-level questions, not an independent vendor ranking, comparative performance conclusion, or universal security assessment. No implementation-cost or integration-success figures are established here, so obtain estimates and support commitments directly from vendors.
