To get photo prints closer to what you see on screen, profile your display, soft-proof the image with the exact printer-and-paper ICC profile, and make sure either the photo app or printer—not both—manages color. Then compare the print under steady light similar to where it will be viewed. A perfect match is not possible: screens emit light, while prints reflect it, and their brightness, color range, and appearance under different lighting are not the same.
Why prints look different from the screen
A monitor creates an image by emitting light; a print depends on light reflecting off paper. The screen and print therefore have different brightness ranges and color gamuts, and the print changes appearance with its illumination. A bright display can make a print seem especially dark by comparison. Adobe explains why exact matching is not achievable in its print-preparation guidance.

Color management can make the translation more predictable, not erase those physical differences. Adobe’s current Photoshop documentation, updated October 4, 2026, says that a profile describing the output device and printing conditions more accurately allows Photoshop to translate document colors to print more accurately: Print with color management in Photoshop.

- Turn off automatic brightness, night modes, and other features that change screen color or brightness while you work. Reduce glare and use the display in its usual working environment.
- Calibrate and profile the display with a measurement device and suitable software when reliable print matching matters. Calibration sets the display to a target behavior; profiling records its behavior so color-managed software can translate image colors. The International Color Consortium (ICC) describes display calibration as a process that uses a measurement instrument and, in most cases, calibration software: ICC display-calibration guidance.
- Keep display brightness and other controls fixed after profiling. The profile describes the display under the conditions in which it was made; changing those conditions can undermine the match. Laptop brightness and uniformity can also vary.
Displays drift over time, so profiling may need to be repeated. ICC says recalibration about every six months is often sufficient, but the right interval depends on display technology, luminance, and accuracy needs; it is not a universal schedule. A colorimeter can help make measurement-based profiling repeatable, but it cannot correct a wrong printer profile or paper setting.

Choose the profile for the printer and paper
An ICC output profile describes a particular printing condition. Use one made for the printer and the specific paper you will load; paper changes the print’s gamut, brightness, and appearance. The printer driver’s media-type setting should also correspond to that paper. A profile for a different paper or output condition cannot reliably predict the result.
Before proofing, check which color profile is embedded in or assigned to the image. Do not confuse that image profile with the printer-and-paper output profile: the first describes the image’s color, while the second describes the intended printing condition.

Soft-proof the image before printing
Soft proofing simulates how an image is likely to look when printed under a specified output condition. In Photoshop, choose the printer-and-paper profile as the simulated device in the proof settings. Where available, enable paper-color and ink-black simulation, and inspect any out-of-gamut warnings. Make restrained adjustments while viewing the proof and preserve the original image.

A proof may look less bright or saturated than the unproofed screen image. That is a useful warning, not necessarily a problem: paper cannot emit light like a monitor, and some screen colors cannot be reproduced by the printer and paper. Soft proofing is most informative when its selected profile matches the media and settings you will actually use. Adobe’s instructions for application-managed printing and Photoshop color settings are in its color-management printing guide.

Pick one place to manage print color
There are two sound routes. The key is not to have the photo application and printer driver both convert colors for the same output. Labels and controls differ by software, operating system, and printer; Epson’s cited instructions, for example, apply to Windows and the SC-P900/SC-P700: Epson color management in applications (Windows).
| Route | Photo application | Printer driver | Best fit |
|---|---|---|---|
| Application-managed color | Select the matching printer-and-paper ICC profile for output; use the same profile for soft proofing when supported. | Disable the driver’s color adjustment. Select the media type that corresponds to the actual paper. | When the correct output profile is available and the application supports the desired controls, including soft proofing. |
| Printer-managed color | Do not also convert to a printer profile. Let the driver manage the printer conversion. | Enable its color-management path and choose the correct media type. | When using the printer’s own color-management controls rather than an application-selected output profile. |
For application-managed printing, choose the same output profile used in the proof and turn off driver color correction. For printer-managed output, enable the driver’s management instead. If you are unsure which route is active, check both the application’s print settings and the driver settings before sending another print; exact labels depend on the software and device.

Use viewing conditions that make comparison meaningful
After printing, let the print dry or stabilize as directed for the printer and media. Compare it beside the display under steady, suitable light, preferably similar to the light where the print will normally be seen. Avoid reflections on the screen. A print viewed in dim or strongly colored light will not look like the same print under other illumination, regardless of monitor calibration.

There is no single target that applies to every workflow. Canon’s Professional Print & Layout guide recommends a monitor white point of D50 (5000 K), brightness of 120 cd/m², and gamma 2.2, with D50 evaluation lighting at 500 lx ± 125 lx for its screen-to-print workflow. These are Canon’s product-specific recommendations, not universal settings: Canon Professional Print & Layout guidance. ICC separately describes D50 and 160 cd/m² for a soft-proof calibration context, and D65, 160 cd/m², gamma 2.2 as an Adobe RGB reference example. Those targets serve distinct stated purposes and should not be combined into a general prescription: ICC display-calibration guidance.

Diagnose a mismatch before changing the image
- The print looks darker than the screen: Check whether the display is unusually bright, then assess the print under suitable, steady light. Confirm the output profile and media type before editing the image to compensate.
- Color or saturation is unexpectedly different: Verify that the soft-proof profile matches the loaded paper and printer, and that the image’s source profile is recognized correctly.
- The result shifts between print attempts: Keep display settings fixed and confirm that the application/driver color-management route and media selection are consistent each time.
- You cannot find a profile for the paper: Do not assume another paper’s profile is interchangeable. Use a printer-and-paper combination with a matching profile or follow the printer or paper maker’s documented color-management instructions.
Only adjust the image after checking those conditions. Otherwise, edits made to compensate for a configuration error can make the next correctly configured print less accurate.
Choose paper for the intended result
There is no universally best photo paper for matching a screen. Gloss, luster or semi-gloss, and matte surfaces differ in appearance; the right choice depends on how the print will be viewed, printer compatibility, and whether a matching profile is available. A colorimeter and specialty paper are useful tools within a consistent workflow, not guarantees of an exact match.
